Les Olson IT is an IT Services company, as well as a seller of document management, security, phone systems, cabling, security cameras and office equipment. I am the CRM Manager, and I manage a group of developers that create processes for our company using Salesforce.

OPPORTUNITY / CHALLENGE

For what projects/services did your company hire Addax LLC, and what were your goals?

We use Salesforce for creating quotes, which means that we need a sales order for customers and potential customers to sign for the products and services they need. We were using a different software for that over the last 4 years, but they were unable to move forward with us, and were unwilling to develop key features that we were needing for our ever-changing business. Addax LLC was one of 3 companies we found that appeared to know what we were wanting, and were the furthest along in their development.

After seeing a demo of their current product, and seeing their great professionalism, we decided they would be the best fit for what we needed. Primarily, our new needs were based around the ability for the customer to make changes to their sales order, mainly changing the quantity of chosen products. This is something we were not able to do with our other provider, and we have other crazy needs and demands from our employees that Addax LLC has been able to fulfill.

SOLUTION

How did you select this vendor and what were the deciding factors?

Yaro and his team were very professional and friendly. They answered all of our questions, and if they weren't sure, they let us know that they'd get back to us soon, which they always did. I don't believe there were any requests that we had that they couldn't fulfill.

Describe the scope of work in detail, including the project steps, key deliverables, and technologies used.

The design they presented to us uses primarily Javascript and CSS. We provided to them all of our key fields that we pull from for the sales order, along with all rules and price books that needed to be applied. We have had a pretty good email process that is ongoing today. They would present us with the changes, which we would test, and report back to them. If any tweaks or changes needed to be made, we would communicate that through email, or if a call was needed to further explain, we would set up a meeting.

As the sales order got further along, we would introduce additional price books used in Salesforce to quote various products, which in a lot of cases required unique rules. They are very good at responding and making the changes we need in a timely manner. What's more impressive is that they are dealing with many hardships in their home country, and are still able to produce great results that we are very happy with.

How many people from the vendor's team worked with you, and what were their positions?

We have primarily been working with Yaroslav, their executive, and then his two developers, Sergei and Ihor. We have had many, many encounters with all three, and they have always been very professional and courteous.

Can you share any measurable outcomes of the project or general feedback about the deliverables?

Despite all of our extreme demands, we were able to push out the sales order into production, which received very high praise from all of our sales team, which is very hard to do. Usually, it's a big fight to make even the smallest of changes without receiving some kind of push back. People don't particularly like change, but we didn't receive any complaints.

After using the new sales order for a few weeks, we decided to pull it back out of production because our owners felt that we should add additional information to the page layout that would help our service department in the future. The changes we desired were sent to Yaro and his team and are currently being worked on.

Describe their project management style, including communication tools and timeliness.

As explained above, we primarily communicate through email, as well as Google Meet, when needed. I am used to receiving a very quick response from Sergei, typically, when I send them a request or when I have a quick question. The difference in time zones does not ever seem to be an issue. They are prompt in all of their replies.

What did you find most impressive or unique about this company?

The product we were looking for was very unique, and it was hard to find anybody that could do what we were wanting. Yaro and his team had already spent what had to have been many years developing their custom sales order, so they were miles ahead of anybody else, which was great for us because we did not have the time to spend on a lot of development. Again, they are very professional and they do amazing work. I'm very happy with the outcome they have provided.

Are there any areas for improvement or something they could have done differently?

I'd say the only issue we ran into was that occasionally we'd give them a request, which they'd fulfill, but it would sometimes break something else that we had already asked them to make or fix. It hasn't been a problem though because they're so quick to respond, and we have had some pretty crazy requests for them.

We had an hour-long interview with their team to find out what their services were and what they could offer us. At that time, we wanted to partner with a company that could serve as both a supporting and development partner. In the end, we found out that they could provide us with more services so we were very pleased with them. We gave them smaller projects to see how they’d work and as we progressed,  their projects became bigger.

We began working with them in September 2021, and it’s ongoing.

What evidence can you share that demonstrates the impact of the engagement? 

I don’t have any metrics to share about their work, but feedback from our internal team has been extremely positive.

They have a great project management process. Their timeliness, attention to detail, and responsiveness have been impressive. I usually communicate my needs with them through email, and if there’s a need to provide more details, I give them a detailed scope with samples.

No, we work through issues as we go along.

Provide their team with as much detail on your project as possible. In addition, create a roadmap of your expectations and give them room for creativity.

I was hired to highlight and bring transparency into the top-line financials. I worked with Addax because we wanted to build a report inside Salesforce, to give us a direct line of sight into where renewal and new business subscriptions stand.

Addax provides management-level reports designed to drill-down capabilities. This is huge when it comes to identifying salespeople and overall business KPIs, and outstanding business items to help you drive towards your overall revenue goals yearly.

There are a few people I’m on calls with every now and then, but my point person is Yaro (Founder).

I knew about them through word of mouth. I knew someone who had worked with Yaro in the past so I thought I’d give him a try.

To date, I would say we’ve invested around $200,000.

Our partnership started in July 2020 and we will continue to work together.

What evidence can you share that demonstrates the impact of the engagement?

I brought something that gave the management team, the CEO, the heads of sales, and the regional manager of sales an absolute line of sight into what was going on with each individual salesperson. The measure of success is the fact that they absolutely love the product.

It’s done a lot of good things for me, and I get an awful lot of compliments because of it. I’ve never seen this anywhere and I’ve been in six different companies. The transparency into what we’ve developed is really fantastic and again, the fact that it’s live and you can drill down to any level of detail to what you’re looking for, makes it something unique.

The primary build of the product was finished in less than a month. We’ve made enhancements to it over the past couple of months and they were just really well-received. The Addax team has been great all around.

How did Addax LLC perform from a project management standpoint?

They were prompt at meeting deadlines.

The reason I started with them was because of their ability to understand what I’m looking for and get it done quickly — the turnaround and feedback loops very fast. Most of the time, I’m the reason why things go slow because I’m doing 100 other things. Addax is very customer-focused and comes back to me with updates as to where we stand, and when the project will be finished.

What did you find most impressive about them?

Apart from their fast turnaround time and being customer-focused, I’m really impressed with their experience in the field. They would be tweaking, fixing, and updating things live as we’re in a meeting instead of writing down requirements — they’re just that good. They focus a lot on live interaction and feedback which I believe sets up the process, saves me money, and gets me a better product.

Are there any areas they could improve?

I can’t think of anything they need to improve on. I’ve worked with them in the past and I will continue to do so.

Do you have any advice for potential customers?

I wouldn’t just say this about Addax, but it helps when you first walk into your first meeting, and you already know what you’re looking for. If you understand what you’re trying to design on day one, you know you will get a better product. They are easy to work with and I don’t have any issues.

I had a customer facing website where we needed to implement support tickets as well as capturing leads from the website. Then when the customer submitted either or it would funnel into salesforce and notify the appropriate people within the company to help the customer in the best way.

The team consisted of Yaro being the PM and 2 of his developers along with my team. The team was on top of everything and Yaro PM'ed everything perfectly.

Sales have increased because of the cohesiveness and wait times on support issues have decreased. Total success all around.

They set up the structure for our contacts, companies, and deals; created custom fields tailored to our workflow; and helped install the tracking code across our website. They also built clear dashboards so our team could monitor activity and deal progress, and provided training sessions to help us adopt the system smoothly.

The team actually uses the CRM now -deals are tracked in one place, with full visibility into stages, contact history, and tasks. Thanks to the pipeline setup, key info is captured directly in each deal, due dates are clear, and follow-ups don’t get missed.
