We hired Balanex, LLC to clean up three years of bookkeeping, redesign the chart of accounts, establish budgeting processes, and improve the management of accounts receivable to support better financial visibility and control.

What was the scope of their involvement?

Balanex, LLC helped clean up about three years of messy books, rebuilt the chart of accounts so it matched how the business operates, and put some structure around budgeting. They also helped get accounts receivable under control so it was clearer who owed what and what cash was coming in. Balanex, LLC set up the budgeting process and helped put the accounts receivable tracking in place. They walked us through how to use it and ensured everything was working before handing it off.

What evidence can you share that demonstrates the impact of the engagement?

Within the first week, Balanex, LLC presented a new chart of accounts that was clearly tailored to our business. They asked very detailed questions about our operations, including things we hadn’t even considered, like small but recurring expenses. The chart of accounts ended up being far more accurate and useful than what we had before.Within about a month, Balanex, LLC fully cleaned up the first year of historical books. At the end of the project, we had cleaned-up financials, a new chart of accounts, a working budget, and a much more organized way to track receivables. Overall, financial reporting became more accurate, we reduced time spent investigating issues, and cash-flow visibility improved significantly.After the project, we had a much clearer understanding of where money was being lost. We learned that our factoring company was charging a 4% late fee on overdue customer payments, which hadn’t been obvious before the cleanup. Once this was identified, we changed how we handled late payments.Balanex, LLC helped us establish a late-fee policy of 5% and set up the system to apply and track those fees. This improved accounts receivable management and allowed us to recover some of the costs we were previously absorbing. We saved roughly 25–40 hours per month that had previously gone toward correcting bookkeeping issues and managing accounts receivable manually.

How did Balanex, LLC perform from a project management standpoint?

Balanex, LLC’s project management was very organized and easy to work with. They used a system where we could log in to upload documents and communicate. Our cleanup specialist stayed in constant contact throughout the process. I typically received one email per day with a clear list of what was needed, which kept things moving without being overwhelming.Progress was steady and measurable because Balanex, LLC was very responsive and kept the project moving by requesting documents as needed and setting clear expectations, including a 48-hour turnaround for providing information. They delivered ahead of schedule. Even though we had four years of books to clean up and were originally told the cleanup would be completed by February 2026, everything was finished by the end of November 2025.

What did you find most impressive or unique about them?

Balanex, LLC took the time to really understand how the business operates and asked detailed questions that made the work feel tailored, not cookie-cutter. Communication was consistent and easy throughout the project.

Are there any areas they could improve?

There wasn’t much we would change. The process was structured and moved quickly, which required timely responses on our side, but that also helped ensure the work was completed efficiently and ahead of schedule.

The clarity in the numbers ultimately gave us the confidence to sign up for ongoing full-service bookkeeping.
