I’m the executive director of a food pantry and charitable social service agency.

What challenge were you trying to address with Tec 4 Digital, LLC.?

Because of COVID-19, we were unable to accommodate the clients who needed assistance with their food, rent, and utilities. We hired Tec 4 Digital to develop a case management system for our website where families and individuals could apply for the assistance they needed.

SOLUTION

What was the scope of their involvement?

Tec 4 Digital was already hosting and maintaining our website when we needed to have an application developed. We sought their expertise since we were being overwhelmed by phone calls from families who needed to submit their requests for help. 

The application they built eventually crashed a few times due to the high COVID-19 caseload, so they created a case management system and incorporated the functionalities of the original application. This would allow us to conduct paperless filing. Their team worked in stages to outline what our needs were and narrow down the specific information that we needed the case management system to capture. 

What is the team composition?

We’ve worked with one person from Tec 4 Digital. They’ve also provided a part-time staff who makes the daily migration of data every evening. 

How much have you invested with them?

It’s an annual investment of $25,000. This includes the hosting and maintenance of our website and the case management system. 

What is the status of this engagement?

Our facility closed in March 2020, so we started development with Tec 4 Digital in May 2020. Our partnership is ongoing.

RESULTS & FEEDBACK

What evidence can you share that demonstrates the impact of the engagement?

We’re now receiving all of our applications online and are able to assist all of our clients, which is a big feat considering we serve 1,100 families and 4,500 people every month. Anytime we need data for a report, Tec 4 Digital can quickly create it for us. They’ve met all of our needs.

How did Tec 4 Digital, LLC. perform from a project management standpoint?

Tec 4 Digital meets all of the deadlines. They’re fabulous to work with because they really listen and really want to make sure that we’re pleased with the final product. It’s just been a great experience. We talk over email, phone calls, Google Meet, and Zoom, and we have no problem with communication. 

What did you find most impressive about them?

We’ve been working with them for quite a while, even before the development of the case management system, so we already had a strong relationship. We appreciate that they’re able to step up and design everything that we need, especially when COVID-19 hit. 

Are there any areas they could improve?

No, there’s nothing for them to improve upon.

Tec 4 Digital is really easy to work with, so really get in with the team and describe what your needs are or what results you’re after. They’re sure to put all of that together.
