I’m the VP of Marketing at BigTime Software, a B2B SaaS company behind an AI-powered professional services automation (PSA) platform.
BigTime helps professional services firms such as consultancies, accounting, architecture/engineering and IT services firms run time tracking, billing, project management and reporting in one system. The platform integrates with the productivity and accounting tools those firms already use. I lead our global marketing organization selling primarily into the US market.

OPPORTUNITY / CHALLENGE

What challenge were you trying to address with Fast Forward Solutions?

We needed to fill a business-critical leadership role quickly and without compromising on quality. When I moved into the VP role, I had to hire a Global Growth Marketing Director to take over our key acquisition channels, own global growth strategy, and lead a team of eight. The profile was hard to find: an AI-first growth leader who could scale operations, still go deep on individual channels, and manage a sizable team.
Very few people in the Polish market fit all three. A drawn-out search or a wrong hire would have directly put our pipeline targets for 2026 at risk. We were looking for a partner that:

Had a strong network and a proven track record in the Polish GTM community (marketing and sales leaders), not only a database of CVs.
Had recruiters who understand marketing and GTM well enough to run a real technical pre-screen, so our team would spend time only on relevant candidates.
Could work closely and at our pace, through weekly sprint-style check-ins rather than a hand-off. 4. Would adapt the interview and recruitment process to our requirements instead of pushing a fixed playbook.

SOLUTION

What was the scope of their involvement?

Fast Forward Solutions ran the entire top and middle of the funnel, and our team concentrated on the final assessment. Their scope:

Defining the role together with us: they helped turn our needs into a clear ideal-candidate profile and job description. Market research and mapping, followed by prospecting and scouting, including passive candidates who weren’t actively looking.
Technical pre-screening and first-round interviews, run by a recruiter with a marketing/sales executive background. Structured reporting on every candidate, passing on only those who met our criteria.
Our internal team then handled the deep-dive technical interview, the culture-fit interview and the final hiring steps.

What is the team composition?

We worked with 2-5 people from Fast Forward Solutions: a partner leading the search, a GTM-experienced screener, and research/sourcing support.

How did you come to work with Fast Forward Solutions?

We found them through an online search, and a referral confirmed the choice. We picked them over other options for three reasons: they have a strong reputation in the industry, they specialize in marketing specialists and executives for SaaS and IT, and their pricing fit our budget.

What is the status of this engagement?

We started working together in January 2026, until April 2026.

RESULTS & FEEDBACK

What evidence can you share that demonstrates the impact of the engagement?

We hired Global Growth Marketing Director within about 3 months of kick-off. Since joining in April, he has taken over the team of eight, scaled our AI organic presence and contributed into pipeline growth (with Q3 being record high). The numbers behind the process:

Volume: up to 20 qualified candidates every two weeks who met our initial criteria. That is roughly 100 relevant profiles over the search.
Quality: about 30% of the candidates they put forward passed our internal deep-dive technical and culture-fit interviews.
For a senior, niche role, that hit rate meant our team spent its time on real contenders rather than on filtering.
Speed: 2 weeks from kick-off to the first shortlist, and 8 weeks from kick-off to a signed offer.

How did Fast Forward Solutions perform from a project management standpoint?

Excellent. They were fully engaged throughout, moved fast, and kept the process transparent. We ran weekly sprint-style meetings and stayed in contact through video calls, email and messaging apps in between, so feedback on candidates was picked up within days, not weeks. A big factor was that the person screening candidates is a marketing/sales executive. Candidates who passed the first round were genuinely strong, and our team’s time was used well.

What did you find most impressive about them?

Their combination of collaboration and flexibility stood out. They acted as an extension of our team rather than a vendor, and they changed the process whenever we asked: when we refined the profile or wanted a different interview format, they had adapted by the next sprint. Their network in the Polish GTM community gave us access to candidates we wouldn’t have reached on our own.

The clearest measure of success is that we filled every role we opened with them. Candidates started coming in very quickly after the brief - the first profiles reached us within a week - and the quality was high enough that we didn't have to work through long lists to find people worth interviewing. We ended the process having hired three people, all of whom are still with us and performing well.Although we didn't run a formal tracking framework around this, a few things spoke for themselves. The ratio of candidates presented to those we wanted to interview was high, which was the clearest signal of quality on our side. All the people we hired passed their probation period and are still with the company, and their managers' feedback after the first months was consistently positive.

Project management was efficient and low-maintenance from our perspective. We had one point of contact throughout, communication was quick, and we were kept updated on the progress of the search without having to chase for it.
