We engaged INSIDEA to lead the onboarding and implementation of HubSpot Sales Hub Professional for our team. The goal was to turn a new portal into a working sales system: a CRM structured around how we actually qualify and sell, automation to move leads and deals through our pipeline without manual effort, and reporting our leadership could rely on. Although the engagement centered on Sales Hub, INSIDEA also built supporting assets in our marketing tools so inbound interest flows cleanly into the sales process. Our account executive, Yashraj Bundela, and our customer success manager, Jitendra, guided the build from configuration through training and handover. 

Key deliverables included: 

• A fully configured CRM, with 30 custom properties across contacts, companies, and deals to capture qualification, service interest, and buying-process details, plus a customized contact record page organizing lead, hiring, and Online Academy information.
• A seven-stage B2B sales pipeline with stage probabilities feeding revenue forecasting.
• Twelve automated workflows handling lead and deal creation, record ownership and assignment, syncing of service details between contacts and deals, and timely follow-up tasks on stalled deals.
• Eleven service inquiry forms, one per service line, that create deals with the prospect's request already populated.
• A combined fit-and-engagement lead scoring model with score decay to surface the strongest contacts. 
• A Company Research AI agent configured to give our reps prospect history, company insights, and relevant service opportunities before outreach.
• Contact segments for re-engagement and for every target industry, updating automatically as records are tagged.
• Six shared sales dashboards covering pipeline, rep activity, opportunity review, and overall CRM data health.
• Complete documentation and a recorded sales training session, with a detailed handover document covering every configuration.

INSIDEA completed our full HubSpot Sales Hub Professional implementation on scope, delivering 30 custom properties, a seven-stage pipeline with forecasting, 12 workflows, 11 service forms, a lead scoring model, an AI research agent, six dashboards, and eighteen auto-updating segments, with documentation and recorded training. The result is a sales process that now runs on automation: every inbound service inquiry becomes an assigned deal with no manual entry, service details sync between records on their own, and stalled deals trigger follow-up tasks automatically. We are tracking pipeline and conversion metrics from here now that the system is live and are excited to see it in action.

Describe the scope of work in detail. Please include a summary of key deliverables.

It was a very hands-on implementation because my team and I came in without any prior HubSpot experience, so defining a SOW was difficult. Ultimately we knew that we wanted to centralize our all of our marketing efforts and source of lead management. Throughout the 10 or so weeks of implementation time, we were able to import all contacts (across multiple locations and business lines) into HubSpot, as well as gain further understanding on what is a rather intimidating and overwhelming tool for those inexperienced with it.  

RESULTS & FEEDBACK

What were the measurable outcomes from the project that demonstrate progress or success?

Import and segmentation of over 12,000 contacts. It was much more complicated than just exporting and importing - and Insidea got us to where it was exactly how we needed it to be, as well as while showing us how and why they did what they did. The next one isn't quite 'measurable' but our overall ability to navigate HubSpot has improved drastically, which takes off a tremendous amount of stress and anxiety around adopting a new CRM.

The team was very diligent about getting work done on time. They did a great job following up with action items and to-do's after each call. They made sure to answer all our questions. There was a bit of a delay in always fully understanding something that was more technical, but Insidea always made sure it was done.
