Describe the scope of work in detail. Please include a summary of key deliverables.

1. Supplier payables ledger - Records every supplier invoice and payment in one place - Shows each supplier's balance in both US$ and GH₵, using the daily Bank of Ghana exchange rate, which updates automatically - Dashboard showing total owed, total paid and balance left, per supplier - Automatic weekly SMS reminders while a balance is still open - Tracks bank loans, repayments and charges
2. Company ERP - Stock management: products, categories and every stock movement, including returns - Sales that update stock as they happen - Credit sales tracked per customer, with every payment recorded against them - Automatic SMS reminders to customers before, on and after their due date - Accounting, expenses, HR and staff attendance - Role-based access so each staff member sees only what they need, plus an activity log of who did what

Both systems are web apps that our team uses every day. Novalss handled the design, development, setup, hosting and ongoing support.

RESULTS & FEEDBACK

What were the measurable outcomes from the project that demonstrate progress or success?

Every supplier invoice and payment is now in one system instead of spreadsheets, and the balance with each supplier is always up to date in both US$ and GH₵.

• Exchange rates no longer need to be entered by hand. The system fetches the Bank of Ghana rate itself every day.
• Payment reminders to suppliers and credit customers now go out automatically by SMS, so no balance is forgotten and nobody has to chase payments manually.
• Our staff run stock, sales and customer credit in the ERP every day, and stock updates the moment a sale or return is recorded.
• Each staff member only sees the modules their role needs, and every action is logged, which gives management full control and accountability.
• Both systems were delivered and running on schedule, and Novalss continues to support and improve them.

Describe their project management. Did they deliver items on time? How did they respond to your needs?

Novalss managed the project very well. They agreed the scope and timeline with us at the start, and they delivered both systems on time. We communicated mainly on WhatsApp and calls, and they always responded quickly. Whenever we asked for a change or a new feature, they understood what we needed and made it fast, without delays or extra back-and-forth.
They also took time to understand how our business works, especially buying in dollars, selling in cedis and giving customers credit, and they built the systems around that. Even after launch they continue to support us and improve the systems as our business grows.

What did you find most impressive or unique about this company?

What impressed us most was how well Novalss understood our business. They didn't give us a generic system. They built software around the way we actually work: paying suppliers in dollars, earning in cedis and selling to customers on credit. Features like the automatic daily exchange rate and the SMS payment reminders solved real problems we had dealt with for years. They are also very practical and easy to work with. They explain things in plain language, respond quickly, and keep improving the systems after launch, like a partner rather than just a supplier.

Are there any areas for improvement or something Novalss could have done differently?

Nothing major. If anything, a short written user guide or training video for new staff would make onboarding new team members onto the systems even easier. Overall we're very happy with the work and would recommend Novalss.
