BACKGROUND

Introduce your business and what you do there.

I am the president and founder of Team CPR, which is a medical billing and provider resources firm. We work with physician’s offices, clinics, hospitals, and different types of medical providers to help them streamline their revenue cycle management and complete their credentialing, contracting, and other services.

OPPORTUNITY / CHALLENGE

What challenge were you trying to address with Woods IT Consulting LLC?

We wanted to streamline what we were doing internally and create a ticketing system to help us report on and keep track of our workflows. I tried looking into Microsoft Dynamics, but I realized that we weren’t capable of setting all of that up ourselves, so we turned to Woods IT for help. 

SOLUTION

What was the scope of their involvement?

I approached Woods IT with a high-level plan. I wasn’t sure of what I wanted exactly, but I was certain that we needed to be set up on MS Dynamics. We sat through a couple of phone calls to discuss the nature of our business and what internal processes we needed help with. 

Woods IT provided a lot of interesting and valuable suggestions about how we could streamline and automate things. Their team then went into helping us build a customer service ticketing system on MS Dynamics. They piggybacked off of that module to create several other ticketing systems that we could use within the company since we didn’t want our customer service to intermingle with our other services, such as contracting and credentialing. 

They also made sure that everything had a high degree of security and was HIPAA (Health Insurance Portability and Accountability Act of 1996) compliant. Their team interpreted some of our manual systems — such as file uploading, collection, and sortation —  and automated those as well. 

What is the team composition?

We just worked with Zach (Founder & CEO).

How did you come to work with Woods IT Consulting LLC?

We met through Fiverr. I looked around for someone who charged lower than what Microsoft was charging and came across Zach. What ultimately made me want to work with him was the fact that there were no language barriers between us. We also just liked his personality, and he struck us as a good fit for what we were trying to accomplish. 

How much have you invested with them?

Thus far, I’ve spent $3,000–$4,000.

What is the status of this engagement?

We started working together around April–May 2021. Our partnership is ongoing, but we anticipate that we’ll be done by the end of this year or by Q1 2022.

RESULTS & FEEDBACK

What evidence can you share that demonstrates the impact of the engagement?

We’re really happy with how we’re set up on MS Dynamics and how it has helped us evolve our processes. I’m not sure that we would’ve gotten that same outcome from another vendor. 

How did Woods IT Consulting LLC perform from a project management standpoint?

Zach is incredible. When we get too busy, he nudges us gently to keep us on track with the project. There’s nothing obnoxious about his approach, but he’s still very firm when it comes to making sure we meet our deadlines. He’s also very good at reprioritizing our tasks based on what suggestions come up. Nothing is ever abandoned because he knows to get back to anything that we sidetrack. 

We primarily communicate via email, MS Teams, and Zoom.

What did you find most impressive about them?

Zach breaks down the lingo very well. He never makes us feel intimidated, even when we don’t understand what he’s talking about. He’s great at explaining everything in layman’s terms and accompanying it with an actual demonstration. It doesn’t feel like we’re talking to an engineer; it just feels like we’re talking to a friend. 

Are there any areas they could improve?

There’s nothing I can think of. If anything, it’s us who has held him up several times. He’s been very patient and gracious. 

Do you have any advice for potential customers?

Don’t be afraid to talk through what you want or what your dream is. Zach is sure to help you find a way to conform your needs to the capabilities of your chosen software.
