We are a growing construction company located in Toronto, Ontario that is looking to bring on an HR specialist on a part-time basis. Our company is looking to develop and maintain an on-going recruitment strategy. We will be working with Dynamics ATS (Microsoft ATS system). We require someone to: 

1.  Review our current job posting and optimize for best results 
2. Provide suggestions for general HR improvements for the company 
3. Review candidates weekly for 5-10 ongoing job postings 
4. Screen candidates 
5. Schedule bi-weekly interviews with the operations manager

I’m the director of operations at Smash Commerce, an e-commerce company. We manufacture our own home and kitchen goods and sell them on Amazon and other e-commerce websites.

We needed a recruiter that could help us recruit candidates to fill positions that emerged in our company.

What was the scope of their involvement?

We first used Whitecollars to fill customer service positions. Then, we used them again to hire someone to fill the CFO position. From, we’ve used them to fill IT, supply chain assistant, and head of business development positions. 

During our first engagement, Mohamed (Consulting Manager) helped me fill customer service positions. He presented me with candidates and helped me screen them all based on our directions and needs. We did initial interviews and then used Monday to jot notes on the candidates; we then rated them based on our criteria. It took us about 2–3 weeks to complete the recruitment process.

At present, their current recruitment process starts by reaching out to candidates through LinkedIn. I tell them my requirements, such as our preferred candidate location, language knowledge, and amount of experience. Whitecollars also help us write job descriptions. We haven’t hired anybody else since March 2021, but we use them every time we need to fill a position. Even our CEO goes straight to them when we need to hire someone.

What evidence can you share that demonstrates the impact of the engagement? 

Whitecollars has successfully found candidates for our open positions. The new hires also integrate well into our company. The team’s process is thorough, and we have such a great relationship with them. They follow through with everything that I want and nail every requirement we say. 

How did Whitecollars perform from a project management standpoint?

Their project management is excellent. We provide them with the software we use internally, and our teams collaborate there. They use that tool to manage candidates through interview rounds. 

What did you find most impressive about them?

Whitecollars pays attention to detail, especially when it comes to the things we don’t want in a candidate. They also tell us whether or not a candidate is good for the position, so they truly know what we’re looking for — they don’t waste our time. 

Are there any areas they could improve?

No, there aren’t any. I’m happy with how they handle all of our recruitment needs; I’ve had a great experience with them. 

Do you have any advice for potential customers?

Be highly specific in what you’re looking for in a candidate. Don’t be vague. Hiring the wrong person costs much more than hiring a recruiter who can interview people. Given that, take as much time as you need to pick the right candidate — give Whitecollars enough time to find somebody for you.

Moustafa from Whitecollars serviced our business by partnering with our UK leaders and myself to understand the needs of the positions. These positions were for our Account Management teams that speak different languages.

He spent time sourcing and messaging passive candidates on LinkedIn Recruiter to generate interest in said positions.

He conducted initial interviews and coordinated video calls with hiring managers if they deemed the candidates interested enough to move forward in the process.

We are open to candidates all over, including India, the UK, the US, East and Southern Africa, and the Phillippines. Since we are a startup, almost everyone works remotely. We had great chemistry from the start, which allowed us to build objectives together and work on the same page. Whitecollars’ culture was calm despite the stressful and hectic atmosphere. Their coordination with our team was outstanding, and the project manager sent daily updates. They even used our ASANA tasks manager. They treated our projects with reliability and met all deadlines.
