We were building an internal application and needed UI/UX designers.

LeverageUX Design House provided us with UI/UX design services using Figma. First, we signed their proposal, and they assigned our team. The team presented us with some options, and we asked for changes along the way, working back and forth for about a month. 

We had already built the app, and our users had identified some UX pain points. For example, the app had images we needed to categorize, identify and export more efficiently. LeverageUX Design House made UI design suggestions for users to more easily input the images’ data to categorize them using an existing feature. They also provided UX design ideas on exporting the media for our customers.

Once the ball got rolling, we worked with Anton (Co-Founder & Chief Business Development Officer), who acted as a technical project manager, and with a designer. Initially, I was looking for freelance designers and found LeverageUX Design House on Upwork. Initially, we had a call where we described the project and everything we needed. From there, the team returned with a proposal and detailed presentation about what they would do for us. Our initial contact with LeverageUX Design House was in February 2023. From there, we worked together from March–May 2023.

What evidence can you share that demonstrates the impact of the engagement? 

LeverageUX Design House was great; they were easy to work with, and I was very satisfied with their output. I presented the solutions to our internal users and got positive feedback. 

Moreover, our initial contact and the financial manager were helpful, clear, and straightforward about what the team would deliver. Regarding UX design improvements, LeverageUX Design House provided an excellent idea for improving our pain points.

We communicated through Slack and used Figma to provide feedback. Additionally, LeverageUX Design House's estimates were spot-on.

Working with LeverageUX Design House was my first time using an agency instead of a freelancer, and the team led the way pretty well. From the initial contact until the implementation, they were great. My advice is to be straightforward with the budget and scope.

We use LeverageUX as a design contractor — they make improvements to our software’s design, and our engineers implement those designs. For context, our team sells software to customers, and it’s highly technical. As a result, it’s difficult to use for configuring equipment, specifically the input channels.

What was the scope of their involvement?

To date, we’ve done 3–4 projects with the LeverageUX team. Our first project has been focused on our input channels. These channels allow end users to configure what sensors they want to connect to our devices, and we want to make it easy for them to remember the configurations they use. 

For that, we have a feature that has the required functionality. However, it’s not discoverable; people don’t know where it is, so LeverageUX has come up with a better way to bring it out in a tab that’s easier to find. Their key deliverables include images, mock-ups, and wireframes. They use Figma to deliver the designs, and our developers develop them. 

What is the team composition?

We work with one designer and one project manager. 

How did you come to work with LeverageUX Design House?

We found them through platforms similar to Upwork. I put out an RFP for bids, and their response indicated they understood what we wanted. On top of that, the concepts they worked with — such as framing things in terms of user stories and personas — indicated that they were more professional and knew what they were doing. They had a good price, too. 

How much have you invested with them?

We’ve spent around $2,000–$3,000 on every project with LeverageUX, and we’ve had 3–4 projects so far. In total, we’ve invested around $10,000 in their services. 

What is the status of this engagement?

We started working with LeverageUX in February 2023, and the engagement is ongoing.

What evidence can you share that demonstrates the impact of the engagement? 

Our release cycle is twice a year, so LeverageUX's work will come to users in October 2023. However, we’ve been testing it internally, and the designs do have some improvements. Other end users have taken a look at the designs, and they’ve said the designs are exciting and great. We expect to see improvements in the form of improved usability, which means that we’ll get fewer support tickets and more business. It’s a long-term investment, though, since we have yet to ship out the product. 

How did LeverageUX Design House perform from a project management standpoint?

They meet deadlines well and are great at what they do. I don’t see them using any project management tools since the engagement is quite straightforward. We use Slack to communicate. 

What did you find most impressive about them?

LeverageUX has great designers at a highly competitive cost. 

Are there any areas they could improve?

No, there aren’t any. Our industry is specific and complex, and a lot of mathematics and technical details are involved. Once they give me designs, I still have to continue working with them to improve the outputs. The project requires collaboration between our team and them. Considering all of that, they’re doing fine. 

Do you have any advice for potential customers?

You have to work closely with LeverageUX. Hand out your requirements, and once you receive the designs, follow up with your feedback. The best types of projects for them are the ones with more general patterns. An example is designing a payment page. 

Moreover, we have areas in our product that require a lot of onboarding. Using them for these projects can be inefficient. However, problems that have a fairly standard pattern — such as those that don’t require much background knowledge — are the best projects for them.

We provided Leverage UX with inspiration and examples, essentially our own moodboard that we'd developed in-house. Through this and a few interviews with us, they were able to turn around initial designs very quickly. Along the way they were great at pushing us to exceed some of our more limited asks and were super flexible. 

For example, we knew that we wanted to delay finding illustrations for some key parts of the design and were able to deliver Figma designs with placeholders that we could later swap out with illustrations.

We presented stakeholders as well as test users our before and after designs. Everyone preferred Leverage UX's designs. Also the designs they delivered have continued to be extensible such that we can use them to experiment with new pages.

With the goal being designing a new feature called Wallets, LeverageUX first started by interviewing our team of stakeholders. We collaborated on user stories that would define the requirements, and then the team got going to presenting UX ideas through wireframes/wireflows. Once we agreed upon a the direction for the solution, LeverageUX started building high fidelity mockups in Figma. After several rounds of reviews, final Figma files were delivered to our engineering team for build.

• The project is still in progress in terms of build, but anecdotally we thought the rate of design iteration based on our feedback was really stellar.

They assigned a project manager (Sasha) who kept everyone ontask. We had a shared slack channel, and used google docs to collaborate. They always delivered on time, and were highly responsive to our feedback and needs overall.

The rate of communication and rate of iteration were both stellar, and we were pleasantly surprised that it worked so well.

Due to cuts, we're not able to proceed so cannot report back on this. But we had plans to incorporate LeverageUX more deeply into the organization - having them act more like team-mates. We had also planned for more UX research to drive iteration. I'm confident they would've excelled on both fronts.

What challenge were you trying to address with LeverageUX Design Agency?

We engaged LeverageUX to help improve the UX of our technology. We didn’t focus much on UX design for our first application and wanted to prioritize it for our second application. Our software is very data-heavy and can be quite tricky for end users to understand. 

We were looking to partner with a UX-focused vendor that could visualize data with colors, shapes, lines, and sizes to help the average user interpret complex data sets.

SOLUTION

What was the scope of their involvement?

They primarily provide us with screen design and UX design assistance. We have two applications, and LeverageUX helped us build the frontend experience for the second application.

We essentially use LeverageUX and their staff as a prototyping service. I bring them an idea, and they help me flesh that out and develop mock-ups before taking it to our software developers to build. 

They helped develop user personas for marketers and data scientists and determined which screens would be helpful for each persona. They also created personas for channel and product owners later in the project and sorted out the screens for those as well. They use Figma to share deliverables and iterate.

We track success through customer satisfaction. We want our clients to feel like our technology is really cool and unique, and we’ve seen an increase in positive feedback since working with LeverageUX. We had noticeably better customer satisfaction results for the application they helped us design than the first application we built without their help. 

How did LeverageUX Design Agency perform from a project management standpoint?

When LeverageUX commits to something, they always deliver. I truly couldn’t say enough positive things about Ana and the team. Ana has a solid ability to manage the project work and is trustworthy and credible. 

She is very good at taking my vision and turning it into rigid requirements and has been instrumental to our success. I can always share rough ideas and get feedback from the team through visual mock-ups that would help us craft software requirements. Figma was beneficial because we could collaborate in a shared repository. 

We integrated Jira into our software development life cycle and used it to manage the project. We typically communicate via Slack and Zoom meetings. Another handy tool was the Zoom meeting recordings because I could share those with our team to keep them in the loop.

What did you find most impressive about them?

I have been most impressed by Ana's role in the process. Her ability to transform my rough ideas and blossom them into actual requirements has been excellent. Without Ana’s role, I would communicate directly with designers and illustrators, who may need more specific requirements that I cannot give. Ana has been the key to our successful relationship with LeverageUX. 

I also really admire their work culture; they take great pride in their work and do what they say. Working with them has been a pleasure.

Are there any areas they could improve?

I have nothing they could improve on. 

Do you have any advice for potential customers?

I advise exposing the head of production to your end users as much as possible. We don’t have enough end users due to the nature of our business, but I think it could be beneficial if we had that capability. If you give the head of production maximum visibility to end users, they can gain a deeper perspective and deliver a more robust work product.

I can’t stress enough how well they've been able to communicate the project’s costs, timelines, and deliverable cadence. The design is very appropriate for the customer base.

They communicated through each step of the process and delivered on time for each milestone. The final delivery came within budget as well.

We communicate regularly through weekly Zoom calls and ongoing Slack conversations. They also use a project management tracking tool that allows us to confirm stage cadence.

What did you find most impressive about them?

They’ve been nothing but professional. We fed them information about persona types and design tone — and even some existing workflows — and they've created a beautiful design, filling in gaps in our UX that we were grappling with. All around, they’re a great team to work with. We’ve enjoyed working with them and will continue to work with them.

I’m an executive at a venture-backed startup building software technology for companies working in the healthcare supply chain in the US. We help businesses automate internal procurement, inventory, sales, and distribution operations and the processes between companies through digital B2B connections.

OPPORTUNITY / CHALLENGE

What challenge were you trying to address with LeverageUX Design Agency?

We wanted to consult experts on the design of our platform because we’re a pretty young startup. Our team had worked in Figma to design the frontend and interfaces of our platform, and we wanted to find someone to give us feedback, redesign some of the weaker areas or pages, and help optimize the UX and flow. The project involved not just redesigning pages but also reorienting them, operations, and sequence in a way to have an optimal experience.

SOLUTION

What was the scope of their involvement?

LeverageUX provides UI/UX design and architecture information design services for us. Step one was a brand discovery consisting of a couple of days to a week of deeply questioning and trying to understand our company. They've also helped us build out our information architecture, which is something that they introduced us to. The team built out a giant flowchart and map of the entire platform, and while they offered to do it for us, they encouraged us to do as much as possible so that they could fine-tune it without having to go back and forth as much.

After the discovery, they took over the design and asked us which pages were our priority and where we found the most dysfunction. They advised where they could make the most significant improvements, and then we started with the points of overlap. They punted out 3–5 unique pages per week, including areas of the platform that might have several modals pop up and the functions and click-throughs within those pages.

Ultimately, LeverageUX has redesigned our platform from the ground up. They've helped to predefine and standardize the base materials or mediums we work with, such as color and font. The team has also helped with standardized backgrounds and the shape of our components. For this standardization, they've helped us create a mood board. Once we had standard material and components, they jumped into the information architecture.

The team has helped us map out how each page can interact and click-through to other pages, how data flows from one page to the next, and how the data structure transforms and evolves through the way we process information. They've taken the information architecture and rerouted a lot of the data through different pages to try and shorten the number of clicks users need to make. They've also helped us determine the user's goal, including small wins and the desired outcome. 

What is the team composition?

We've worked with around three people, including 1–2 project managers and a designer. In some cases, we've worked with two designers. Additionally, the CEO is accessible to us for important and directional conversations.

How did you come to work with LeverageUX Design Agency?

We originally found them through Dribbble and saw the work and portfolios they posted there. Across Upwork and Dribbble, we found around 12 design and UI/UX agencies. We interviewed around six companies and asked for a more detailed portfolio and how they work, like whether they use Figma or something else.

LeverageUX not only ended up being the most compatible with how we work;  we were sold on the time they invested in our interviews and discovering who we are. As a result, they delivered a really impressive pitch. They also asked many questions about who we are to qualify us for working with them because they don't take on every project; we had to be in the right industry. Overall, we were impressed by their prior work, so we went with them.

What evidence can you share that demonstrates the impact of the engagement?

Reducing click counts is a huge way we've quantified LeverageUX's success. Before they redesigned our platform, users needed to click maybe 100 times to achieve their goal. Now, returning users can achieve their goal in around 12 clicks. They've been really helpful in reducing the amount of information on each page. Our platform has gone from 50 data fields or buttons down to 15, where the user has much more information available in a single click because it's nested in other buttons, pop-ups, or slide menus. 

The team has also created beautiful designs. Every page on our platform is 10 times prettier than before, and everybody in our company agrees. Moreover, we're super satisfied with how LeverageUX constantly touches base with us to ensure we're going in the right direction. We had worked with another design agency in the past that wasn't as focused on communicating with us, and we ended up in a way worse place than before. Now, we're in a good place. 

When we picked them out of the 12 candidates we had, I didn't expect the engagement to go as well as it has; they're the best firm we've worked with in any field. Because they did such a good job with the priority pages, we've doubled the budget and let go of all the other design agencies we were working with, so we can prioritize our work with LeverageUX.

How did LeverageUX Design Agency perform from a project management standpoint?

They send us a report of the hours they've worked every week so that we can map out our budget. Once or twice a week, they inform us whether things are on track or if they're going slow in the context of the budget so that we can pick up the pace to stay on track. Ultimately, we've decided to go over budget because they're doing a great job and are really great at informing us.

We use Slack for communication, where they've invited us into their workspace so we can get all of their notifications. Additionally, we have a Google Sheets document that we use like a calendar to track how much time and money has been spent. We check things off as we go, seeing how much time it has taken to achieve what we've done so far and how many projects we have left with them. They also use Figma for design collaboration, which is great because we can view the updates and work in real-time. 

On top of those tools, we use Zoom daily or every other day for a 30-minute meeting to walk through the changes we're making and any questions either side might have. They encourage us to meet as frequently as possible to check in, and they work with us for about 40 hours a week. LeverageUX emphasizes touching base and getting our feedback, so they don't spend time, effort, and money going in the wrong direction.

They've kept us informed all the way through. For example, we gave them our budget, and after three weeks of back and forth, they told us they were comfortable moving forward. Regarding the information architecture, they warned us that moving forward would imply going over the deadline and less time working on the design. 

What did you find most impressive about them?

LeverageUX's design talent is impressive. We've been blown away by their designers — they're really amazing. We've worked with other design firms that haven't been very good and haven't come close to LeverageUX, which is why they're now the only design firm we work with.

Previously, I didn't recognize the importance of talking through our product and goals. Even though I've done that with various agencies, LeverageUX's insistence on knowing our platform, product, goals, and customers has allowed them to design something completely in line with our company's and customers' goals. While it's easy for someone to be talented, the amount of care they put into it, the back and forth, and checking in with us make a difference.

Work with LeverageUX — you won't and can't possibly be disappointed! Don't fight in whatever systems you have for design. You should buy into their process when you work with an expert such as LeverageUX. Meet with them as frequently as they recommend and spend time taking the steps that they want you to take because, ultimately, it will pay off.
