Swarm remotely augments our client's engineering team with Sr. Full-Stack JavaScript engineers to increase team velocity & bandwidth without shipping tech debt. I am in charge of a team of SDRs and Leads Researchers responsible for running outbound outreach campaigns and securing meetings with prospects for our Co-Founder. Our outbound campaigns have 3 main channels - email, phone, and social.
For what projects/services did your company hire SalesAR, and what were your goals?
As we are expanding our business development team, the question of how to handle email deliverability came up. We hired SalesAR to fully manage our email deliverability tests, perform email warm-up activities, and support our SDR team on any email deliverability-related matters. SalesAR handles mailboxes for the whole SDR team, which consists of 2 people (expected to expand to 5 in 1-2 months) and includes 4 mailboxes for them to manage (expected to expand to 10 mailboxes in 1-2 months).
How did you select this vendor and what were the deciding factors?
I knew about SalesAR from personal experience since I briefly worked for them in early 2020. I've reached out to them directly on LI and connected with Roman Shapoval regarding SalesAR's new anti-spam service. Since we were looking for a permanent solution for our email deliverability management needs, we have compared SalesAR with 2 other competitors. After a month of testing SalesAR clearly came out on top of their competition by providing a highly custom and effective solution, providing a much greater value compared to the competition. Thus we decided to go with SalesAR and expanded our project to the whole SDR team.

First, after having a face-to-face meeting with SalesAR representative, we have agreed on starting a test month with SalesAR handling two mailboxes for one SDR. SalesAR would be responsible for performing email deliverability tests, conducting email warm-up activities but manually emulating email correspondence with multiple mailboxes, and providing valuable advice and insight into deliverability-related trends and best practices on a regular basis. In order to provide visibility and keep a record of each mailbox they manage for us, SalesAR provided us with a constantly updating google sheet doc outlying the status of each mailbox on a daily basis. The doc itself is incredibly insightful and easy to read. SalesAR communicates with our team as needed in a shared Slack channel.

From SalesAR's side, Roman Shapoval, the Account Manager and the person responsible for email deliverability activities at SalesAR, was the main POC for our team since day one, with occasional involvement from Roman Shvets, the Founder & CEO. Roman Shapoval remained the main and only person working on our email deliverability project. He is responsible for virtually all aspects of the project.
Can you share any measurable outcomes of the project or general feedback about the deliverables?
SalesAR has effectively taken over the email deliverability activities, allowing our SDR team to free up many hours to focus on outreach and scheduling meetings. We have seen a major improvement in our mailboxes' email reputation and longevity. On average, we encounter spam issues 3 to 4 times less frequently compared to an in-house solution and other third-party competitors. This led to fewer disruptions in our outreach campaigns which allowed us to reach out to a greater number of prospects reliably.
How effective was the workflow between your team and theirs?
The workflow is virtually perfect. SalesAR took over the email deliverability activities, taking this responsibility off mine and my team's hands. By remaining available and responding to our inquiries quickly in our shared Slack channel, Roman acts as an extension of our team responsible for anti-spam activities. In this capacity, SalesAR are effectively integrated into our workflow. Common tools we use (Zoom, Slack, Google Sheets, etc.) made the integration a seamless process.
What did you find most impressive or unique about this company?
SalesAR have quickly become an integral part of our business development efforts. They have fully taken over email deliverability-related activities from our team. Their service was perfect for our workflow, not to mention being very effective while providing the best value on the market that I know of.

SDR had to get in touch with all of them and set calls for me.

We tried to promote ourselves by our in-house team, but the process was very slow. Then we realized that we were ready to cooperate with a Led Gen agency because our in-house team couldn’t cope with this huge amount of work.

The project was quickly launched (it took us less than a week after the onboarding call to start the outreach). From there SalesAR would reach out to these potential clients via email and filter any responses back to us.

Our discovery pipeline had slowed, and we needed to research new companies and contacts within our ideal client profile, reach out to them, and setup meetings to gauge their interest and familiarity with our company. We did not have the capacity to handle this work in-house and looked for companies that would provide the personalized attention to detail on our behalf.

We utilized SalesAR as our outsourced B2B sales outbound agency partner for 3 months to fill our discovery pipeline and setup meetings. They learned about our ideal client, researched companies and contacts fitting our target audience, reached out via email and phone, and setup meetings as if they worked for our company.
How did you select this firm and what were the deciding factors?
We considered multiple B2B sales outbound agencies and ultimately felt SalesAR fit our needs best. They are human-based, follow a process just like we would use if we had the bandwidth (emails, calls, voicemails), and could kick off work fast. It was important to us that they had experience working with companies within our industry, and they provided us a reference to speak with. We also liked that 25% of their clients are agencies.

Upon contract signature, we were introduced to our SalesAR / SCORR team. They provided me with a questionnaire to explain our target audience and ideal customer profile in detail. I also completed a questionnaire to inform them about SCORR and our key benefits for why clients choose to work with us.
They provided me with an Excel file with a list of potential target companies for us to review, provide feedback, and them to clean up and research further to ensure they had the right audience. They provided a Word file with email copy they would use when reaching out to our target contacts. We reviewed, provided feedback, and they setup the emails in their system for use.
SalesAR also setup a domain name for them to use when emailing on our behalf as well and email addresses. We provided them with a calendar link for easy meeting scheduling, and they got moving quickly.
How many resources from the vendor's team worked with you, and what were their positions?
We primarily worked with two people on a day-to-day basis - Elena and Daria. There were a couple other people working on research in the background. Elena was our primary contact and account manager, and she was fantastic and a pleasure to work with!Daria was scheduling the meetings and was very attentive and on top of getting back to people quickly.
Can you share any outcomes from the engagement that demonstrate progress or success?
SalesAR setup 38 appointments in total. The email open rate was 61-62% and the reply rate was from 8 to 12%. These leads are still making their way through our sales pipeline and were all well qualified up front.
How effective was the workflow between your team and theirs?
I received emails from Daria on an ongoing basis when meetings were scheduled or questions needed answered that she needed help responding to. Elena would email 1-2 times per week and we met at least once per month to discuss the success of the campaign.
What did you find most impressive or unique about this company?
The team's responsiveness and overall customer service were greatly appreciated. Their success rate was high, and they truly operated like a real member of my company.

I would have liked SalesAR to work within our Hubspot system so all the communications were saved and the process was more clean and streamlined.
We were a bit uncomfortable with the start of the relationship because the contract was under another company name, and didn't mention SalesAR. They also required payment upfront, which we can understand, but I even had to show proof of payment before work could even kick off. It made our company a little nervous about what we just signed up for!

I met the founders of SalesAR at a leadership conference for Digital Marketers. pavdy had just finished a very unsuccessful relationship with another Lead Generation agency and after a few meetings, I saw that the SalesAR team was confident in what they do and make the onboarding process very clear for me.

Everything started with the discovery phase. It was very detailed and thorough. After going over my ideal customer profile and target buyer personas, we went into my agency's messaging, positioning, and unique selling points/competitive advantages.
There was also a lot of discussion about our case studies. Their copywriter took parts and pieces (mostly data) and drafted the first email campaigns. Once everything was set up and ready for launch, I reviewed the emails, gave my approval, and the campaigns started running.
From then to now, we have weekly status updates with the designated Account Manager and I have regular communication with the designated Sales Development Representative who keeps me in the loop where unique responses are needed.
Deliverables are connected to target contacts messaged on a monthly basis.

As it is now, I have a dedicated team of specialists (Researcher, SDR, Copywriter, and Account Manager) but I only directly communicate with two of them; the Account Manager and the Sales Development Representative.

We're still working together and plan to continue for the foreseeable future. Outside of great customer service, I would say that the SalesAR team really knows how to find the right contacts in what I would consider niche businesses. The workflow is great. They really know what they're doing and make it very easy for me from getting needed information to setting appointments and prepping me with lead backgrounds before the sales meetings.
What did you find most impressive or unique about this company?
The most impressive thing about SalesAR is their flexibility. They really understand how to build a service package that meets my needs. I'm also impressed with their reporting. It's always great to know your vendor/contractor is looking at the data and using it to adjust strategy.
Are there any areas for improvement or something they could have done differently?
If there's an area for improvement it's on my side. In terms of material and/or information needed, I can slow down the workflow while they wait for the content they need. However, I've noticed they don't just sit, they remind me to provide them with what they need and when they don't have what they need, they improvise in other areas to keep up productivity.
SalesAR has successfully taken over the client's email deliverability activities. They encounter spam issues much less frequently compared to an in-house solution and their competitors. The team brought a major improvement in the client's email reputation and longevity.
