The Good: Flow Ninja is a team of incredibly talented experts. They acted as a true extension of our marketing department and were exceptionally patient throughout our internal delays. Their expertise in Webflow is clear, and they delivered a high-performance, scalable site that successfully modernizes our digital presence. They are a pleasure to work with and were always willing to jump in to accommodate new feedback

Are there any areas for improvement or something Flow Ninja Studio could have done differently?

The Challenge: While their flexibility is a strength, it occasionally became a hurdle. Because the workflow wasn’t strictly framed or enforced, the project timeline extended significantly beyond the initial roadmap. We found that their "customer-first" approach sometimes led to accepting too many feedback rounds without firm pushback (or clear warning) on how those changes affected the deadline.

In the final phase, specifically with animations, the compressed timeline meant we didn't have a proper validation window before go-live. We also encountered minor technical oversights that we expected the agency to catch as the primary "guardians" of the site's quality.

Flow Ninja was tasked with helping further develop the art direction that we had created in house and extend it to web properties. Once they had done this, they built a design system for our website, collaborated on a new information architecture and strategic messaging, and then built designs for each page template, plus assets for all pages. They delivered the finalised website in Webflow, which we had chosen as our desired platform before the project started. This included a drastically expanded website scope, with deep-dive product and use case pages, landing page templates and support for multiple languages.

What were the measurable outcomes from the project that demonstrate progress or success?

First, the refined Art Direction that was developed by Flow Ninja we were really happy with.

The design system was also delivered so that we could adapt it for our own web and mobile apps.

The website was delivered to a really high standard, both in terms of quality and performance. Our technical scores (PageSpeed Insights, technical SEO, pickup via GEO) are all excellent now.

This has also let us better showcase our products which has led to more sales conversations with new prospects and existing customers. Our organic traffic has been rising steadily since launch.

Flow Ninja were excellent to work with. They delivered everything to a really high level, and if we had feedback, they always took the time to make sure it was right and we were happy. This extended to new ideas that we had during the process, which they were always happy to acommodate. 

As well as a dedicated account manager, we also had direct lines of communication with the designers and developers working on our project, so they could be very receptive/responsive and seemed genuinely keen to decliver the best possible results.

Although the art direction part took a bit longer than timelined for, we were happy to extend the project by a couple of weeks to ensure the results were to the level we wanted and Flow Ninja were also happy to do this, spending time and bringing in more senior designers to deliver a really high-spec direction that was then applied across all the pages.

What did you find most impressive or unique about this company?

That they seemed to be as invested in creating the best possible website (in terms of design and development) as we were. There was never any sense from them that 'this is good enough, we don't have time for another round of reviews'. They always went above and beyond. Little details as well, like they woulud remind us to cancel the webflow package for our old website - it's something an agency doesn't need to care about, it doesn't affect them at all, but it really ensuured we felt like they cared about our project and they quickly felt like an extension of our own team. It's the best collaboration I've had with an external agency. And it was definitely a collaboration. Real synergy and working together to deliver more than the sum of our parts I think.

Are there any areas for improvement or something Flow Ninja Studio could have done differently?

Not that I can think of. A couple of people left the company midway through the project, but the replacement teammembers that Flow Ninja quickly got up to speed and they must have robust processes in place as an organisation, because it was pretty seamless from our perspective with the same standards and dedication to quality in design and development maintained throughout.

• QA and testing to ensure smooth performance post-migration

What were the measurable outcomes from the project that demonstrate progress or success?

Our main goal was to retain site performance going into our peak sales window, and we successfully achieved this. In fact, it was one of the smoothest migrations I’ve managed or been part of. Despite a tight timeline and complex requirements, we delivered the project on time without disruption to user experience, lead flow, or traffic.

I have no complaints at all. Communication was smooth throughout. We used Slack and had weekly check-ins, and the team was always super responsive and helpful. No task ever felt too big. Rastko and Nemanja were especially great to work with, even responding out of hours when needed. I genuinely can’t fault the team. Our account managers also deserve a mention, as they consistently kept us informed and up to date.

What did you find most impressive or unique about this company?

What stood out most was the team's attitude and collaboration. Despite a tight deadline and complex scope, they never pushed back. They were always positive, responsive, and open to discussion. We had a great environment where we could explore improvements together, which made the whole process enjoyable. The team was approachable, committed, and genuinely a pleasure to work with.

Are there any areas for improvement or something Flow Ninja Studio could have done differently?

It’s difficult to find flaws in a migration that went so smoothly. That said, migrating the apply form was one of the most complex parts of the project, both during and after launch. In hindsight, it might have helped to prioritise this earlier in the process.

Nemanja did an incredible job pushing through and getting it live in time despite the tight deadline, and we really appreciated the extra effort. My only reflection is that if it had been tackled earlier, it might have saved him some of the long hours toward the end. It's important to be kind to yourself during projects like this.

At the same time we had very complex forms that had to be replicated and liaise with our Salesforce instance. In order to do that FlowNinja had to create costum forms to deal with the complexity.
