The potential clients can receive free trial lessons before buying something. Additionally they can receive free consultation about the CG ( computer graphics) and all services that we provide. Some courses require preliminary preparation, so we check background of the future students. Some activities person can buy automatically through the web site, in other case our sales department send links for the payment. After the payment student receives either automatically the access to the content or if there is a specific start date for the course, he gets accesses before the start

We set up and automated the entire customer management system: including automatic emails, sending notifications, automatic invoices and access to the purchased product. Also set up a transparent system of reporting and tracking marketing activities and success of companies

I am more than satisfied with our cooperation. The team reacts very quickly to any request, follows deadlines and warns about possible risks. You can always track the process and time spent on the task

They're always ready to meet new challenges because for them, no task is impossible. They are always learning something new and ready to implement a new solution to your business

How much better could have been done, you can only find out as you use it. For this reason, at the time of implementation, not a single task would have been done differently. And as we worked, there were always ways to improve things and we found these solutions together

CRMiUM helped us deal with growth issues. Our CRM wasn't able to deal with the requirements we needed. We required a professional solution to build a CRM system with some specific functions, especially for recruiters and sourcers. We wanted to intagrete the CRM with HR automation.

They were recommended to us by a partner. This vendor was referred to us as being a superior knowledge provider in CRM consulting and SI.

CRMiUM developed the CRM and HR systems especially for us. I was impressed with how deeply they immerse into the project and study all the aspects of the business processes to create the proper concept of our company. During joint calls, we discussed step by step how to build the most convenient and effective system starting with the sources of attracting leads and channels for finding candidates, and ending with the intricacies of concluding contracts and invoicing clients.

We have defined the sequence of actions and statuses, as well as the roles in the system and access levels. A separate important component of the work was the system for recruiters. I was really pleased with the possibility of implementing functionality for marketing, as well as setting up analytics and reports that allow us to better track our work and get accurate statistics.

The team includes 7 people. At first, we mainly communicated with the project manager and the account manager. Further, we closely discussed the HR issues with the team led by the HR Automation.

All I want to say is that CRMiUM was able to put everything in order for us, which helped us become more organized and finally get the full image of our business processes. I found CRMiUM team as a very reliable and enthusiastic partner, with great specialists who really know and love working with Zoho. They have perfect knowledge about this approach and technologies, and give us a lot of useful tips.

How effective was the workflow between your team and theirs?

All the project's tasks, the current plan and documents are recorded in the system Zoho Projects. All the work correspondence is recorded in the common Telegram chat. All the final agreements and important decisions are dublicated in the Telegram chat and by email.

Once a week, we received a letter with the current project's status, as well as the balance of the purchased and worked hours to discuss the strategy. Almost every week, joint sessions on ZOOM or Google Meet were agreed and scheduled to demonstrate the progress of the project and make decisions on contentious issues.

What did you find most impressive or unique about this company?

They selected the Zoho CRM that perfectly suits our business needs, and customized our software using the best practices in the industry.

The job they do is excellent. We are satisfied with all the aspects of our cooperation with CRMIUM.

Our company was just starting its activity and there was a need to automate business processes. And we decided to implement a CRM system simultaneously with the start of sales.

We have been looking for a contractor for a long time, as we needed to find the optimal CRM solution. CRMiUM caught our attention as they implement different systems and can choose the one that perfectly covers the needs of my business and I do not have to overpay for features that I will not use.

Crmium implemented these systems: Zoho CRM, CRM Mobile app for Android & iOS, Zoho Books, Zoho Inventory, Zoho Analytics, Zoho Flow. Thanks to the introduction of the above systems, we have established the processes of working with regular customers and order forming, sales managers can trace the status of the order directly from CRM.

The distribution of orders between three storages has been set up within a warehouse account. In case one or another product ends up in a certain storage, an order for delivery is created automatically. Analytics for the orders from clients has been implemented, sum and amount of orders, sum of all payments from every client, remaining debt, average check, total profit from every client, and a stage client’s life cycle.

In addition to all of the above, we have integrated Ringcentral telephony. The possibility of fixing calls in the card of the corresponding client was implemented. Google calendar has been integrated to create appointments between managers and clients.

Can you share any outcomes from the project that demonstrate progress or success?

Established the process of maintaining regular customers and the formation of orders. The management of our company can monitor and control the entire work of the company in real-time from anywhere.

How effective was the workflow between your team and theirs?

They were fast and responsive, perfectly meeting our project management expectations. We often had stand-ups with their project manager talking to the rest of the team.

What did you find most impressive or unique about this company?

Crmium has always tried to come up with creative ways for ensuring we achieved our goal. Other integrators told us it couldn't be done, but that was simply because they didn't know how to do it.

Are there any areas for improvement or something they could have done differently?

This is somewhat out of their control, but I would like the cost of licenses to be cheaper.

Can you share any measurable outcomes of the project or general feedback about the deliverables?

We are able to increase our efficiency and spend less time on the manual work, because System is doing it for us. We see all the Data in 1 Source and reduces the amount of the extra programs/files to control the situation of the business, we have transparency on the HR system, we receive and ship our products faster in 60% and customer are satisfied with the way ho it works and look, before we have had many complains.

the project management is good, and I like to work with them. from the very beginning of the any idea we want to implement, they already start to brainstorm how to do it in the most valid way and with the best results, they do not mislead us and in case of any issues or questions we are always informed. when something is not working, they do not give up and are looking for the alternative way how to make the idea real.

Their ability not to give up and always to look for any way of implementing are notable in the partnership.

they are very customer oriented company with the goal oriented employees who are incredibly intelligent. sometimes they are very overloaded that some projects takes a bit more time then we have expected, which means that they are popular among the entertainments and I wish them to increase the number of employees, because as per the result they show it will be even more work in the future.

I had an account manager who worked directly with me. Also, we had a group of people - project manager, analyst, and engineer to help set up our processes.

The critical outcome we received was transparency in personnel communication which we expected. Now each employee can easily find any needed information about company structure, their balances on vacations and sick leaves, personal and company goals, the archive of 360 assessments reports, etc.

How effective was the workflow between your team and theirs?

We communicated with the team every day and had weekly meetings to make sure that we are aligned on demands and software was set up in the correct way. We communicated in chats, e-mails, and video calls as well.

They took the time to understand our inner processes and advised a lot on how to optimize them using the software. That was a key to our common success.

What was the scope of their involvement?

CRMiUM has done a pretty good job at automating our CRM program. From confirmation of interest to fixing specific workers and the transportation, the process of our leads was well done, and it helped our logistic department.

They also managed to set up the complex process of signing the contract with our clients after work is completed with automatic real-time recording of each stage and the calculation of the final cost.

In addition to that, they set up the possibility of online payment by signing the contract and implementing the inventory control of customers.

Regarding technologies, they've used ZOHO for the implementation of our CRM.

What evidence can you share that demonstrates the impact of the engagement?

The CRM system is very fast; the leads from all the received sources fall into a single database. Our agents instantly process applications according to the procedure depending on the source. Overall, it's very easy to use the CRM program, and we like that, so that's why we're still using them.

How did CRMiUM perform from a project management standpoint?

They perform very well; they're never late in delivering whatever we need from them. Their team is also responsive and available when we need them. Regarding communication, we use phone calls and emails.

We like the CRM program that we are using; it's pretty easy to use, understandable, and very useful for our agents and the people from logistics. It makes our job much easier than it used to be before.

What challenge were you trying to address with CRMiUM?

We were using an AMA-CRM system that was based in Russia, and we were severing our ties because of their invasion of Ukraine. Pipedrive CRM is our chosen solution, and CRMiUM helped us with the migration. 

SOLUTION

What was the scope of their involvement?

I explained the case that I needed to solve, and they asked a few questions and reviewed both of the CRM systems. They then presented their solution of how the new CRM would look after the migration.

We made some minor changes. They calculated the value and time of the implementation of this project and we both agreed. They asked a few questions just to understand the requirements well. 

It about two to three weeks to three weeks to migrate with all the resources and implementations.

We had a lot of clients — a lot of projects that were finished and closed, some projects that were ongoing, and some projects that were scheduled for the future. There were about 300–400 contracts, 1000 contacts, 300–400 companies, and 400–500 tasks migrated. Every data was migrated, and none were compromised. There was a duplication of contacts but CRMiUM found a way to merge them together.

We worked with about five people from their end but my main point of contact was the project manager. Their CTO, an account manager, a project manager, and the founder of the company were involved as well. 

How did you come to work with CRMiUM?

We met them at a business school about five years ago. I was just starting my company then, and they were also growing company but a bit bigger than us already.

I saw the good results of their SMM on Facebook and thought that they might be the right company to work with. We made a few calls, and I decided to take them on.

We began our partnership in March 2022 and the project was delivered in April of that same year.

The best metric is the number of contracts, time, processes, tasks, and companies that they migrated.

CRMiUM did a great job researching and understanding the two different systems; there were a lot of differences but all the contact records were migrated properly. Nothing was compromised.

How did CRMiUM perform from a project management standpoint?

They delivered each task on the timeline that was agreed, and there were never any delays. They also worked within budget.

Their team was great with communication; they were always online. Even if I messaged them after business hours, they always answered me.

We used Asana to manage and track our project and communicated via email, Google Meet, and Telegram.

CRMiUM's people went deep into the task and understood it quite well. They spent a good amount of time doing research, which made the implementation quick and perfect.

One of our goals was to communicate with our customers regularly through different channels, such as email and push notifications. So, we hired them to help us implement a CRM system that would allow us to do so.

What was the scope of their involvement?

CRMiUM provided support until the successful implementation of the CRM system. First, they helped us with formulating our expectations and goals for the system. Then, they helped us create an implementation plan, including the time and resources. Once that was done, they started writing code and programming everything to synchronize our internal accounting system with the CRM system, which took a few months. They also helped us test the program. Zoho Creator and Zoho CRM were used as the platform.

The system allowed us to manage our customer relations — specifically, it helped with constructing user flows for communication with our customers on things like reminders of new orders and so on.

We worked together from March–December 2019.

What evidence can you share that demonstrates the impact of the engagement? 

Our retention rate went up, as well as the rate of returning customers. We also saw an increase in the conversion rate from the first purchase to the second one and so on. We’ve also received good feedback from our colleagues that work with the system — they said its a lot easier to use compared to their previous software. 

How did CRMiUM perform from a project management standpoint?

They performed quite well in terms of meeting the deadlines that they specified. We communicated through Telegram and email. We also worked with a project management software called Worksection. There were a few delays, but they were situations that generally didn’t affect the project at all.

What did you find most impressive about them?

Their CEO really helped us in a big way to understand what we needed. When we were defining our requirements, their CEO attended all of our initial meetings. Thanks to his involvement, we were able to understand what we wanted from the software and what it could deliver to our company. Also, their team consisted of true experts in this field.

I can’t think of anything that they need to improve on — we were satisfied with everything.
