Aktiv Software Pvt. Ltd.

BACKGROUND

Please describe your company and your position there.

We develop software for small and medium size businesses in Spain, and our main focus is the installation and customisation of Odoo ERP functionalities. I am the CEO and founder.

OPPORTUNITY / CHALLENGE

For what projects/services did your company hire Aktiv Software Pvt. Ltd.?

They participated in several projects dealing with the implementation of ad-hoc modules and functionalities in Odoo ERP for some of our clients, in areas such as accounting and invoicing, manufacturing, sales and purchases, recruitment and website, both for Enterprise and Community editions.

What were your goals for this project?

Basically adapt and customise the generic functionalities of Odoo and the third party modules available to the real needs of our clients, so they needed to understand the problems and the context of our clients and get to the best solution... and then implement it in Odoo.

SOLUTION

How did you select this vendor?

I compared several potential providers getting information from the Internet, exchanged some emails with them and had a face to face meeting with them.

Describe the project and the services they provided in detail.

The projects were all related to the implementation of Odoo ERP in customers of several industries, providing people with different degrees of expertise, from functional experts to programming resources.

What was the team composition?

Both functional experts to analyse the problems and propose solutions and programmers to implement it.

RESULTS & FEEDBACK

Can you share any information that demonstrates the impact that this project has had on your business?

The software implemented was installed and it is being used by customers, that demonstrates the success of the project.

How was project management arranged and how effective was it?

As in any other software project with people working from other locations, we used English as official language within the team and used videoconferences and screen recording a lot. The relationship with the customer was done by myself and the technical management was done by them.

What did you find most impressive about this company?

Flexibility and willingness to learn and improve.

Are there any areas for improvement?

It would have been very good to have people speaking Spanish in their team to help with the communication with our customers.

BACKGROUND

Introduce your business and what you do there.

I’m the owner of a vegan chocolate company.

OPPORTUNITY / CHALLENGE

What challenge were you trying to address with Aktiv Software Pvt. Ltd.?

I needed customized software that would generate the nutritional values and ingredients of different products we make.

SOLUTION

What was the scope of their involvement?

Before starting the programming, they created a PDF with all of the requirements and their descriptions. The software runs on our ERP. It lists the name of each ingredient, its raw materials, and nutritional values. The solution also has the batch numbers for each product.

What is the team composition?

We worked with 2–3 people.

How did you come to work with Aktiv Software Pvt. Ltd.?

They contacted me through LinkedIn. I decided to work with them because of their professionalism and affordable pricing.

How much have you invested with them?

We spent €3,800 (approximately $4,100 USD).

What is the status of this engagement?

We worked together from May 2015–May 2016.

RESULTS & FEEDBACK

What evidence can you share that demonstrates the impact of the engagement?

The implementation works. Because it wasn’t in the scope of work, they didn’t do error testing, but that would’ve been useful.

How did Aktiv Software Pvt. Ltd. perform from a project management standpoint?

While there were some challenges, their team did their best. They were responsive through Skype and email. Our Skype meetings involved them showing me their progress, and I could also make changes or suggestions.

What did you find most impressive about them?

The implementation works well.

Are there any areas they could improve?

Their team needs to perform more quality testing to ensure it fits the scope of work. We had a few code issues regarding the control when the input was different than expected.

OPPORTUNITY / CHALLENGE

For what projects/services did your company hire Aktiv Software Pvt. Ltd.?

Holding multiple businesses under a single belt was a tough challenge for us without a well-managed ERP system. Product Management, Purchasing, Accounting, Delivery, and Payment operations were not in sync and so we decided to shift to Odoo (ERP Software) with Aktiv Software as our implementation partner.

What were your goals for this project?

A centralized ERP system that render a smooth workflow without wrecking the requirements of different business.

SOLUTION

How did you select this vendor?

We were introduced to Aktiv Software as one of their Sales members contacted our team. Further we held a few meetings and decided to proceed with them.

Describe the project and the services they provided in detail.

Aktiv Software proposed us to shift to Odoo Enterprise v12. They explained us about the multi-company features of Odoo enterprise. They also performed various customization, which was specific and could fit all of their businesses. The idea was to develop generic customizations which could render a smooth workflow without wrecking the requirements of different business. Below mentioned were some of the significant customizations were performed alongside implementing Odoo: • Disabled the common product and contact book feature to make generic customizations that could be applicable for their multiple companies. • To eradicate the menace of availing accounting details from Maximo software, a plugin which could fetch vendor details, entries, and invoices to Odoo system. • Various payroll customizations. • Base Odoo structure didn't provide a purchase request feature; so, a module was developed through which the purchasing department could quickly generate purchase requests and could also send RFQs based on it. • Custom reports with attributes suitable for the customers of different companies by modifying the base functionalities of Odoo.

What was the team composition?

The team consisted three people along with a Project Manager who guided us throughout the project and was our permanent point of contact.

RESULTS & FEEDBACK

Can you share any information that demonstrates the impact that this project has had on your business?

Integrating Odoo and custom business-specific solutions made our business processes smoother.

How was project management arranged and how effective was it?

The project management at Aktiv Software was very punctual and uninterrupted. I was always kept in the loop on who is working on what and how.

What did you find most impressive about this company?

The technical skills of the developers were sharp and top-notch. The consultation we received from the team was pragmatic.

Are there any areas for improvement?

Honestly there are no such recommendations from our side as they performed the project tasks on time.

We will help our clients improve as an organization, get better results and achieve more. We are constantly seeking, acquiring and utilizing products, services and methodologies.

OPPORTUNITY / CHALLENGE

For what projects/services did your company hire Aktiv Software Pvt. Ltd.?

We hired Aktiv Software to install and customize a helpdesk system.

What were your goals for this project?

We needed a helpdesk system to better support our customers. The software we chose required some customization that allowed us to better manage and report back to our customers.

SOLUTION

How did you select this vendor?

We went through the process of searching for a partner that can understand our requirements and had enough resources to complete the project. We interviewed most vendors by phone but we were also able to interview Aktiv Software in person.

Describe the project and the services they provided in detail.

Aktiv Software installed, configured and customized the helpdesk software we chose as our platform.

What was the team composition?

The Aktiv Software team comprised of a project coordinator and functional and technical experts.

RESULTS & FEEDBACK

Can you share any information that demonstrates the impact that this project has had on your business?

Prior to the Helpdesk system, we dealt with all of our customers via emails and phone calls. Both client and ourselves were always wondering why certain tasks always fell behind schedule. We knew we were always very busy but couldn’t demonstrate why without a lot of effort which then would take away from the work needing to get done. We saw the immediate impact of having the Helpdesk system implemented and modified to our needs. We now live in the system and nothing is done without a ticket being created and all communications are through the system.

Our customers are now in more control of what needs to get done at a given moment. Especially when priorities shift constantly.

How was project management arranged and how effective was it?

Project management was accomplished via reports, emails and messaging meetings several times a week. We saw progress on the project through demos and were able to collaborate in adjustments required.

What did you find most impressive about this company?

We’ve had the opportunity to communicate with all different levels of staff through executive management. We felt very comfortable communicating and understanding our thoughts clearly. Additionally, we immediately noticed that the team have very sharp group of members. They were able to understand not just the technical aspects of our requirements but the business as well.

Are there any areas for improvement?

There are always areas of improvement in any organization. Aktiv Software did not present any challenges that are not inherent in our business. A suggestion would be to always follow up on inquires made to the client and have not been answered.

BACKGROUND

Introduce your business and what you do there.

I’m the founder of R for Rabbit Baby Products. We’re an Indian baby-care brand that started in late 2014.

OPPORTUNITY / CHALLENGE

What challenge were you trying to address with Aktiv Software Pvt. Ltd.?

The main challenge was inventory management. We sell both online and offline, via distributors and retail channels like Amazon, Flipkart, and Snapdeal. We also have brand customers, and we wanted to manage our inventory separately for all those business segments as well as have virtual warehouses.

SOLUTION

What was the scope of their involvement?
We have virtual warehouses for Amazon. In India, there is the Amazon Vendor Flex model, which doesn’t exist anywhere else in the world. It’s a virtual warehouse that we give to Amazon in our warehouse, and the inventories are managed separately through the Amazon system, like in their warehouses.

Aktiv Software helped us create multiple virtual warehouses with inventory management in Odoo. They helped us customize and implement the platform per our needs. They came up with multiple ideas. They’re very good with Odoo, and they made suggestions for creating different warehouses for us.

What is the team composition?

There are two frontend people involved. I don’t know how many there are for the backend.

How did you come to work with Aktiv Software Pvt. Ltd.?

I knew the founder of the company through a friend. I had a meeting with them, and they were clear with the fundamentals. We presented our challenge to them, and they came up with a solution. They knew what they were talking about. Anytime a company doesn’t know something, they just say yes to everything.

What is the status of this engagement?

We started working with Aktiv Software in April or May 2019. The collaboration is still active, on and off. We contact them when we want new customizations or support.

RESULTS & FEEDBACK

What evidence can you share that demonstrates the impact of the engagement?

We were implementing the Amazon Vendor Flex model in our warehouse, and we had a lot of challenges. We weren’t able to manage the inventory, and we needed to have a system up and running within 20–25 days. Aktiv Software helped with Odoo customizations and delivered the solution within our deadline.

I’m happy with what they’ve done. There are some technical limitations with the platform, but I can’t blame them for that. The system itself has issues in terms of the data being taken out of it.

How did Aktiv Software Pvt. Ltd. perform from a project management standpoint?

I’d rate them 8.5/10 in this respect.

What did you find most impressive about them?

Aktiv Software is good at the fundamentals.

Are there any areas they could improve?

We worked with Aktiv Software hand-in-hand for 25 days — for the implementation and support — and I didn’t find many issues. After I’ve worked with them longer, for other modules, I’ll be able to answer the question.

Do you have any advice for future clients of theirs?

Aktiv Software is knowledgeable, and they deliver on time. If something isn’t clear, they will ask us five times about it. What’s put on paper and in the customer’s expectations is 95% delivered in Aktiv Software’s solution. They know what they’re doing. It’s the client’s responsibility to negotiate things with them on the commercial end, but, when it comes to the technical part, I’d be confident to recommend them to a friend.

OPPORTUNITY / CHALLENGE

For what projects/services did your company hire Aktiv Software Pvt. Ltd.?

With our legacy system, the Administrator was unable to view all the Accounting transactions based on specific factors of trade. Also, we needed more visibility in profitability reports, Product based sales, Month-wise growth, etc. We have many clients who have multiple branch offices, so we wish to keep centralized records of all clients and their transactions.

What were your goals for this project?

A centralized cloud-based system that was person independent and scalable.

SOLUTION

How did you select this vendor?

We were recommended Aktiv Software by one of our vendors. Further we held a few meetings and decided to proceed with them.

Describe the project in detail.

Aktiv Software proposed the plan of developing, delivering & Implementing Accounting and CRM Modules for our company. They suggested Odoo (formally known as Open ERP).

Odoo is an open-source ERP that can easily automate all business processes. Being an open-source platform, it is cost-effective and, at the same time, scalable too.

So, the certified team at Aktiv Software successfully designed and delivered the following modules of Odoo:

- Accounting: For every transaction, the purchase and sales account would be associated, and accordingly, the transaction voucher would be generated.

- Fleet Management: Real-Time Fleet Tracking, Vehicle Management, Service/Vehicle Reminders, and Reports & Analytics were facilitated under the development scope.

- Sales: Under the Sales module, Admin can create and manage the client master database. Under these, information fields can be like name, address, city, state, contact details, bank account details, standard payment method (cash or credit), etc.

- Purchase: We mainly had two significant kinds of suppliers, and so they provided a different solution for each of them, as mentioned below. o Sugar traders: Admin/users can create and manage information for all suppliers. Information fields for Sugar traders would be like name, address, city, state, contact details, bank account details, type of trader (mill or trader), bank account details, standard payment method (cash or credit), etc. o Transport companies: Information fields for transport companies would be like name, address, city, state, truck number, truck capacity, driver's name and contact details, bank account details, standard payment method (cash or credit), etc.

- Reports: Based on the logs generated for each transaction or event, they helped us in generating a different kind of stories: o Purchase reports based on supplier, logistics, other overheads. o Accounting Reports o Sales/Customer reports o Profitability: based on client, truck, time, etc.

What was the team composition?

The project team had about five people and would work according to their skills in a particular module. We were assigned a Project manager who guided us throughout the project and was our permanent point of contact.

RESULTS & FEEDBACK

Can you share any outcomes from the project that demonstrate progress or success?

While it's only a few months after deployment and the custom modules and solution are already helping us with a reduction in errors by more than 60%. Our team is now engaged in value monetizing strategies rather than focusing on manual operations.

How effective was the workflow between your team and theirs?

Compared to other partners we have worked with previously, the project management at Aktiv Software was very smooth as the team always complied with the deadline. We also had a smooth communication process where we used Skype, Zoom, and GitHub for any kind of give and take of information.

What did you find most impressive about this company?

As clients, we have experienced transparency with every team member we have worked with. There is always one middle man who always helps us in understanding technical things. We also were in direct communication with developers (sometimes) as well as a Project manager, which was very helpful, and we felt a sense of reliability.

Are there any areas for improvement?

I would suggest we document and agree on a scope/change before moving ahead with the development.
