What specific goals or objectives did you hire KayOne Consulting to accomplish for your audit, advisory, or compliance services?

I hired KayOne Consulting to provide fractional CFO services to my client. The main goal was to provide CFO-level support to help the client move from reactive decision-making to proactive decision-making supported by data and information.

Can you describe the scope of work KayOne Consulting handled for your project at VRBB & Associates? Please include the main deliverables if you can.

The scope of work includes two phases. The first phase is a one-time process that includes reviewing the existing finance and accounting systems, processes, and practices; identifying the gaps; and providing and implementing recommendations. KayOne Consulting has also designed and implemented financial and accounting MIS, budgeting and forecasting, costing, internal control, treasury management, and review mechanisms.
The team has also prepared process documentation and SOPs and sensitized teams on the above systems and processes. Phase 2 is a recurring process that includes reviewing the monthly MIS for accuracy and completeness, monitoring the budget versus actual performance and analyzing the variances each month, and monitoring the cash flow, fund position, and rolling forecast on an ongoing basis.
KayOne Consulting also reviews the working of the internal control and costing systems and refines them where operations change. The team attends monthly review meetings and presents the financial position with observations.KayOne Consulting also provides ongoing advisory support to management on pricing, expansion, capital expenditure, and other financial decisions.
The team coordinates with the statutory auditors, tax consultants, and bankers as required and escalates exceptions and areas of concern to management as and when they arise. As for deliverables, KayOne Consulting has delivered an AS-IS study report, gap analysis report, and TO-BE report. The team has also delivered all systems, including SOPs documentation, formats and templates, reporting calendar, and checklists.
KayOne Consulting also delivers monthly packs, including MIS, budget vs. actual, dashboard, cash flow statement, updated rolling forecast, and CFO commentary. 
The team also delivers receivable and payable aging reviews, monthly review meeting presentations, quarterly reforecast for the balance year, quarterly costing and pricing review notes, quarterly internal control compliance review notes, annual budget for the following year, annual performance review and support schedules for the statutory audit, periodic review and update of the SOP manual, financial projections and feasibility notes for expansion and capital expenditure decisions, and advisory notes and exception reports on specific matters as they arise.

What evidence can you share that demonstrates the impact of the engagement?

Before working with KayOne Consulting, monthly accounts used to take almost a month to close. Now, the numbers come within the first ten days. The costing work has shown that some services were being sold below cost. Prices were corrected, and margins went up. We now have department-wise numbers available.
Moreover, the cash flow is much easier to handle after the payment cycle and forecast were put in place. We review the budget versus actual every month. Before this, we had no budget at all. The audit work has become easier and faster because all schedules and reconciliations are ready in advance. We’ve had very few audit queries this time and hardly any adjustment entries at the year-end.
The management accounts and the GST and statutory figures now match, which was always a problem earlier. We’ve also seen a 20% increase in revenue and a 30% increase in profit. Since this CFO engagement is a few months old and the business itself has started to accelerate after introducing the various systems, quantifying every result needs some time. The main reasons for the increase are price correction, savings in purchases, and better collection.

I would say that one of KayOne Consulting’s USPs is managing the engagement as per the scope, within the timelines, and finally keeping the client’s satisfaction positive and maintaining the same.

What did you find most impressive or unique about them?

Few things have stood out. First, KayOne Consulting keeps it simple. They don’t use jargon and put everything in simple terms. The most impressive thing is how they explain the issues, gaps, and progress in simple language with practical references from the industries on similar topics.
Second, they understand and define the problem. The engagement started with the diagnostic study where every existing system was studied in detail, and gaps were identified before the CFO engagement. The same was followed by the recommendations with proper timelines (month-wise, quarter-wise, and year-wise). The recommendations planned for two quarters have been successfully completed.
Third, they have sensitized us. Another impressive thing is sharing the knowledge with the client team. The client is impressed, as consultants generally prefer to come back to them.
Fourth, they have expertise. CFO consulting is the only service KayOne Consulting offers, so they have strong and deep expertise in CFO consulting. The approach and methodology applied by KayOne Consulting’s team are flexible and agile. They have modified the approach based on what is happening on the ground and what the client’s team can manage realistically.
Finally, they implement. KayOne Consulting doesn’t stop with the recommendations. They follow up with the implementation, training, and regular follow-up.
