What challenge were you trying to address with BayCreative?

We wanted to engage more prospects on the merits of what we do. We were looking for a company to create some brand videos for us and help us spread the word about how we support our enterprise clients.

What was the scope of their involvement?

They've created three animated videos for us and we're working on the fourth video. The videos explain some complex technology in a simple and engaging way. BayCreative worked with us from the conceptual phase to developing key messages, writing a script, and creating a storyboard. Then, they developed the visual look and handled the production process.

How did you come to work with them?

I worked with them years ago, so I already had a high level of confidence in them. We were also considering six other companies for this project, going through a careful consideration process for each candidate. We had a couple of initial conversations with BayCreative and liked their creative approach, so we chose them.

How much have you invested with them?

The videos were approximately $13,000 each.

What is the status of this engagement? 

We started working with them in April 2016 and the relationship is ongoing.

What evidence can you share that demonstrates the impact of the engagement?

I'm very pleased with the traffic the videos are driving to the other parts of the website.

How did they perform from a project management standpoint?

The process was very professional and rational. There were many team members engaged in the project, but BayCreative was masterful in orchestrating the process and enlisting everybody's opinion. They never let things get out of control.

What did you find most impressive about them?

They do an amazing job taking complex concepts and communicating them in a way that is clear and visually compelling. They're excellent at crafting a narrative and have a great taste in music, while their voiceover artists are just terrific.

Are there any areas they could improve?

Everyone wants to pay less, but it was worth every dollar.

They're working on a lot of projects, so plan ahead.

What challenge were you trying to address with BayCreative?

We needed a company to regularly produce and update creative materials for us in a professional way, with quick turnaround times.

What was the scope of their involvement?

We've worked on 40–50 projects with them since June 2017, which is the time I joined the company. They develop marketing print collateral for us as well as website banners, PowerPoint decks, digital one pagers, ebooks, and brochures. Sometimes, we give them a piece we worked on in the past as a template, pointing out the things we want to keep and the ones we want to change. Other times, they work more independently. For example, we were putting together a sales one pager, and we only had a conceptual idea for it: we wanted it to be fun and imaginative, but also to get our points across. With very little direction, they did a beautiful job on that project.

How did you come to work with them?

They were already working with our company when I came on board in June 2017.

What evidence can you share that demonstrates the impact of the engagement?

They do high-quality work, taking our brand into consideration and staying up-to-date with SalesForce branding, which changes on a regular basis. They're very detail-oriented and take care of all the little things, making sure the links work and the punctuation is correct.

How did they perform from a project management standpoint?

They work very quickly, giving me a timeline and letting me know the reason if there's a delay (sometimes, we want to make last-minute changes, which pushes the timeline). They always keep us in the loop about the course of the project.

What did you find most impressive about them?

They're able to turn things around quickly, even when we ask them to come up with new creative designs, which is rare for agencies I've worked with. In addition, they're kind and pleasant to work with.

Are there any areas they could improve?

No, they've been a great partner.

Do you have any advice for potential customers?

Give them some free rein, especially, if it's not an urgent turnaround project and you don't have extremely strict guidelines on what you're looking for. When they have time, they can exercise their creativity a bit more. I'm always surprised by something unexpected, fun, and thoughtful that they come up with.

I’m in a new role now, but at the time I was the head of employee communications for McKesson, which is a multinational company in the healthcare services industry.

OPPORTUNITY / CHALLENGE

What challenge were you trying to address with BayCreative?

We were in the midst of an internal business transformation within our HR [Human Resources] department, which was in the process of reinventing itself so that it could provide more effective and cost-conscious service to our employees. What we needed was assistance creating assets that would make the transition feasible for the HR employees.

SOLUTION

What was the scope of their involvement?

Much of the process was trying to help the HR employees understand what their future within the company looked like and what their places were within it. BayCreative needed to support our internal staff by clarifying where the company was going through the development of various assets and tools. Our requests of them were limited primarily to design support, because we already had an extant internal communications team. Effectively, they were an extension of our team. We would typically bring them in when we needed a specialized task of some kind or if we simply needed additional bodies to get tasks done. They likely have far greater capabilities than we utilized, since we had a fairly targeted use of their services.

In general, they supported us in making designs on ad hoc requests for what I would call work collateral. For example, our executive recruiting department needed them to design a value proposition pitch that they could take into meetings with their executive clients, which took the form of print deliverables.

At that time in our company almost everything was done via PowerPoint [PPT], and we needed a lot of help to clean up slides, make them more presentable, and simply design them better. Much of their work involved creating presentations of varying complexity on a number of relevant topics. One of the most impressive end products involved animated slides and audio recordings and really helped to bring the story of what was changing in the company to life in a creative way. The so-called voiceover PowerPoint slides were tremendously valuable because BayCreative took a complicated idea and made it simple to understand. They were very good at that, and the end products were frequently shared within individual internal teams.

I worked primarily with a creative director, and I also interacted as needed with a number of designers while they were working on specific assets. One additional team member was in charge of video and audio voiceovers.

How did you come to work with BayCreative?

Scott (President and Co-Owner, BayCreative) is a long-time friend of mine. When BayCreative moved into an office that was close to ours, we began working together on this initiative.

What is the status of this engagement?

We began working together in 2010, and I was on the project for about two years after that. BayCreative continued to be engaged with our company for a while after I left, but I am not aware of any further specifics after my departure.

What evidence can you share that demonstrates the impact of the engagement?

While BayCreative did not get feedback numbers in response to their efforts specifically, their work was incredibly impactful in support of the HR mission of the company. We relied on specific feedback from the people who we were supporting, and BayCreative functioned as a support to our support team. All of the good feedback we received overall was also a positive reflection on their work.

How did BayCreative perform from a project management standpoint?

The creative director with whom I worked with was a great assistance in figuring out what our strategy needed to be regarding this project. He was really good in terms of asking all the right questions upfront about identifying the audience and determining what we were trying to accomplish. Overall, BayCreative has always been very responsive and interested in both collaborating and listening. At one point, when a client was dissatisfied with some aspect of their work, the two co-owners sat down with her in person to make sure they understood what had gone wrong. She greatly appreciated the personal, high-level follow-up.

What did you find most impressive about them?

The most impressive thing about BayCreative is their availability and ability to do almost anything that we needed. They were able to step in and do specific tasks in support of our broader creative team on a moment’s notice. We found them to be responsive, talented, and consistently effective at completing every job exactly the way we wanted.

Are there any areas they could improve?

Although one of the reasons I highly valued their services was their ability to take on almost any tasks, I also think it might behoove them to specialize a little more. They might not be leveraging their greatest strengths by accepting all jobs no matter the topic. Additionally, it might benefit them to be more clear and upfront about said strengths and abilities.

Do you have any advice for potential customers?

Every situation is different. Be prepared when first going into this kind of partnership and ask the right questions upfront once you know what you really want or need. That will allow you to ensure that they can provide that solution for you.

I work in the global software center at Fujitsu. It’s a small software startup portion of the company, and my job is to launch and generate revenue from various software platforms that we’ve either built internally or acquired through mergers and acquisitions.

As a small startup in a large company, we needed a better approach to marketing for things like the websites, outbound messaging, and datasheets.

SOLUTION

What was the scope of their involvement?

In the beginning, we had acquired a company and needed help rebranding to match Fujitsu. We also had BayCreative change the messaging to be more global so it could fit inside the Fujitsu basic marketing and messaging component. They also reshaped the basic sales marking presentations and datasheets and made some web improvements.

What is the team composition?

We had about four on our team. Some managed the project and the logistics side, and the others were creative and reshaped the content and messaging.

How did you come to work with BayCreative?

They were already involved before I took over the group. They’re a small boutique marketing firm located near our headquarters, so the proximity probably had something to do with us hiring them.

How much have you invested with them?

We spent about $200,000 in total.

What is the status of this engagement?

They were probably hired around 2014, and we just finished our last project with them in 2017. We have smaller projects they sometimes work on, but most of our marketing is done internally now. They’ll usually just do content creation for us when needed.

The amount and quality of leads we received after and during their involvement has increased.

How did BayCreative perform from a project management standpoint?

They were almost always on time and on budget. It's pretty easy to get delayed in this kind of work, but they were on point and communicated well.

What did you find most impressive about them?

Because they’re small, they can burrow in and get involved in your business on a deep level, which helps with the messaging and marketing. Larger firms tend not to have that level of understanding, but Bay understood quickly what our business was about and helped us formulate our strategies.

Are there any areas they could improve?

I don't have any criticisms. The relationship with them was positive.

Do you have any advice for future clients of theirs?

Make sure to have personal contact. Meet face-to-face on a regular basis to get a better picture of what you're trying to accomplish. If you do that, it’s easier to do things remotely.

Excellent. The frequency in which we spoke varied as required by the project, but if we needed to be in touch every day then they were more than willing to accommodate us.

What did you find most impressive about them?

Because the principles have worked on the client side, they have a deep understanding of corporate strategy. That allows them to really understand the context of the project and the kind of work that we're asking them to do.

We didn't find any barriers to working with them, so I can’t say that there's anything they need to improve.

My name is Graham Brumfield and I'm an associate publisher with Thieme Publishers. Thieme is an international company, publishing more than 140 medical and scientific journals in both print and electronic formats.

OPPORTUNITY / CHALLENGE

What challenge were you trying to address with BayCreative?

We'd just launched a new journal with a very unique payment model. Most of our publications are open access, which means that an author pays to have an article published. That’s the established model in the medical publishing world.

The new journal uses a pay-what-you-want model. Once an author had been accepted into the journal, they can pay whatever amount they choose, even if it’s zero.

Since this was a new payment model, we wanted to find a way to simply and easily explain it to authors. We also wanted to promote the journal while educating people on this new payment process.

SOLUTION

What was the scope of their involvement?

We shared with them the details of the pay model, and brainstormed together for ideas of how to explain it. Eventually we landed on the idea of a short video that we could embed on the journal’s online platforms.

BayCreative took all this information and created a draft script. We reviewed it, and made a lot of suggestions and asked a lot of questions. We had another call to go through those comments, then they came back to us with a second draft of the script.

Once we signed off on the script, they sent over concept art and storyboards for the video.

We had another call to finalize those details. Next they sent us samples of 2-3 voice over artists and we selected the one we liked the best. Then they recorded the scripts, we approved the audio, and then they put the animation over the top of that.

We had to make a few slight changes to better explain the pay model, and then the video was ready to use on YouTube and other channels.

What is the team composition?

We primarily worked with two writers and an animation specialist.  

How did you come to work with BayCreative?

One of my colleagues had worked with them on a project a number of years ago, and he suggested I reach out to them.

What is the status of this engagement?

We worked with them on the video in 2015. The process took 4-6 months to complete from beginning to end.

What evidence can you share that demonstrates the impact of the engagement?

The video has been up on YouTube page for two years, and it's the fourth or fifth most viewed video. For us, we consider that to be a success. Our press office said the initial announcement of the pay model, which used the video, generated the most inquiries of any project to date. We attribute the interest to the novel idea of the pay model, as well as having the video as an easily shareable tool.

What they've produced is really nice. I'm proud of how the video looks and performs. I still bring it out to show potential customers and potential new editors, and generally the feedback is good.

How did BayCreative perform from a project management standpoint?

They were great. Any delays were primarily on our side, because we have a lot of approval steps to go through. Several times it took us longer to return comments and feedback due to the approval process on our side.

Being in Germany while they’re on the West Coast of the U.S. was challenging, but they did the best they could to keep us on schedule. They always reached out to us with very polite reminders if we had things that were overdue or let something slip.

During the creative process, they were very receptive to our comments. It wasn't just a case of them telling us what to do or vice versa, we really worked together. At the end of the day, we've got a very good video that we're still using today to promote the journal.

What did you find most impressive about them?

The project was enjoyable, and the process of working with them was a lot of fun. They seemed to really enjoy taking on a project in an area in which they didn’t have much experience.

Their team did a great job in getting us to think about the “why” of what we're doing, what makes it special, and what the actual message needs to be.

Are there any areas they could improve?

I can’t think of anything they could have done differently or better.

Do you have any advice for potential customers?

Even if you don’t have a lot of experience with video, BayCreative has the ability to develop messages from a different perspective than your in-house team. That fresh perspective is invaluable.

My background is applied sports psychology and part of it is consultative, so I do one-on-one and group consulting. I work with teens, as well as women in leadership. The other part of my business is creating evergreen products online that run without me being personally involved.

I’m known in my niche as a coach for teens, but increasingly, I’m being asked to do work for women in leadership, so I had to tweak my branding. Historically, I’ve worked with world-class athletes, and I’m consistent in that I teach people how to have a world-class mindset. I was doing all of this work myself before.

What was the scope of their involvement?

BayCreative completely redesigned my website and redesigned my branding efforts across all platforms, which includes digital business cards, Google Forms, etc. They created the branding, and once I expanded my audience, they made sure it was consistent across everything — whether it was print, digital, or anything that we have out there that makes people think of us. Basically, I went from a consulting business to an LLC, moving a lot of our products online. They’re in the process of setting up funnels and campaigns for Facebook and lists for different products that we’re launching. They create the lists and promote and sell the products.

I had a friend of a friend who had worked with them before. I didn’t interview other companies.

Could you share any evidence that would demonstrate the productivity, quality of work, or the impact of the engagement?

My main objective was to gain some traction doing the same thing, but for a different audience. I’ve successfully broken into that audience and booked numerous speaking engagements and gained various clients. Not only that, but it has also gone global which is something that I didn’t really expect. I’m extremely happy with their work. They’ve given a lot of input.

How did BayCreative perform from a project management standpoint?

Project management has been good. Sometimes, it’s been challenging, but some of that has been my fault because I change my mind a lot. Overall, it has gone very smoothly. The communication has been top-notch.​

I work on a team of customer experience designers for a major tech company. We design and define end-to-end customer experience for hardware products.

What challenge were you trying to address with BayCreative?

We develop storyboards to convey the customer’s journey, and we share those with executives for alignment. Rather than looking at some spreadsheet, we get to tell them a beautiful story with illustrations and editorialized content. It’s really lovely work.

What was the scope of their involvement?

We would tell them about the kind of story we wanted to tell, and they would help us flesh it out by providing illustrations and doing the copyediting to make it more readable. We’ve worked with BayCreative on two projects. The process was very collaborative. We’re a group of designers, so we have a background in visual design and marketing. It was sort of like talking to people who understood your process already.

They worked in whatever way was comfortable for me. For some of the stories, I had a strong idea of what we were looking for and the illustration style. For others, I didn’t, and they would provide that feedback.

We use the stories to convince executives to take a specific journey. There is some sort of alignment. If we’re talking about a specific journey, we present it to them and ask if they agree or disagree and why they came to that conclusion. It’s a little bit of an exploratory Q&A sometimes. It just depends on the executive we’re presenting it to.

How did you come to work with BayCreative?

A co-worker of mine recommended them. We did consider other companies at the time. I had already built a working relationship with them through my co-worker, and I felt very comfortable with them. We did our due diligence and looked at other teams. They came in and pitched. The deciding factors were BayCreative’s merit, class, and always being able to answer any question we had.

The engagement began in April of 2016 and finished in August of that year.

Could you share any evidence that would demonstrate the productivity, quality of work, or impact of the engagement?

For me, the metric is delivering the projects on time—often ahead of time. Beyond that, it’s just the quality of the product itself. Usually, we would get comments from the executive on not only the content but also the illustration. It’s a broad metric, and we don’t really have a number for it. It’s high-quality work. Wherever I go, they will be at the top of my mind for any work that I can outsource to them.

How did BayCreative perform from a project management standpoint?

They deliver super high-quality and are always early. Early is on time for them, and that’s one of their qualities I can really appreciate in a high-turnaround environment. Most often, we needed things yesterday. When I come to them, we’re already on a tight timeline.

We use a lot of video calling. It’s great to see their faces, and we can also just display the things we’re working on and talk back and forth from there. We had a weekly call set up, usually Monday mornings around 10:00 am. They could go anywhere from 15 minutes to an hour, depending on what we were working on.

What did you find most impressive about BayCreative?

It’s almost like working with your brother. After you get to know them, you feel like part of their family. You can go to them for anything and always have a discussion about it.

Are there any areas BayCreative could improve?

I can’t say I’d point out anything they could improve or do better. They’re always forward-thinking as part of their business, so you never feel like they’re behind on anything.

We’re the nonprofit arm of a CRM provider. We serve two verticals, the nonprofit vertical and the higher education vertical. I manage marketing for the higher education vertical.

What challenge were you trying to address with BayCreative?

I have a small marketing team, and we had a capacity issue. I had been writing all of our customer stories and case studies, and we had reached our limit. We got a budget approved to outsource some of our customer case studies.

SOLUTION

What was the scope of their involvement?

We source the case studies based on who we want to showcase; it’s a pretty straightforward process after that. I reach out to BayCreative, let them know we’d like to do another case study, and see what kind of schedule works for them. I make an introduction to the customer, and they do an interview that lasts 45 minutes to an hour. Within a week, they turn around a first draft of the case study for us to review. We go back and forth and iterate until we’re happy with it.

The case studies are two-page PDF’s, and I think they’re designed well. We want them to be straightforward and easy to read, so there’s not too much flair that distracts from the main message. BayCreative had already been working on the corporate side of Salesforce, so they were familiar with the guidelines and branding. I provide feedback and edits, but BayCreative does all the copywriting. So far, they’ve done four or five case studies for us.

How did you come to work with BayCreative?

BayCreative had worked on a project with another side of our organization, so we were familiar with them. My colleague in that department said he was very happy with their work, so I got a quote from them, and we moved forward. Although I knew of other agencies I could have pursued, I had seen BayCreative’s work and had interacted with them, so it was a no-brainer to go with them.

What is the status of this engagement?

We’ve been working with BayCreative since March of 2016, and the relationship is ongoing. We have one story in the pipeline now, and we plan to use them for more stories going forward.

I don’t have hard numbers, but everyone on my team really likes the new format that BayCreative has started. They’ve been very well-received internally. They’re being used by the sales team and shared with other customers a lot. Everyone has given them the thumbs-up.

How did BayCreative perform from a project management standpoint?

BayCreative is great. They’re always on time. Scott [President & co-Owner, BayCreative] is very responsive when I have a quick edit or need something changed. After the first interview, they’re always very good at turning around the first draft within about a week. If there’s any hang-up, it’s on the customer’s side with their internal approval process before we publish.

What did you find most impressive about BayCreative?

I appreciate the pricing. I think BayCreative has very competitive pricing, and they give us a discount as a nonprofit. I appreciate their recognition of our nonprofit status. Scott is always brilliant and very responsive. The interviewer on their team, I think his name is Dave, is very good with the customers. That’s important because I don’t want someone interviewing my customers who doesn’t have the right tone and relationship management style. Everyone who has interviewed the customers has been good, and the customers have been very receptive to the whole process. I appreciate the whole package that BayCreative delivers.

What challenge were you trying to address with BayCreative?

We don’t have a full marketing staff; I believe that hiring an experienced agency is ultimately more successful than trying to do everything in-house. I was looking for an extension to my team for creative work around things like graphics, collateral, video work, and other ad hoc projects that come along. We were also doing a total revamp of our website.

SOLUTION

What was the scope of their involvement?

We first had to get the basics in place. When I first came on board, our brochures, graphics, and PowerPoint presentations were very standard and stock-looking. BayCreative helped us create very impressive iconography and other graphics, as well as multiple pieces of collateral with commonality, so everything looks like it’s connected. They had good ideas on the basic structure, suggesting creative elements that supported our innovative brand. This gave us a good, solid foundation to develop our brand elements and attributes. From there we developed our new sales collateral and then onto revamping our entire website to create a mobile-first user experience. At every step, they came up with creative approaches that you don’t typically see in our industry. Innovation is our brand, so our website and other content have to exhibit that at all times.

What I like about BayCreative, is that they come with multiple ideas that eventually translate into stunning deliverables. They give us plenty to choose from and carefully explore the options with us. This allows us to come up with the right combination of creative elements that maximize impact.

How did you come to work with BayCreative?

I looked at several agencies, and I liked the creativity that BayCreative displayed and their focus on the client. Many agencies were rather arrogant and often didn’t have the work to back it up. They were very inflexible out of the gate and very expensive. BayCreative was appealing because they could operate as that extension of my team. They’re responsive, and they have the span of skills to handle multiple types of projects - all at a reasonable cost. Most importantly, they bring a lot of creative talent to the table.

Could you share any evidence that would demonstrate the productivity, quality of work, or the impact of the engagement?

The feedback we’ve gotten from customers, partners, and employees has been very positive. They say our website is innovative, easy to use, and comes from a very creative angle. This has allowed us to cut through the noise of what others in our space typically promote, which is often stock, stale, and overly corporate-looking. Ours has a much more dynamic personality and has a great creative flair. The site is visually impactful and immersive, but not distracting, so the messages clearly come through.

Their creative talent is what makes BayCreative unique. The right creative talent is often the hardest thing to find in this industry. However, they also don’t over-rotate on the creative side. They’re able to work with the right balance of discipline, creative flair, audience focus for the end result. Also, they have good skills around messaging and streamlining content. All of this balanced with the business side, which is focused on results. Again, these skills and disciplined balance are not easy to find.

Are there any areas BayCreative could improve?

Like any firm, there are always opportunities to streamline the creative and billing process. However, BayCreative delivered on everything I asked them to do.
