Please describe your company and your position there.

I'm a HR Manager in a mid size pharmaceutical company. We provide third party services as high quality customer services to final consumers on various pharmaceutical products.

For what projects/services did your company hire Zolerna HR Consulting Services?

I was new in my role back in the moment and I needed to be trained in the company payroll system, there was a need as well on consolidating policies and process, as vacations and benefits along with the Year to Date reporting process. The company was growing and had employees in many provinces in Canada so having an HR consulting company who had knowledge and experience in other jurisdictions was crucial.

How did you select this firm and what were the deciding factors?

We considered this HR firm because of it high quality service, flexible style and approach. They're very knowledgeable of the HR process and services and have many years in the HR industry.

Describe the project in detail and walk through their service package.

They worked on consolidating the payroll process using ADP our payroll system and trained me on its process altogether from A to Z. They also helped me in putting together a training process for the Year End taxes reporting process and helped documented step by step.

How many resources from the vendor's team worked with you, and what were their positions?

I worked directly with the consultant as she's the founder of the firm.

RESULTS & FEEDBACK

Can you share any outcomes from the engagement that demonstrate progress or success?

The payroll is done every 2 weeks now with no errors in pay and since the firm assisted me in the process for a few weeks she was always available for any questions or inconveniences that could come up in a certain moment. Now is also easier to understand the Year End process since everything was well set up and documented, they made sure the process was well documented.

How effective was the workflow between your team and theirs?

I communicated with them almost every day by email or phone. They're very flexible on the time I need to meet them or call and are very approachable.

What did you find most impressive or unique about this company?

It was important to the firm to understand the company needs to assess the best possible on improving or making better our current process. Also the knowledge that she can offer in HR matters is very extend and professional.

Are there any areas for improvement or something they could have done differently?

Not That I can think of at the moment. I was overall very happy with their services and will continue using them as our prefer HR firm.

Introduce your business and what you do there.

I’m the HR generalist at Alphanumeric Systems, a third-party vendor that works with pharmaceutical companies. We hire customer service agents such as pharmacists, PharmDs, nurses, and agents. We’re located in the Montreal area.

What challenge were you trying to address with Zolerna HR Consulting Services?

We needed help with our HR system.

What was the scope of their involvement?

Zolerna’s services include the entire lifecycle of an employee, from start to end. This includes recruiting, onboarding, any types of leave of absence, vacations, terminations, and more. They've also been involved in a process where some management members were dismissed, so it was a challenging situation. Overall, they manage everything that an employee goes through. They help us write policies, identify issues with payroll, and set up processes for our new employees.

In the beginning, certain policies were already established because we had different clients. When onboarding new employees, we just followed procedures that were already there. However, Zolerna has helped us understand the client's needs.

Additionally, Zolerna handles payroll and vacation management. The second is particularly crucial for us because the system was initially set up in a way that it wasn’t obvious when employees were to leave the company and how it would be paid out. They've written up this procedure step by step with different scenarios. Also, they've outlined potential struggles with the payroll system and how to solve them. We have a helpline from our software provider that we can call if we have issues, but we just call Zolerna because they usually know more than the software provider.

How did you come to work with Zolerna HR Consulting Services?

They were referred by someone I worked with in the past; they were in HR and did payroll. We were connected on LinkedIn, and I found Zolerna’s services through them.

What is the status of this engagement?

We started working together in September 2021, and our relationship is ongoing. Anytime we have questions or concerns, we reach out to our consultant.

RESULTS & FEEDBACK

What evidence can you share that demonstrates the impact of the engagement? 

They invoice us for the services provided, and we have a sheet that explains everything that has been covered from the start of their employment. In general, we have nothing bad to say about their performance. They're very efficient and understanding of our needs. Also, the delivery of material is always detailed and on point.

How did Zolerna HR Consulting Services perform from a project management standpoint?

The project is well-managed. Everyone's working from home, trying to schedule time, and making sure all our needs are met. Anytime we need a service or have questions, they take 15 minutes at the most to get back to us.

We communicate through email or phone calls. We use Teams for training purposes, and they also have access to our payroll systems, which they know inside out.

What did you find most impressive about them?

They’re very very detail-oriented. Nothing goes unnoticed.

Are there any areas they could improve?

Honestly, no. There isn't anything in particular to improve. Zolerna is one of the best.

Do you have any advice for potential customers?

Lay all the cards on the table and say exactly what’s needed and what's working for the company. Zolerna will create an action plan in steps. As long as you're clear on the deliverables, everything will be easy from there. In general, you won’t miss a thing if you follow everything they provide.
