I am Employer Brand Manager in Softserve - the biggest international IT company with Ukrainian roots, that provide services in software development & consulting. We are advisors, engineers, and designers solving business challenges with innovative technology solutions.

Our company just expanded to new locations in 10 Ukrainian cities, where we did not have physical offices before, and we need help with event organization called ROAD SHOW to present the company to the local TA. The prime objective was to engage new employees to start working remotely in the company:

1. increase local brand awareness,
2. increase hiring growth in those new regions.

We have been working with FILOSOFIA for 4,5 years already by that time. Before that we have conducted a lot of tenders for every big corporate event and FILOSOFIA has been always a winner.

So during Road Show preparation the main parameter to choose vendor was our previous positive experience with this agency, so we have been chosen the contractor we trust the most and who was able to take on such a complex project as there were so many variables during preparation stage and events itself.

There was a set of conditions that played a key role in working out the creative solution:

• conducting events outdoors in the light of COVID restrictions,
• locating the events in the very center of each city; each location had to be convenient for prospective participants,
• the location platform could not disrupt the urban ecosystem,
• lack of space to site a standard roadshow truck had to be taken into account.

We came up with an alternative solution which was toured across the cities. Our team developed, meticulously planned, and designed the roadshow area and its components:

• Bus;
• Registration area;
• Speaker stage;
• Expo zone;
• Coffee break and networking area;
• Photo zone;
• Recruiting places.

The constructions were reusable; they were designed so that they could be easily assembled and disassembled. In addition, they were easily adjustable and could be transformed swiftly. Upon the completion of the roadshow, all the materials were sent for recycling.

I worked directly with my project manager Anastasiia as well as with director Olena. Also, co-founders Stanislav and/or Yevhen were presented on each event in every city, managing the most important stages of event preparation.

Can you share any outcomes from the project that demonstrate progress or success?

After the Road Show:

• hiring of IT specialists in the 10 cities we visited increased by 72% (huge result),
• we covered more than 10,000 kilometers in 10 weeks of the project,
• 80 speakers, actual company employees, delivered their presentations on currently essential IT topics,
• there were 2,600 preliminary registrations and 1,500 actual participants,
• the company opened new offices in 4 different cities,
• thanks to the YouTube show about the projects, the YouTube channel of the company got 1,500 new followers,
• over the course of the project, we got 306,000 people attracted by the advertisement and 780,00 views on YouTube.

We had weekly meetings via Zoom or in person starting 2 month before the first Road Show, all official/important documents/briefs were also sent via emails, and also we have a common group chat. One-two weeks before meeting frequency increased, and also the chat activity increased as well.

The team was constantly in touch, informed us on time about the progress (this is especially important during night set-ups) and promptly resolved urgent issues. Also, we had a retrospective session after each event in every city and the final session after the whole project was finished. At each stage everything has been done on time.

What did you find most impressive or unique about this company?

The main approach of FILOSOFIA is that they perceive every project/ event as their own. Working with fully dedication and wish to achieve the goals of the projects the same as the customer.

Also, I think that team's competitive advantage is that they worked many years very close with IT, software, startups and blockchain companies and customers, so they understand tasks of the projects, level of services need to be shown, long-term goals perfectly as well as customers' TAs.

Are there any areas for improvement or something they could have done differently?

In this project, everything was done great, and we work close under improvement after each event, so at the end I can not suggest any improvements.

Together with the company, we developed the MacPaw Advent Calendar platform. The platform included individual, group and team tasks that employees completed during the month. They also organized the final event summing up the results of the year. The platform and filling were completed in a fairly short time. But the involvement of employees was at a high level.

At 2022 Vilmate had 10th Universary. The task was to organize a party and engage people together when they are all over the world. FILOSOFIA offered us an interesting online-game, and also implemented the delivery of party-boxes for the great atmosphere. FILOSOFIA completed all the tasks despite the fact that the project was very difficult.

We were sold out 2 weeks before the event (500+ tickets), the event went perfect and was nominated for the international award, and over 1 million UAH (approximately $27,000 USD) fundraised for Ukraine.

How did you select this firm and what were the deciding factors?

This is not the first time we cooperate with this company, and have always received only positive feedback from the company employees. We have had experience with both online and offline events.

It was a hybrid format for the event. There was an online broadcast in each office, as well as a stream from those offices. The main studio with the event presenter was located remotely, and the viewers in the offices watched the broadcast on the big screen. There was also an alternating live feed from different locations and an online broadcast from the offices.

There was a team of 5 main people involved. In addition there were involved 4 videographers, designers, moderators broadcast, sound and light technicians.
