I’m a lead at a data science startup. We solve other companies' data science problems by providing business intelligence solutions. For example, we help them compare data from different sources, extract insights, and use those insights for decision-making.

What challenge were you trying to address with Data Pilot?

We needed help with a small project that would also help us evaluate our own platform’s performance, so we hired Data Pilot.

SOLUTION

What was the scope of their involvement?

Data Pilot helped us with a small marketing spend analysis project. Initially, we provided them with a brief detailing our acceptance criteria. Their goal was to deliver a working code that showed us the analysis on our platform, which included creating all the dashboards and documentation needed. To achieve this, they gathered all the data related to our marketing spend and developed a data storytelling demo product that showed us our main issues and how to address them.

We worked with three teammates from Data Pilot and their CEO, who also interacted with us.

How did you come to work with Data Pilot?

I found them while searching for a partner who could meet certain requirements. After our initial conversations, I really liked how engaging Data Pilot’s CEO was. He gave us confidence in the project because he trusted our platform and told us that he could deliver the project, so we started working with them.

We spent around $5,000.

What is the status of this engagement?

We worked together from November 2022–January 2023, and this time period included all of our conversations prior to and after the project delivery.

RESULTS & FEEDBACK

What evidence can you share that demonstrates the impact of the engagement? 

Data Pilot successfully showed us that our platform is very useable; they did a good job. Ultimately, they delivered a beautiful data storytelling demo for marketing spend analysis.

How did Data Pilot perform from a project management standpoint?

I can vouch for Data Pilot’s project management methodologies. They had a very strong way of letting us know exactly what they would deliver and how they were accounting for their time. Overall, they did a great job at setting expectations and delivering accordingly.

Throughout the project, Data Pilot was very clear about the details for the execution and gave us visibility on the progress — they really excelled at that. Thanks to this, we didn’t have to worry about overages in the invoices or working hours because they were very transparent. They used a project management tool to manage our project and shared a dashboard with us to give us visibility on what was happening with the data.

What did you find most impressive about them?

Data Pilot’s project management methodology was outstanding — their communication and transparency set them apart from other service providers. Even when we had issues that slowed things down, they let us know about those issues while simultaneously working on solving them. Once they solved those issues, they also let us know that they would be delivering things faster. Overall, Data Pilot did an excellent job at balancing their communication and deliveries.

I can’t think of anything Data Pilot could have done differently.

I'm the Chief Analytics and Product Officer at 7 Knots Digital. We're an agency consulting on analytics and digital audience strategies for some of the largest media companies in the U.S.

For what projects/services did your company hire Data Pilot?

Initially we needed support migrating dashboards from Power BI to a new tool our client launched. We also needed support setting up data pipelines and executing manually workflows to free up our teams existing bandwidth.

How did you select this vendor and what were the deciding factors?

We put out an RFP and Data Pilot responded promptly with answers to our questions and presented new ideas for long-term support. Data Pilot demo'd examples of their work and they were always quick to respond to any inquiries.

We asked them to jump in learning a new software program and iterate on initial dashboards with limited requirements. Data Pilot was amazing at being proactive in sharing layout ideas and generating relevant insights based on their own discovery and analysis. This was extremely helpful and led to additional avenues of revenue opening up. Our scope with Data Pilot has expanded over time to cover data analytics, but also more digital and digital analytics support.

Their founder was involved at the outset and still joins calls regularly. We have a main point of contact and another 2-3 additional support team members.

Can you share any outcomes from the project that demonstrate progress or success?

To-date, we've set up over 60 dashboards (too many, but the client loves them all). We gauge success as adoption of use of dashboards and reports by the client. They are always asking for more, so we continue to work with Data Pilot to deliver.

How effective was the workflow between your team and theirs?

Workflow has been great. We use email and also have the option to work with their project management tool, and they have offered to work with ours if needed. We work as lean as possible.

What did you find most impressive or unique about this company?

Their knowledge of data analytics space is at an expert level and it comes through in their recommendations to improve dash-boards. workflow set up, and infrastructure design. They are extremely proactive and offer up suggestions which keeps our teams operating at the leading edge.

Are there any areas for improvement or something they could have done differently?

Data Pilot is great. We are always working to improve our own requirement sharing to enhance our partnership. I wouldn't do anything differently other than I wish we'd worked with them earlier.

Swyft Logistics is a 3PL startup that has grown multifold over the last couple of years. We are tech and data focused company as automation and realtime decision-making is crucial in our industry. I work as VP of Engineering at Swyft Logistics and lead the company's tech strategy and execution.

We hired data pilot to build for us an analytics dashboard that becomes our go-to tool for decision making regarding nation-wide delivery operations.

How did you select this vendor and what were the deciding factors?

We were in a lookout for a dependable data partner. I had personally worked with the CEO of Data Pilot at another organisation so requested him to give a demonstration of their work to our senior management. The Data Pilot team gave excellent demo customised to our needs and they were handed over the project.

The project kicked off with the discovery phase to identify the current problems and the possible solutions. An NDA was signed which was followed by a project scoping activity. Once the scope of deliverables was finalised controlled access of Database was provided to the Data Pilot team. They prepared data dictionaries and mapping documents to kick off ETL scripting process. Cloud Services were provisioned on AWS support the ETL and Data Warehouse creation. Dashboard visualisations followed after that. Once the widgets were ready we went into a testing/feedback cycle that allowed both the team to fine finish the final product.

Can you share any outcomes from the project that demonstrate progress or success?

The Dashboard provided near real-time visibility to our operations team. Our warehouses holds thousands of parcels that are to be distributed everyday. With the new Ops dashboard now we are able to see aspects like parcels ageing, number of parcels dispatched right now, parcels' activity over a time range etc.

We opened a slack channel for the two team to communicate. Being in the same timezone further helped our interaction. Data Pilot team ensured that the minutes of the meeting were shared in a timely manner. Did not face any hiccup during the project

We can now share dashboards with our clients with their most important metrics. Before, a developer would need to jump into the database to find the answer to questions they have. This is saving us a lot of time and is making the customer experience much better

They were very reliable and responsive via e-mail, Slack and conference calls

They are very professional and punctual, and the quality of their work is outstanding.

Sometimes they could do better in peer-reviewing each others work. We caught a few bugs that should have been picked up by peer reviews.

Our first step was to define our existing technology stack and determine what we are ultimately hoping to achieve. Once that was done, we were able to define phases with timelines to build the necessary infrastructure to help us better define the analytics that are useful to us and for us to begin to lay the groundwork for our data lakehouses.

We meet on a weekly basis with very transparent project management to measure our progress on all the work.

Can you share any outcomes from the project that demonstrate progress or success?

We managed to create our first comprehensive dashboard pulling data from a lot of different sources in e-commerce and marketing. This birds-eye view is aiding all important stakeholders within the organisation.

It also helped us in our first step of identifying important KPIs to incorporate into our Phase 2 dashboard/analytics hub. We've started the processes of migrating our data infrastructure onto Azure.

The communication is very good and the task management is transparent. Our weekly progress reviews are extremely helpful in making sure both teams are on the same page.

Their work ethos and genuine interest in the success of their clients are notable in the workflow.

They're a young and growing organisation - for now everything is great, and I think with time they will have even more resources to help take our success to the next stage.
