What evidence can you share that demonstrates the impact of the engagement?

We've successfully filled a full-time administrative and scheduling role, giving our agency dedicated support for daily scheduling and client and caregiver communications. This has allowed the owners to delegate routine operational tasks and spend more time on client relationships and business development. While we haven't formally measured hours saved, the key outcome is having consistent support in place.

Having a dedicated assistant has made it easier to keep schedules updated, follow up on open shifts, and coordinate changes with clients and caregivers. It also gives them a consistent point of contact for routine questions and updates, reducing the amount of day-to-day coordination the owners need to handle directly.

We brought Vintti to help us hire a technical video content creator. We needed someone who could turn developer-focused topics into clear, engaging videos and fit into a fully remote team. Vintti owned the search from start to finish. They sourced candidates, screened them, set up our interviews, and handled contracts once we found the right person.

Vintti started the search within days of our first call.  They maintained quick, open communication throughout the project.

Over the next few months they sent us several batches of candidates. Each profile came with a resume, links to the person's video work, and the expected cost. That made it easy for us to judge fit quickly. When we passed on a candidate, they asked for our reasons and used them to sharpen the next round, eventually finding a candidate we liked. 

They booked our interviews around our time zones, kept everyone updated, and passed along our questions to candidates. When it came to the agreement, they walked us through different hiring structures and worked with us to find one that fit our budget.

Once the candidate joined, Vintti assigned us an account manager and set up monthly check-ins which we appreciated. Our agreement also includes replacement coverage, which gives us peace of mind as we grow the team.

What were the measurable outcomes from the project that demonstrate progress or success?

The clearest result is that we filled a role we had struggled to fill on our own. Vintti started the search within four days of our first call. They placed the right candidate, who is now our technical video content creator, few weeks after that call. 

The process got more efficient as it went. Vintti sent us four batches of candidates, and each batch was closer to what we needed because they used our feedback on the previous one. Once they introduced our current hire, it took a few weeks to interview him, agree on terms, and get him started.

Cost was another measurable win. We had a fixed annual budget for this hire, and Vintti found a way to make the total cost work for everyone. The agreement also includes replacement coverage, which lowers our risk if the hire doesn't work out.

Vintti stayed on top of the project throughout. Mariano was our main contact during the search, and he kept us updated without our having to ask. When the candidate pool in Latin America turned out to be thin, he told us right away and explained how they were widening the search. 

They were quick with everything on their end. Interviews were scheduled around our time zones, and when a candidate had a last-minute conflict, they offered a new slot the same day. During contract talks, they responded fast and worked with us to find terms that fit our budget. After the hire, they handled our requests the same way.

What did you find most impressive or unique about this company?

What stood out most was how persistent and flexible they were. Our role was niche, and a few months in it would have been easy for them to send whoever was available. They did the opposite. Each time we turned a candidate down, they asked us why and used that to adjust the search. By the time they introduced our present hire, they understood what we needed almost as well as we did.

Their flexibility on terms also stood out. We were working with a tight budget, and they took the time to walk us through different hiring models and find one that worked for both sides. They treated it as a partnership, and that made it easy to trust them with an important hire.

Are there any areas for improvement or something Vintti could have done differently?

The main thing I'd suggest is checking candidates against our budget before sending them. In the early batches, a few strong candidates were above our budget. We spent time on interviews that couldn't move forward. But this does not take away from the good hire Vintti provided us.

A key suggestion (already shared and we have seen improvements) would be to find the balance between quantity and quality. We like to have many results, but double-clicking and ensuring that each deliverable is as close as possible to what we need is also key to avoid back and forths

We were able to fill finance roles more quickly than through traditional hiring, reducing time-to-fill and minimizing gaps in coverage. Staffing capacity increased without adding internal HR or payroll complexity, allowing the finance team to maintain consistent throughput as workload scaled.

Operationally, the added staffing support helped stabilize month-end close timelines, improve task completion rates, and reduce backlogs in day-to-day accounting work. We also saw improved continuity and reliability in finance operations, with less disruption from turnover or short-term capacity constraints. Overall, the partnership delivered predictable, scalable finance staffing that supported ongoing operational execution and business growth.

We hired one candidate and if all goes according to plan, we are looking at turning to Vintti again 2026 for additional headcount. The search took less than one month from beginning to end and the cost was approximately 50% less.

Vintti understands talent acquistion. They provide a timeline when you have a consultation with them and they were always available when I had a question or provided additional requirements. The quick turnaround was very much appreciated.

The engagement and expertise sold me. I had a list of about 10 companies that I wanted to explore. I narrowed it down to three. One company advertised AI to match you with talent but I found their matching was wildly inaccurate based on my needs. Another company had a great list of clients but their engagement was very distant. I felt like I walked into an electronic store wanting to buy a computer and not knowing the differences. Instead of explaining the differences, the shop clerk tells me that if I need anything, they are available. With Vintti, it was like walking into a shop and the clerk was showing me the different computer models, and explaining the differences.

They were successful in finding quality applicants at a fraction of the cost that we'd pay through other recruiting services. They have a fantastic business model, which incentivizes them to provide effective hires-- they only get paid as long as the hire remains with the company. They are great communicators and I feel the people that work at Vintti are trustworthy and would help me with any problems we face in a fair manner.

Are there any areas for improvement or something Vintti could have done differently?

Perhaps a more official process for ensuring hires are performing as expected. At the beginning of the hiring process, I believe they checked in monthly which was not very effective because during this time the hire is just getting up to speed with our company/the role. But if there was an organized process for ensuring hires are performing as expected (with proven plans of action if issues arise)-- that would be great. Again, monthly check-ins are too frequent at the start of a hire, but quarterly check-ins might make more sense.

Beyond booking meetings, BDRs must effectively communicate Xiid’s unique value proposition, particularly its Zero Knowledge Networking and SealedTunnel differentiators while gathering meaningful intelligence to enrich the CRM data and improve opportunity conversion. Their success is measured by both activity and quality metrics, including conversion rates, message accuracy, and AE satisfaction. Strategically, the program aims to build a scalable, data-driven outbound motion, refine market messaging through real-time feedback, and establish the foundation for Xiid’s continued expansion of the BDR and marketing programs.

We implemented a new CRM platform, HubSpot and integrated LinkedIn Sales Navagator and Apollo.AI as a foundational system.  Vintti's team showed great knowledge and enthusiasm in this early stage of building out a scalable Business Development Representative team and program.  We are now generating meaningful pipelines, moving into Proof of Concepts and driving interest to our website.

Growing firm needed analyst level talent to build and maintain financial models. The cost of an equivalent resource in Canada or the US was very high. I asked Vintti to source me invesmtent / analytical talent at a price point that works for a growing and early stage business like mine.

High quality screened candidates, understood my needs, and felt no pressure to hire. Very straightforward process handled delivering the team members' laptop and helped seamlessly with reference checks given Spanish is not my first language. Accomodated my need for video submissions from candidates and understood the cultural pace of a Canadian/US team to ensure candidates were up for the challenge.
