TheRoom was responsible for the complete UX/UI design of our educational platform. Their scope of work included:

Conducting research on user flows and best practices for EdTech platforms.
Designing the full set of screens for both web and mobile versions.
Creating a consistent visual language including color palette, typography, and iconography.
Developing a UI kit and design system for future scalability.
Preparing interactive prototypes in Figma to validate user journeys.

Honestly, I don’t see any significant areas for improvement. TheRoom exceeded our expectations in every aspect — from design quality to communication and timeliness.

What were the measurable outcomes from the project that demonstrate progress or success?

Suggested design concepts were off the charts beautiful and well fitting the requirements. I have never worked with another studio that actually took into account ALL items in the brief before jumping in and just doing something "pretty". The deliverables across the entire project were on point, even when tens of comments or fixes were requested - they never even missed one. At some point I had to take some time off and they just filled in for me, making me feel like I was in the best hands.

they almost always stuck to schedule and when they didnt - they raised a flag before, with explanations and good reasons, and kept communication flowing even during their vacation. 
During this project we had to change concepts multiple times and revert to previous versions or start from scratch in the middle - they were always accomodaing, professional and very thorough. They always communicated how much longer it would take when unexpected changes or tasks occured.

What did you find most impressive or unique about this company?

I have worked with many designers and studios in my career both as a company owner and as an employee. Many designers have loads of ego and are hard to work with / give comments to, or charge really large amounts of money for not doing much. This studio was the opposite - their price is really reasonable and deliverables are near perfect. The way they communicate is always polite, pleasant and very convenient. Across the entire project I felt like it's great to have them as another set of professional eyes to consult with, not just ask for tasks to be completed. 

Are there any areas for improvement or something TheRoom could have done differently?

I honestly don't think so.

The agency was given a detailed set of requirements outlining how and why the app should feel a certain way, along with a comprehensive set of references. To make their job easier, we also provided low-quality mockups of UI elements that were easy to misinterpret.

After a few iterations and feedback sessions, the agency created Figma prototypes for the mobile app in both light and dark themes.

The agency provided the results in the form of Figma prototypes.

Unfortunately, the agency didn't use the materials we provided, apart from the brief overview. Their project manager, Yaroslav, mentioned that their team had faced this issue in the past but assured us they would pay extra attention this time. After a few iterations, during which we repeated and highlighted the key parts of the technical assignment, they were able to develop a style that fit our needs.

The work was delivered on time, except for a small delay at the beginning while we waited for their designer to become available.

What did you find most impressive or unique about this company?

The overall attitude is, "We're experts, and we do everything perfectly." They couldn't name a single mistake they made during the collaboration with us. When we pointed out a few issues (with screenshots), they dismissed them as "minor" or said, "It's normal given the time we had."

Are there any areas for improvement or something TheRoom could have done differently?

The overall impression I got from the collaboration is that the agency is much stronger in sales than in execution. I would suggest they focus on underpromising and overdelivering, rather than the opposite, or at the very least, be open to learning from feedback instead of dismissing it.

Another issue was the unclear role of the "art director" in the process. We didn’t see any added value, and at one point, miscommunication arose when he relayed feedback to the designers who were actually doing the work.

We always welcome constructive feedback and strive to improve with every project. However, we believe this particular review is biased and does not accurately reflect the collaboration or results.

Our team completed a full app redesign within just three weeks. After one major round of revisions early on - when the client expressed concerns about the visual direction - we aligned on changes and moved forward efficiently. Following that, the client’s team provided only minor comments, and the work was delivered on time and to their satisfaction.

The relationship soured only after the project was completed and the app was launched. At that point, the CEO of the client’s company began flagging small, previously approved items - such as minor typos - and used them as justification to delay or refuse payment. Despite their team’s earlier approval and public praise of the result, our team was met with unprofessional communication that led us to end the collaboration.

The review also contains inconsistencies that reflect its emotional rather than objective nature. For example, we were rated 0.5 stars for scheduling, while the client themselves state the work was delivered on time. Similarly, we received 0.5 stars for cost, yet the review calls our pricing "fairly affordable."

Had the feedback been reasonably critical - 3 or 4 stars - we wouldn’t feel the need to respond. But given the distorted nature of this review, we believe it’s important to clarify the context for the sake of fairness.

At the very beginning, we have more meetings and discussions with the Art director and owner, the PM, and the designer to align our goals, needs, and desirable outcomes. During the first stage, we mostly have documents and schemes to approve proposed ideas and improvements. 

As for the research itself, Art-directir and project manager presented the results to us in the form of a virtual meeting to highlight main areas that required improvements as well as examples from their previous designs or other products on the market that represent proposed solutions on the live products. 

As for the design stage, we've got delivery nearly twice a week that includes prototypes as well as source files of the latest updates (new pages or flows). Sometimes we have additional calls to discuss the latest results and approve some additional ideas or design solutions. During the whole cooperation, TheRoom team showed flexibility both in the work process and fixes, as well as in task prioritisation.

As our development was in parallel with the design progress, we were frequently required to change the tasks according to the dev's requests. Deliveries were shared on time and in the rear cases when they requested to postpone delivery for a day or two they were able to catch up with the schedule on the next stage.

Their designs are super professional and high quality. They do the research themselves to find what's the best and most optimal UX and UI. They recommend what to do. They were just everything a software company dreams of in terms of design, which was one of the most important things, along with technical abilities (developers).

No. They are perfect. They could give us 80% discounts, that would be cool. But they are really perfect.

The project was a success because it fulfilled all important requirements and everything was delivered on time, even though the overall project costs ended up exceeding our original budget a bit.

I was most impressed by their dedication to the project's success. This project unfortunately coincided with the breakout of the war in February. Despite all the unimaginable challenges that the situation caused, the team at The Room showed a really heroic dedication to our project's success until the end of the project, and I'm very thankful for that.

Our website has seen many changes over the years, but we wanted a more modern and cohesive design that embodied more UX best practices. We wanted to do this to make it easier for people to find what they were looking for on our website. To give customers more opportunities to join our mailing list and find our resources and to improve sales across the website.

SOLUTION

How did you select this vendor and what were the deciding factors?

A different department in the company had already worked with The Room on a different project and they were happy with the work done and the level of professionalism and the speed at which the project was completed so it made sense to use them again for this project.

There was an initial period of discovery where we were asked questions about what the goals for the website were and what we didn't like about the current design. We had already done a lot of research internally about what we'd like to see on the new website and we were able to share this. So the initial discovery was actually quite a quick process.

There were a lot of pages to re-design so each of these was split out into sprints. As each concept was finished we were sent Figma files to review as a team and finalise.

For some of these pages it was pretty straightforward, we'd have just a few notes on a design which was then updated quickly and signed off. For others there was a bit of back and forth to get it just right and to accommodate our specific requests, design ideas or to work around certain technical things that we couldn't change.

At each stage the communication from The Room was excellent, they were really on top of everything and helped to drive the project forward. There were also certain pages that weren't in scope of the project but suggestions for designs and templates were still given for those pages that we've been able to use in-house to ensure the design is consistent across the pages that weren't in scope.

We only really spoke with Kseniya and Nik but there may have been others working on the designs too.

Can you share any outcomes from the project that demonstrate progress or success?

At this stage the design is still being put together. Our developers have started to build it, but we haven't had any feedback from them on how easy or hard it is to follow the figma files. From a marketing perspective it's been easy to apply the new design to out of scope pages and to use that design to refresh brand assets because the design is clear and adaptable.

How effective was the workflow between your team and theirs?

Absolutely A plus! Couldn't fault the communication at all. The team were very responsive, we got emails keeping us up to date, we were chased up on things we had promised, work was done quickly and it was very easy to stay on top of things.

What did you find most impressive or unique about this company?

I was most impressed by how quickly everything moved. There was just no messing about, new pages came in all the time, fixes were done quickly, they kept on top of things that needed to be delivered. We are usually quite productive in the marketing team and able to handle a lot of stuff with short turnaround, but those guys were just next level.

The team is very knowledgeable and able to provide a perfect design and scheme out of the gate. I was envisaging having to do a lot more discovery and back and forth but the team grasped really early on what it was we wanted from the site.

Are there any areas for improvement or something they could have done differently?

Not a thing. If we did this all over again I wouldn't change anything.

We searched around on the Internet and shortlisted the best companies, what we saw in TheRoom was exactly what we were looking for which led to a few more calls and we knew they were the perfect fit.

We had quite a lot of content, an idea of what we wanted the website to be and a structure of pages in place. TheRoom took the lead from there, at first enhancing our branding to become a bit more versatile and then with the new branding they took every page we wanted, gave their own spin to it and made it better than what we had in mind.

We are extremely pleased with the outcome of the UI/UX. We still need to develop the website but it is exactly what we wanted to make us really stand and show our product at its best.

The team was super easy to work with, they offered communication through chat rather than email which made it super easy to discuss things in real-time, they quickly understood what we needed, had a structure in place that worked and we had no problems moving the project along.

I love how deep they would dig to understand our business and for being confident in putting their own touch on it. I feel there was very little training required to get them to see the business from our eyes. This was really helpful in making the project become a success beyond our expectations.

Not really, I enjoyed the process as is.

We were very pleased with their work. Given the vast experience, we have in the media industry, it was refreshing to have their team use their great logic to break the user experience down further. They tried to think of many key possible outcomes and designed the experience to adhere to that.

The workflow was fantastic. It was seamless. As in any new relationship, we learn from each other's workflow and then continue in the most efficient way possible. It was a pleasure receiving their sprint-related emails. We knew exactly what had to be done.

What did you find most impressive or unique about this company?

We loved their logic of the user experience. They understood what we envision and gave it some legs. Their explainer videos to guide us through what happened at the last sprint were very helpful.

There is always room for improvement with them and with every single company out there including ours. However, their areas needing improvement were not apparent and were not in any areas that affected our workflow at all.
