They developed a modular, AI-powered assistant to support clients in writing grant proposals for clean energy and innovation projects. The tool leverages large language models to generate high-quality, tailored content for each section of the application, based on user inputs.
The system uses Langflow for orchestrating AI agents and integrates with MongoDB and PostgreSQL for document management, metadata storage, and vector search. The user interface was built with Streamlit and deployed via AWS Bedrock, enabling seamless cloud scaling and cost optimization.
Thanks to this solution, users can quickly draft, evaluate, and iterate on grant proposals - significantly improving their chances of funding success.

What were the measurable outcomes from the project that demonstrate progress or success?

We partnered with the client to build a custom AI-powered assistant that streamlines the process of writing grant applications, specifically in the areas of clean energy and innovation. The assistant helps users generate key sections of proposals—such as keywords, objectives, and executive summaries—and supports iterative evaluation through an embedded Peer-Reviewer module. Developed an AI-powered solution based on large language and multimodal models that automatically processes CVs in PDF and DOCX formats. The system extracts structured data and returns it in JSON format for seamless integration with the client's internal system. Additionally, we implemented features for translating and customizing CVs for specific job roles, supporting multilingual capabilities.

• Reduction of manual processing time by 90%, enabling faster candidate evaluation.

I'm the chief delivery officer of KYOTU Technology, an IT services company. We develop customized, end-centered digital solutions in healthcare, fintech, and energy, leveraging a multidisciplinary team to improve quality of life through innovative technology.

What challenge were you trying to address with COGITA?

We needed help with the AI/GenAI side of two innovative projects in the healthcare and fintech industries.

SOLUTION

What was the scope of work?

COGITA has been responsible for transforming a large amount of data from several different sources, including web apps and third-party systems, into a format processed by our core system. The data combined medical history of patients and insurance plans. COGITA provided structured solutions and process flow, split into a few stages depending on data scope and size. In the other project, COGITA helped with advanced prompt engineering of the GenAI project processing financial documents.

What is the team composition?

We work with 3–4 teammates from COGITA.

How did you come to work with COGITA?

We met COGITA at an industry event for IT companies in Poland, where we have our delivery center. Adam (CEO) from COGITA attended the meeting, and we discussed our need for help with AI projects. We had a good conversation, and Adam and the team showcased their experience. We agreed on the financial side and started our cooperation.

How much have you invested with them?

We've spent around $40,000.

What is the status of this engagement?

We started working together in February 2025, and the project is ongoing.

RESULTS & FEEDBACK

What evidence can you share that demonstrates the impact of the engagement?

COGITA's work has resulted in fast delivery to market; approximately 2–3 months after starting the project, we had a production version. The project also had almost 100% accuracy in the end.

How did COGITA perform from a project management standpoint?

COGITA's project management is good. They deliver on time, and everything is fine. We onboarded them to our Slack, but we keep email communication and regular meetings.

What did you find most impressive about them?

COGITA has strong experience and focus on AI. They adapt to our way of working and quickly react to issues in the project.
