They helped us moved e-mail servers and thousands of e-mails from Google to Microsoft, and we are now able to manage several accounts from different devices which has increased productivity and reduced our overall costs.

I'm the Application Development Administrator for a small municipal government. We have about 200 employees.

For what projects/services did your company hire Communication Square LLC, and what were your goals?

Part of the Town of Bluffton's strategic plan is the implementation of a Document Management Solution that would allow us to convert all of the town's extensive paper and on-prem hosted digital files to a cloud based, fully digitized location. After an extension RFP process, we awarded the contract for this project to Communication Square.

SOLUTION

How did you select this vendor and what were the deciding factors?

We selected this vendor through an RFP process. What ultimately put Communication Square at the top of the list for our committee was the fact that instead of offering us one more software solution to manage, they would instead assist us with configuring our existing Sharepoint infrastructure to be utilized for Document Management purposes.

Describe the scope of work in detail, including the project steps, key deliverables, and technologies used.

The scope of work was largely comprised of necessary steps taken to configure our existing Sharepoint into a fully functional document management system. This was achieved by working with each department in the town to determine their needs regarding retention time, required tags and more. Once that information was complied, Communication Square used it to create a Document Management System laid out by department was highly functional and easy to use even for those not completely comfortable with technology.

Can you share any measurable outcomes of the project or general feedback about the deliverables?

We are extremely pleased with our Document Management System. It is attractive, streamlined and easy to use. We've entered the phase of the project where we're scanning large amounts of files into the system and have encountered no problems at all. Throughout the process of setting up, the team has been highly responsive to questions or concerns that came up.

Describe their project management style, including communication tools and timeliness.

The project management and customer service are both excellent, especially compared to other vendors that we've struggled with in the past. We communicated both through emails and Teams meetings. We had bi-weekly meetings throughout the project and originally intended to continue to have them now that the project is complete, but the system has worked so well that we have been able to move these back to monthly.

What did you find most impressive or unique about this company?

Definitely their Customer Service and Support. As a software administrator, I spent a lot of time trying to get support assistance and most of the time it is a real struggle. With Communication Square, they always responded in a timely manner with an answer to a question or an assist with a configuration setting.

No, I was very happy with the project.
