We sell AI voice assistants to other businesses, and they run on top of our calling platform here in Poland. The problem was the setup: connecting each new assistant to the platform, and to the phone systems our clients already use, meant real engineering work every time. We wanted a proper foundation that made this quick and dependable, not a custom job for every client.

Syntropic built that for us. They figured out how it should all fit with what we already had, connected the assistants to our calling system, and made sure a call could be passed to a live person whenever it was needed. They also tuned the assistants so they answer without the awkward pause you often get with automated calls, which keeps the conversation feeling natural. And they gave us a simple way to set up and launch a new client ourselves, so we're no longer waiting on developers for each one.

RESULTS & FEEDBACK

What were the measurable outcomes from the project that demonstrate progress or success?

Three numbers mattered most to us, and all three moved the right way:

- Speed: the assistant now replies in under 0.7 seconds on a typical back-and-forth, so calls move at a natural pace instead of stalling. This was the make-or-break factor for us, and it's the first thing callers notice.

- Time to launch a new client: what used to be a slow, developer-heavy job is now something our own team handles, and it takes roughly 70% less time than before. That means we can take on more clients without growing the technical team.

- Caller satisfaction: feedback scores from the end customers using the assistants are up since go-live, which tells us the experience actually got better for the people on the line.

Describe their project management. Did they deliver items on time? How did they respond to your needs?

We had a standing check-in to go through what was finished and what was next, plus an always-current view of where everything stood, so we never had to chase for an update.

On timing: the main milestones landed when they said they would. The work came in stages, which made the schedule easy to follow - we saw something working at each step instead of waiting until the very end to find out whether it all fit together. When a couple of details shifted as we firmed up what we wanted, they flagged it early and reworked the plan with us rather than letting it quietly slip.

They were quick to reply and easy to reach.

What did you find most impressive or unique about this company?

What set them apart was how deep they went on real-time voice over telephony specifically. Plenty of teams can wire up an AI model; very few have solved what it actually takes to hold a real conversation over a phone line: the timing, the interruptions, the handoff to a live agent. They came from that world, and it showed in the choices they made before we'd even flagged them.
