Devika Creations

BACKGROUND

Introduce your business and what you do there.

I'm the director of Train With Ash, an online health and fitness coaching platform that helps women lose fat, build strength, and create sustainable habits through evidence-based nutrition, strength training, and education.

OPPORTUNITY / CHALLENGE

What challenge were you trying to address with Devika Creations?

We hired Devika Creations to bring our vision of a fully customized Train With Ash app to life. We wanted to create an all-in-one platform where our clients could track their nutrition, have a food tracker, follow personalized training programs, monitor their progress, and access our coaching resources. Our goal was to simplify the client experience, bring everything together in one place, and build a scalable platform that could support thousands of members while continuing to evolve alongside our business.

SOLUTION

What was the scope of their involvement?

Devika Creations is responsible for the design, development, and ongoing improvement of our custom Train With Ash mobile app, which is built to support thousands of clients within our online coaching program. The scope of work is extensive, with the main deliverables including:The project is completed across multiple development phases, with the second phase involving significant improvements and expansion of the app's functionality.Devika Creations has built our custom Train With Ash app from the ground up, including the user experience, training platform, progress tracking, weekly check-ins, our unique three green tick accountability system, and the functionality that brings all these features together. The app is designed specifically around our coaching methodology rather than using an off-the-shelf fitness platform, which is incredibly important to us.We also incorporate third-party services and data sources where appropriate, including an Australian-verified food database, AI-powered food tracking, and integrations with Apple Health and Google Health. While some external services support specific features, the overall platform and how everything works together are custom-developed to suit our business and the needs of our clients.

What is the team composition?

I'm unsure how many teammates from Devika Creations are assigned to our project.

How did you come to work with Devika Creations?

We were referred to Devika Creations through a consultant that we work with.

What is the status of this engagement?

We started working with Devika Creations in October 2024, and our engagement is ongoing.

RESULTS & FEEDBACK

What evidence can you share that demonstrates the impact of the engagement?

One of the biggest measurable outcomes has been our ability to successfully launch and scale a custom app supporting over 5,000 active Train With Ash members. We've been able to bring our nutrition tracking, strength training, progress monitoring, and weekly accountability systems together into one platform, significantly simplifying the experience for our clients.Another major milestone is the improvement in app stability and performance following our initial launch. The second phase of development has been particularly successful, delivering a substantial number of new features and improvements that have exceeded our original expectations. We've also been able to continually expand the app's functionality based on client feedback, introducing features such as AI food tracking, health integrations, progressive overload tracking, and widgets. For us, success isn't simply launching an app. It's creating a reliable, scalable platform that can support thousands of clients, improve their coaching experience, and continue growing alongside our business. We're now incredibly proud of the product we've built and genuinely believe it's one of the most comprehensive coaching apps in our industry.

How did Devika Creations perform from a project management standpoint?

Project management has certainly evolved throughout our time working together. The initial stages are fantastic, particularly with Byron (Founder), whose communication and ability to understand our vision are outstanding. As the project has progressed, we've experienced some challenges with timelines and delivery. In fairness, our app is incredibly complex, with many interconnected features, and the scope is much larger than we originally anticipated. However, the second phase of development has been a significant improvement. Communication, planning, and delivery have become much more structured, and the overall experience has exceeded our expectations. We're now working closely with Rob (Project Manager), who is incredibly thorough in his approach. He's excellent at anticipating potential issues, explaining technical challenges, and working with us to find practical solutions.I really appreciate the improvements they've made and their commitment to getting things right. The difference between the earlier stages and where we are today has been substantial.

What did you find most impressive about them?

What impresses me most is their ability to take a really complex vision and turn it into a functioning product. When we first sat down with Byron, we spent half a day getting everything out of our heads and onto a whiteboard. He took the time to genuinely understand our business, our coaching methodology, and what we were trying to achieve. I still joke that he's practically a qualified coach now! That ability to understand a business outside of their own industry and translate it into technology is something I really value.I've also been impressed by how much their approach has evolved throughout the project. Rob now brings a really thorough, forward-thinking perspective, often identifying potential problems and helping us work through solutions before they become bigger issues. Our app is incredibly detailed, and what we've ultimately created together is something we're genuinely proud of.

Are there any areas they could improve?

One of the biggest challenges early on is having a clear understanding of project timelines, scope, and just how much work is involved in developing certain features.Coming from a non-technical background, we don't always understand the complexities involved or how certain decisions could impact timelines and costs. This is feedback we've shared with the team, and what I really appreciate is that they've listened and actually done something about it.Throughout our project, they've introduced processes that now give us much greater clarity around project scope, timelines, and expectations before development begins. The difference has been significant, particularly during our second phase of development, which has been a much smoother and more enjoyable experience.I think that speaks volumes about a company. Things won't always go perfectly, especially with a project of this size, but their willingness to take feedback on board, improve their processes, and genuinely evolve throughout our working relationship is something I really value.

Describe the scope of work in detail. Please include a summary of key deliverables.

Initiating, planning, developing and deploying a solution with fortnightly sprints over a 5 year time frame where Devika was the primary technology partner. This seamlessly moved into being a part of a wider development team for a further 3 years and after 8 years we now have the full support of helping us become an internal development team, cash flow positive and overall success thanks to the genuine nature of the relationship (by both parties).

RESULTS & FEEDBACK

After 8 years we are in over 300 venues, with multiple products within our overall product portfolio, have become cashflow positive and with momentum behind the story. Describe their project management. Did they deliver items on time? How did they respond to your needs?

After 8 years of being in partnership the proof is in the pudding. You don't stay married to your most critical partner (being your development partner) for that long without being overly happy with the communication channels and delivery of work (both from a timing and quality standpoint).

Are there any areas for improvement or something Devika Creations could have done differently?

Once again after 8 years there are always things that could have been done differently but we worked as a team and I couldn't fault the process.

2-5 Employees

Describe the scope of work in detail. Please include a summary of key deliverables.

Devika was engaged as Circolo Software's development partner to build the Circolo platform end to end, covering both the event planning and delivery suite and the full ticketing infrastructure. As an award-winning, 100% onshore Australian software development agency with a proven track record of over 100 product launches, Devika brought the engineering depth and technical expertise needed to bring Circolo's vision to life. The planning and delivery module forms the core of the Circolo Premium plan, giving event professionals the tools to plan, manage and run events from a single connected workspace. The ticketing platform was scoped and approved in December 2025, built on a Stripe Connect architecture with ABN verification and GST compliance, and is confirmed live in production. Together, these two modules deliver on Circolo's core promise: ticketing, planning and delivery in one platform, built for event professionals.

RESULTS & FEEDBACK

What were the measurable outcomes from the project that demonstrate progress or success?

The most significant measurable outcome is that the Circolo platform is live in production and actively serving customers. The ticketing module was scoped in December 2025 and successfully delivered to production within the agreed timeline, representing a full end to end build of a payments infrastructure platform with Stripe Connect integration, ABN verification and GST compliance. The planning and delivery suite is equally live, with paying subscribers on the Premium plan using the platform to manage real events. Customers are reporting a minimum 25% reduction in event administration time as a direct result of having their planning, delivery and ticketing workflows in one place. The consolidation of fragmented systems into a single platform has also delivered measurable cost savings for customers, removing the need for multiple third party tools that were previously required to manage the same workload. Together these outcomes validate the platform's readiness for market and position Circolo for its next phase of growth.

Describe their project management. Did they deliver items on time? How did they respond to your needs?

Devika's project management was structured and consistent throughout the engagement. Delivery was on time across both the planning and delivery suite and the ticketing platform, which is a strong reflection of how well the project was managed from scoping through to go-live. Communication was anchored by weekly product meetings held virtually, supplemented by onsite sessions a couple of times per year which kept the relationship grounded and collaborative. Response times to queries and feedback were consistently swift, and change requests were handled professionally with clear communication at every step. Devika operates an internal ticketing system for logging and monitoring requests on a time and materials basis, which provided transparency and accountability across the engagement. Overall the experience has been that of a genuine technology partner rather than simply a development vendor.

What was your primary form of communication with Devika Creations?

Virtual Meeting

What did you find most impressive or unique about this company?

What stands out most about Devika is the combination of genuine technical capability and the quality of the people. They have built a sophisticated, fully integrated platform in Circolo that handles complex payments infrastructure, event management workflows and ticketing at scale, which is a strong testament to their engineering depth. Equally impressive is how they communicate. As a non-technical founder, having a development partner who can translate complex technical concepts into clear, accessible language has been invaluable throughout the build. Beyond the technical capability, Devika has taken the time to understand Circolo's vision, the market we are building for and the outcomes we are trying to achieve for our customers. That level of business understanding, combined with the strength of the relationship built over the course of the engagement, is what sets them apart. They operate as a true technology partner, not just a development agency.

Are there any areas for improvement or something Devika Creations could have done differently?

None.
