Describe the scope of work in detail. Please include a summary of key deliverables.

We needed to establish a digital platform that would follow all regulatory requirements from EU and JAZMP (Slovenian agency for medical devices). From that we organicaly scaled the scope to other features, including relations with our partners (dental clinics), patients and maintanance providers. 
We also needed to upgrade our stock management to further follow the MDR regulatory process (connection with production and automatic generation of "certificates of conformity of medical devices" produced in a speciffic laboratory). We also wanted to implement a billing module to round the platform up to a fully functional product. 
With that we expanded on the original idea, that's why it lasted a little longer to develop our "MVP", which wasn't really an MVP anymore to be honest, since Digitool.dev suggested that we start with first users (forever free plan - QA testers) in order to iterate the features that we're developing on top of our original plan.

RESULTS & FEEDBACK

What were the measurable outcomes from the project that demonstrate progress or success?

After our warm launch, we retained 85% of paid users in the first three months after signup, which is 35% higher than expected.

Our initial paid customers submitted 200 tickets (bug reports and feature requests), which guided our development priorities and helped us tailor a niche SaaS platform. Now, we receive only one bug report every two weeks, a testament to the effectiveness of our rapid response to user feedbakc.

We’ve received multiple Letters of Intent from high-profile industry experts, potential business partners, and other key figures in the segment (including eight-figure distributors), which will support our startup’s scaling in both domestic and international markets.

The best thing about working with Digitool.dev was their transparency - they invited us into their Slack channel and created a designated ClickUp workspace, where they granted us guest access, so we could see what was in progress, which tasks took how long to complete, how each development sprint was structured, and much more.

Their estimates were spot-on, which helped us adjust our sales and support communication.

I think that the biggest value we got from them was their consultation - we have vast experience in the dental sector (laboratories), yet we didn't have any hands-on experience when it came to startups, development and coding - they guided us through, not only development roadmaps, but through go-to-market strategies and actualy fascilitated multiple meetings with potential investors, big-name industry experts and other potential partners. 
Heck, they even created a pitch deck for us. I personaly learned more about startup business than I ever expected!

Their transparency and drive - they actualy want our startup to succeed. I guess they are as hyped and focused in the same time for this project as we are. We weren't expecting to go this far, to be honest, but their visualization of GROWTH of OUR startup, and not just development of a simple MVP, was and still is super impressive.

I'm the CEO of a furniture company. We specialize in the planning, design, and sale of kitchens, furniture, and home appliances.

What challenge were you trying to address with Digitool.dev?

We needed an app to track the status and location of customer orders and appliances. Our external contractors often caused delays by failing to deliver all components of an order on the same day. Instead of spending time calling around to locate missing items, we wanted a system that would streamline coordination and let us focus on delivering the quality service our clients expect.

SOLUTION

What was the scope of their involvement?

Digitool.dev developed and designed a custom app that allowed us to track the status and location of each parcel and component of an order - including kitchens, appliances, and furniture. Since kitchen orders are divided into multiple packages, pallets, and parcels, the app made it easy to monitor what had arrived at our warehouse and where each piece was located.

They integrated the app with our existing CRM, ensuring that both our sales and customer support teams had full visibility into each order's status. A Google Calendar integration was also implemented, allowing us to efficiently schedule deliveries and kitchen installations.

To improve communication, they added real-time notifications—both in-app and via email—whenever the status of an order changed. Additionally, they built a reporting dashboard so we could track operational performance at a glance. The most valuable feature, however, remains the precise tracking of all order components, which significantly reduced delays and confusion in our logistics process.

How did you come to work with Digitool.dev?

We found Digitool.dev through a referral and chose to work with them because they clearly understood our needs and vision. From the start, they were informative, transparent, and demonstrated strong knowledge. Their proposal was also well within our budget.

How much have you invested with them?

We initially invested around €15,000 for the base version of the app. Later, we added a few custom features, which brought the total to approximately €18,000.

What is the status of this engagement?

We began working with Digitool.dev in November 2024, and our collaboration is still ongoing. The MVP has been completed and is currently in the testing phase. We continue to work together on minor refinements, and we’re already planning to expand the solution into a product that can be offered to other companies.

RESULTS & FEEDBACK

What evidence can you share that demonstrates the impact of the engagement?

Since implementing the app, we’ve become much more organized. Our contractors now know exactly where each part of an active order is, which has significantly reduced the number of phone calls and boosted overall efficiency. As a result, we’re able to deliver and assemble kitchens, living rooms, and bathrooms about four days faster than before. Given our average delivery timeline was six weeks (42 days), this means we’ve improved our assembly efficiency by nearly 10%.

The impact on client satisfaction has been significant. Before, we often struggled to track order components - now we can provide clients with real-time updates, which builds trust and improves the experience. Personally, I feel around 50% less stressed, just knowing where everything is makes a huge difference in how we operate.

How did Digitool.dev perform from a project management standpoint?

Their project management was excellent. Before development began, they helped us clearly map out the structure and features of the app. Their project manager was consistently available to answer our questions and kept us informed throughout the process. We had full visibility into the project via their ClickUp platform, and communication was smooth through Slack and bi-weekly video calls.

What did you find most impressive about them?

I was impressed by their efficiency and their ability to truly understand what I wanted. It's rare to work with a partner who genuinely listens and translates your ideas into a working solution, but Digitool.dev did exactly that.

Are there any areas they could improve?

Overall, everything went smoothly. We did have a minor hiccup near the end regarding app testing. However, we quickly resolved it.
