I'm the owner of Sortsy, an AI-powered tool that automatically organizes, renames, and declutters your computer files based on your preferences, helping you maintain a tidy workspace without manual effort.

What challenge were you trying to address with Coaldev?

We needed to create an MVP for a tool that organizes the files on your computer with clear guardrails like AI-powered rules, AI-powered naming, and a very good AI clustering model. The tool needed both a web component as well as a Microsoft and macOS app, which added complexity to the project.

What was the scope of their involvement?

Coaldev has developed a web app based on existing graphic designs. The team has also created a Microsoft Windows app and a macOS app that allows our software to access the users' files. Moreover, they've built a clustering model to accurately organize files into folders, a smart renaming feature, a rollback feature, and rules to guide the AI.

We work with numerous teammates from Coaldev.

We found them on Upwork. We chose them over other options because they had high ratings, a great culture fit, good value for the cost, and company values aligned with ours.

What is the status of this engagement?

We started working with them in February 2025, and our engagement is ongoing.

What evidence can you share that demonstrates the impact of the engagement?

They've delivered the MVP, a working product with active users. We use Github to track the specific tasks for each sprint.

How did Coaldev perform from a project management standpoint?

Overall, their project management is very good. The team communicates the status and shares updates with me regularly, so I'm always clear on who is working on what and when it's due. We communicate via virtual meetings and email or messaging apps.

CoalDev developed two applications that communicate via API that form our Web plattform that is consumed by B2C B2B customers and our employees. The team advised and developed the architecture in close communciation with me. Key deliverables where a fully open-source based backend with authentication, database, and API endpoints for key functionalities of the implemented modules. 

The development process was very convenient, the team was highly motivated and skilled.

What were the measurable outcomes from the project that demonstrate progress or success?

We subsituted our old website with a Web App that offers digital services to our customers. We receive less calls, make a more modern impression to our customers, offer more convenience for our customers, reduced stress for our employees by receiveing structured requests instead of chaotic calls.

The project was structured in work packages where I send a .txt requriement file to the team. We discussed in a teams call. Then I got questions to clarify whether the team understood everything correct. Then I received an estimate of hours neccessary to complete the work package. 

Delivery was always on time and feedback was incorporated fast and reliable.

What did you find most impressive or unique about this company?

Coaldev's availability and service level are hard to match and a key reason why we're their customers. Whenever I had an issue the team was there. 

Additionally the conceptual thinking and speed with which they propose a solution in form of an architecture for a certain business problem is great. 

Are there any areas for improvement or something Coaldev could have done differently?

The team is always open to critique - they actually ask actively after each Work package. So whenever there is an issue it is quickly addressed. Currently I don't have any.
