We wanted to develop a mobile app for our users and extend our venture from the website. In the app we wanted some specific features like voice recognition, chatbots and smooth UI/UX development. We wanted someone experienced in the technical field who could build the app and also give ideas for the development. The app was supposed to be built as native cross platform. The idea was to create a minimal app with a visually appealing theme.

We reached out to a couple of mobile app development companies and explained to them our business needs. Upon our search we landed on Cubix based on the google search and few recommendations. We spoke with every shortlisted company and asked for a budget with their niche services. Cubix was the only one that came with all our needed services at an agreed price.

The team first listed our app needs and laid down a blueprint of the application. On the other hand the research team conducted competitor analysis and compared the trends matching with our business. In order to integrate the voice recognition and sound system, we had to see through a couple of weeks with the developers to understand technicalities. The application memory was then fed with sentences and phrases that needed to come from the app. Beyond the development phase a QA team took care of application testing. The app loading time and size were checked regularly.

A team of engineers and 2 QA experts worked on the project managed by the project leader. The communication was kept simple and we only had one point of contact, the project lead for all our concerns.

Can you share any measurable outcomes of the project or general feedback about the deliverables?

The launch was successful and our initial users have left positive feedback. The number of people downloading the application is increasing day by day. In the testing phase the app was used by some beta users and they were impressed by the UI and design of the app. We have been able to add a lot of instant replies for the chatbots and the manual assistance generation is also working smoothly. So far we are observing the progress of the app as we move along. The app looks ready and has begun to fulfil our needs to reach the students.

Our first point of contact was the project manager who briefed us about the entire team and their style of working. After having an interaction with other team members, we scheduled meetings once every 2 weeks to discuss the progress and future development of the app. Everyone was punctual in terms of attending the meetings and making up to the deadlines.

What did you find most impressive or unique about this company?

The entire team of Cubix showed a quick understanding of our needs. They made sure that whatever features we asked for were right fit for our application. Not only did they fulfill our needs they also researched how it would affect the app. The fact that they researched a lot and were always prompt to find solutions impressed us.

Are there any areas for improvement or something they could have done differently?

Not at all, we would love to work again in future.

The project was managed by an efficient project manager from the vendor team. They made sure to supervise all the work being done by the technical team and they had a few developers working on different aspects of our project like the interface design, functionality, etc.

The outcome of the project has shown promising results. The game runs smoothly and the client has already seen an increase in the number of downloads in the App Store and Google Play Store. The game worked with no glitches and was highly responsive after it was launched. Our client received a lot of positive reviews in terms of how the game had progressively gotten better.

We saw professionalism being followed from the moment the project had commenced and that never changed at any point. We conducted weekly meetings, where their team would update us with how the project was progressing and we would give them our feedback. Our in-house team had a few developers who helped with the integration of game rules.

Our in-house team produced a design template for the team at Cubix to refer and use while developing the application for our business. They proceeded to develop an application. They not only developed the front-end but also created a robust back-end that streamlined our internal processes.

Our project was handled by the project manager, who kept an eye on all of the work being done on time. We also had a main developer working on the technical aspects of the assignment. We were pretty much in touch with both of them.

Our primary goal of coming up with an application that could make the work process of the healthcare providers a lot easier and smoother was met successfully. After its deployment, we managed to increase our efficiency by 17% and thus we can now process double the consultations we could have before. The front-end too, looks aesthetically pleasing and intuitive.

Our teams discussed in detail the progress and updates of work being done on a weekly basis but they continued to give us a daily update regarding what all work was done. We kept switching between emails, Jira or Google Meet to communicate with each other and drive the project forward. The vendor team was always on time in all aspects.

What we found unique was that every bit of information and work done by the team at Cubix was highly transparent, since they involved us in most of the processes to make sure that we were always in the loop regarding work and the latest development in that industry.

We were recommended by our in-house staff that Cubix is a high-end mobile and web development company. We confirmed its image in the market and saw a lot of similarities between their services and our goals. We wanted to talk to the team and understand their internal operations.

So initially a discovery call was held with Cubix along with 3 other companies. By the end of the discussion we found that Cubix had a professional and expert team along with an industry experience of more than a decade. So we decided to work with Cubix.

We began the project with a discovery call and made a list of features that we wanted to add in the app. It needed to be more efficient and robust, so the developers began by creating the prototype and testing the basic functions.

The app was built on a cross platform system to support both Android and iOS. The app had some additional features like multiple language support, advanced UI/UX, and minimum app size. The test engineers coordinated with the developers to ensure the app’s performing as intended. In any case the test engineers found a bug, they would report it and developers fixed them immediately.

We had been working with a project manager who led the team. The team included 3 expert developers and 2 test engineers.

While we’re yet to launch the app, we’re certain it’d gain good traction when released. We are happy with the outcome of the application. Our employees are already using the app to test the user functions and they are having a great experience.

All the tabs, texts, images and videos are incorporated seamlessly in the app. The file size is also maintained despite the large functions of the application. We are anticipating the rate of progress to improve and gain 10k more downloads in the next few months.

The project management style was very smooth and cooperative. All the team members were flexible with the schedule as per our convenience and always showed up on time. We met for weekly discussion over Slack and Zoom.

The meetings were usually a discussion of past performance and demos testing of the application. Slack was used to keep track of day-to-day communication and documentations were shared over an email.

We were very impressed by the skills of the members involved in the project. Each member was patient enough to take us through the process in simple language. The team never budged from working during workload. Also, they worked overtime when the application needed a quick fix.

Our team extensively conducted research about various companies that provided these services through Google. Cubix was the company that stood out because they were professionals who worked with efficiency and speed and their portfolio was quite convincing, too!

In the initial phase the vendor team analyzed our client’s target audience, and their competitors. They then provided us with a few sample design templates within a week. Our client approved one of the designs instantly. The project panned out over a period of three months, where the vendor team gave us weekly updates about the general progress of the work and sometimes daily updates, depending on our feedback or if they had to make immediate changes.

The team members involved in the project included a project manager and about four developers. The project manager ensured the workflow was seamless and also took up the duty of delegating work to each of their team members.

After the release of the web application and the mobile versions, users were able to access either of the platforms and use the services at their convenience. Our client saw a good increase in traffic towards their website and this turned into a good number of conversions. They are very on top of their work. While running a company it is hard to keep on task, but they managed to keep my team, consisting of 5 people from across the US on task.

I would have let them know to use more probing questions for the setup of the app, as we were not sure exactly what we needed, which put delays into the project on our end.

I am the executive director of a Non Profit Organization with 15 employees dedicated to visit public construction projects in order to make sure that contractors abide by the applicable labor laws.

To conduct our compliance monitoring activities we decided to use an app to capture information from site visits as well as a web portal where all the information gathered through the app (as well as additional project documents) would be collected and managed in real time.

Initially we used Microsoft to achieve these goals (specifically power apps and Sharepoint), but we quickly realized that such option was limited (not reliable and difficult to customize to our needs). As a result of that, we looked for a company that could provide us with a customized app and web portal that were not only designed to fit our needs but also 100% reliable, and we hired Cubix for that purpose.

We found Cubix through a referral (4 companies) from our IT partner. This project was high priority for us since our compliance monitoring activities were severely impaired by the system we were using at the time. We decided to hire Cubix since the referral mentioned their great customer service and reliability.

They have provided us with great support from the first moment. They took the time to hear our concerns making they understood our specific needs. Definitely, customer service, efficiency and professionalism are in my opinion the 3 qualities that best describe Cubix.

Not really. Overall I am really satisfied with Cubix.

BACKGROUND

Introduce your business and what you do there.

I’m the CEO of Knew Memories. It’s a memory enhancement tool developed specifically for Alzheimer’s patients as well as people with dementia, stroke, and brain injury. I’m a developer, and I wrote the mobile app.

It’s come about through personal experience. My mother had Alzheimer’s and my father had a brain injury that led to dementia. During my time of caring for my parents, they experienced multiple doctors, and my mother was taking 25 different medications at one time. The problem with healthcare in the US is that one doctor doesn’t know what the other is doing. There’s no national database or network where they could log treatments. It’s up to the patient to tell the doctor what doctors they’ve had and what medications they’re on. In 2017, 250,000 Americans were killed because of medical errors.

In August 2020, I developed a tracking system. I used to work for a pharmaceutical company so I know about viruses and saw the need for such a system. Nothing’s been done on my app since December 2019. I had five product managers because they all kept leaving the company, and I had to restart over and over again. I’m 70 years old, and I’m doing this all on my own using my retirement funds.

OPPORTUNITY / CHALLENGE

What challenge were you trying to address with Cubix?

I went to them to develop my app for Android and iOS.

SOLUTION

What was the scope of their involvement?

I signed a contract with Cubix in September 2018. It stipulated a 4–6-month completion, but now it’s almost three years later. I’ve had two and a half years of just waiting, and I’ve asked them to contact me. In the last conversation they had with me, they said they’d put the app on GitHub and release the credentials for my website, but they haven’t done either. I haven’t been responded to since September 2020. I paid for services up front, which they haven’t done or reimbursed me for.

A large amount of employee turnover is a red flag that there’s something wrong. Over two years, I’ve had six product managers who have had to start all over again. They were all very nice and courteous, but there was no competency. The product managers promised they would do things, but they wouldn’t in the end.

Every time I got the app, there was something new added that I had no idea about and didn’t relate to the app. I gave Cubix forms that I created for the app, forms that they never instituted. The application is nowhere near what I want it to be two years later. I’ve rewritten the sections over and over again, but it never made it in. I basically have nothing.

I took out trademarks because I had signed a contract thinking it would be over and done in six months. It’s two years later now, and I’m on the fifth extension for my trademark. If I don’t get the app developed in the US, where I can see things and get it completed to where it needs to be, I’m out of luck. About 85% of my retirement funds have gone into this project.

Cubix hasn’t provided anything at this point. I paid for website design services. It ended up that one of the product managers took a vacation. I needed the site up, so I designed it myself. They haven’t reimbursed me for that.

What is the team dynamic?

There have been six product managers. They might have also done the development, but I’m not positive.

How did you come to work with Cubix?

I saw their web page, and they sounded good. I checked with the Better Business Bureau, and there were no complaints. Cubix gave me references, which I did call. I did my due diligence. The original salesperson was wonderful. They were all nice people, but I don’t know whether or not that was a way of putting me off.

How much have you invested with them?

The contract was for four payments of $10,500 each, out of which I paid $31,500. The salesperson said that they wanted to receive full payment before the app was launched but I’m not giving full payment on anything before I see the app. Cubix agreed to postpone the last payment, which would be $10,800.

I have paid them $1,700 and $1,500 for videos that I never received, and I was never reimbursed for the web page I designed myself. I took out two other addons that I paid $1,000 each for. They were for medical and hospital quoting, and they were never done.

Also, Cubix had a problem with money being supposedly stolen from them by someone in the US. I was asked to get their money back from this person, which cost me money for lawyers. I was trying to help out.

What is the status of this engagement?

I started working with Cubix in September 2018. My fifth product manager told me he was leaving the company in September 2020, and I told him I was stopping the project. They said they’d put everything on GitHub and give me the credentials. However, they haven’t responded to any of my numerous letters or returned my phone calls. I’m writing my congressman now.

It’s been a nightmare. All I know is that it’s going to be three years in September 2021, and I have nothing. I don’t know if I’m receiving this poor service because I’m not a big company or something else, and I really don’t care at this point. It’s unprofessional.

It was all a mistake. I found out that each programmer has their own coding style when they enter. Therefore, bringing the app to the US would be very difficult to know what it was about because there were five different people working on it with their own coding shorthand. I’d have to start all over again.

In September 2020, when the fifth project manager was leaving the company, he told me that the app hadn’t been worked on since December 2019. I hit the roof. They had a complete memo of every form I’d made, and nothing had been done. At this time, they said that if I paid and continued with them, they’d get it done in three weeks. By this point, I didn’t believe anything they were saying.

Cubix won’t give me the credentials of the web page so that I can transfer it over to GoDaddy. The web page has been down for I don’t know how long. I demanded my money back for the things they didn’t do. They said they’d put the deliverables on GitHub, but they didn’t. I haven’t hired a new resource as of yet. I’m out of money, and I’d need the app to get a price on what I could do.

How was project management handled?

Every time I received a new product manager, they said they had all the information, but it never got there. Things started going downhill before COVID-19. It took almost two months to get the new product manager up to speed on the forms. I had to send the same memo over and over again, and it never got done.

I had a draft of the app, but that’s gone. They changed the password for the one I do have, so I can’t get into it. Not only that, I had a lot of trouble getting the app on my system because they never told me the passwords they changed. With the time difference between here and Pakistan, it was difficult to communicate.

Is there anything that the vendor did well or that you would consider a strength?

No, there isn’t anything they did well or that I’d consider a strength. My niche audience is people with cognitive issues so I knew I had to keep the app simple. Cubix wanted to put in all these fancy bells and whistles, and I kept saying no. The big problem was communication. I wrote things down and gave them exact forms to put on the app, but they never did.

In what specific areas can they improve?

They need to improve their communication. I’m a writer, not a developer. I told each of my product managers that if there’s something that I ask, please tell me about expectations. My 30-second ask could cost them a month of work because I don’t know what it takes.

What advice do you have for clients with similar needs to yours?

My advice is to not use Cubix. What they’re doing is unethical and unprofessional. I’m not a vengeful person, but I’m going to make sure that Cubix doesn’t have a presence in the US. I don’t want this happening to anyone else. I’m 70 years old, so I can’t just get a job to recoup this money.

They’re denying any culpability. I didn’t do anything to make six of their people leave in two years. That’s an indication that there’s something wrong with the company. Then, I was told that someone took off with all their money, and there was one problem after another. I don’t know what more I can say, except that this has been a horrible situation. I’m a reasonable and kind person, but my tolerance has a limit.

Cubix haș done an excellent job, creating not just a functional application, but a beautiful one. We still have some ways to go, but so far Cubix has exceeded my expectations.

The workflow between my team and theirs has been great. As soon as we got past the initial honeymoon phase and figured out how each person works, we've had great communication.

Adeel in particular has done an excellent job communicating back and forth between me and their team, knowing that I don't have a tech background. He's there when I need him and has been an absolute awesome partner!

What did you find most impressive about this company?

Their broad range of knowledge. They always find a way to figure something out, even when it's new territory for them.

Are there any areas for improvement?

As a spastic entrepreneur, I always like for things to happen yesterday.

With that being said, though we did get a bit off track on the timeline, the team has done an amazing job acknowledging the issue and has done everything in their power to shave off time and even bring in additional resources to ensure the project is completed as quickly as possible.
