We contacted them to seek their help with sourcing support for some of our critical front- and backend engineer roles.

What was the scope of their involvement?

Canada Mentors helped us recruit resources. We told them about our skill requirements, and they sourced the candidates, screened them, and let them know about our hiring process. From there, the team would submit profiles in our applicant tracking system. Then, I would review them and reach out to the candidates. They helped us make about five hires. 

What is the team composition?

I only worked with Vidhi (Co-Founder).

I found them through a Google search.

We paid them a percentage of the salary of each hire we made through them; we spent $50,000–$100,000 CAD (approximately $72,000 USD). 

What is the status of this engagement?

We worked together from March–July 2022.

What evidence can you share that demonstrates the impact of the engagement? 

The volume of resumes Canada Mentors shared was very good, and so was their overall quality. Moreover, we took many candidates ahead through our process, and they were almost all shortlisted for our on-site team. Currently, our hires are doing well, and the managers are happy with them. 

How did Canada Mentors perform from a project management standpoint?

They met deadlines based on our expectations. We used email and weekly calls to communicate. 

What did you find most impressive about them?

The quality of Canada Mentors’ candidates set them apart. They took the time to understand exactly what we were asking for in order to provide superlative quality. They hit the nail on the head with how they sourced their candidates. I was working with more established providers with whom I didn’t see the same quality that Canada Mentors offered.

Overall, we had a great partnership because I didn’t have to align expectations repeatedly. The team had a lot of knowledge about the technology industry and the skill sets needed. 

Are there any areas they could improve?

If anything, they could focus on finding more diverse candidates; I didn’t see a lot of women’s resumes. However, this issue is universal in the technology industry, and it’s not Canada Mentors’ fault. 

Do you have any advice for potential customers?

Canada Mentors is really good, and Vidhi particularly knows a lot about the market and has amazing insights. Therefore, I’d say future clients have a lot to learn from them based on their work.

We’ve worked with Canada Mentors in the past and they are exceptional to work with. They have been very through and are able to find skilled developers that match our requirements and fit our culture.

Can you share any outcomes from the engagement that demonstrate progress or success?

The candidate we hired exceeded our expectations by completing the tasks for a key internal project ahead of schedule. The candidate was also able to pick up and get familiar with our tech stack fairly quickly and start contributing to it. We have been super impressed with the candidate and decided to hire the candidate full time as suppose to a contractor.

They were very responsive and detailed in their communications throughout the hiring process.

We were super impressed with the high quality of talent pool that they provided, along with how professional and great they are to work with.

Nothing really comes to mind. The team has been a delight to work with.

I was the global talent acquisition manager for a leading the R&D talent acquisition for this company.

What challenge were you trying to address with Canada Mentors?

We were looking for high-volume and fast talent acquisition because we were in growth mode. Thus, we brought Canada Mentors as our external talent acquisition partner.

SOLUTION

What was the scope of their involvement?

Canada Mentors helped us bring senior-level engineers into our organization. We only hired them to bring senior engineers because our internal team was able to get intermediate and junior engineers easily.

We were mainly looking for full stack engineers for Ruby on Rails and React, but we also provided Canada Mentors with different job descriptions for another project. We were building a robotic process automation (RPA) team from scratch, so they helped us find the right talent within Canada to create that team.

What is the team composition?

I worked directly with Deep and Vidhi (Co-Founders). Deep handled the data analytics and provided us with reports, and Vidhi was in charge of client management, candidate management, and other similar tasks.

How did you come to work with Canada Mentors?

Canada Mentors knew someone from our product team. This person introduced them to our CEO, and our CEO introduced them to our talent acquisition team.

How much have you invested with them?

During my time working with them, we spent around $150,000–$200,000 CAD (approximately $116,000–$154,000 USD).

What is the status of this engagement?

We started working together towards the end of 2020. By the time I left my company, they were still working with Canada Mentors, but I’m not sure if the relationship continues.

What evidence can you share that demonstrates the impact of the engagement? 

While I was working with the organization, Canada Mentors helped us hire the right engineers at a decent close rate. During my time working with them, they helped us achieve 8–10 hires. We were measuring the number of candidate submissions they provided versus the number of candidates who got into the next stages of the hiring process. Our goal was to get at least 80% of the candidates to move into the next stages, and they were able to meet that goal.

How did Canada Mentors perform from a project management standpoint?

Canada Mentors was very cost-efficient and did a good job finding the right candidates for us. Their cost was the best part because when compared to other recruitment agencies, Canada Mentors offered the best cost.

Regarding their performance in finding candidates, looking for senior engineers wasn’t a challenge for them, but finding resources for the RPA team was more complex because it was a completely new technology. Still, they took some time to learn about RPA, and when they understood the technology, they were able to fill in the team fairly quickly.

Canada Mentors was using a project management tool internally, as well as Lever as a contracting system. Additionally, we used some Google Sheets to manage data and Zoom and Google Meet to communicate.

Communication was another of the best parts of working with Canada Mentors. They were always on top of everything, keeping us informed, talking about the challenges, and discussing how they could help bring the right talent. We had weekly calls set, but they were readily available to get on phone calls as needed.

What did you find most impressive about them?

Communication is Canada Mentors’ strength; we never had miscommunication challenges. Once we gave them a job description, they would come back with the right candidates. Working with other agencies, they sometimes came back with inadequate candidates or weren’t able to find anyone. However, Canada Mentors made sure to ask the right questions and reach out to the right people to make recruitment successful for us.

Additionally, their cost distinguished them from other providers. As I mentioned, they were very cost-efficient, which was one of the reasons they kept working with the company after I left.

Are there any areas they could improve?

Not really. They were constantly making changes and improvements to their processes on the go; they were very good at it.

Do you have any advice for potential customers?

Treat them as part of your talent acquisition team, maintain a good cordial relationship with them, and don’t consider them as external partners. Once they feel they’re a partner for you, they’ll perform to the best of their capacity.

How did you select this firm and what were the deciding factors?

Canada Mentors approached us. We have experimented with a number of contingency-fee based recruitment firms. We were impressed by their responsiveness, flexibility and willingness to engage with us at a senior level.

The project was straightforward. We provided a job-spec for roles we had difficulty recruiting for. Canada Mentors leveraged their network to present qualified candidates to us. They worked interactively with us through the entire recruiting process, including post hire.

I worked with an Account Manager who was supported by one other team member.

Can you share any outcomes from the engagement that demonstrate progress or success?

Canada Mentors was quickly able to help us hire candidates we had trouble hiring over the previous 12 months. My team commented on the quality of candidates. Almost immediately following the start of the engagement the quality of candidates we were interviewing improved dramatically.

How effective was the workflow between your team and theirs?

Our teams communicated well. Once engaged, we had a deep requirements review with Canada Mentors and our team. Following that we used a combination of email and zoom calls to communicate. We had regular touchpoints between our account manager and a recruiting coordinator on our end. I met less frequently with our account manager - but valued the chance to connect. They provided us with great support in resolving issues in a timely fashion as we negotiated salary and dealt with unexpected events post hiring.

What did you find most impressive or unique about this company?

The key differentiator in my mind was the quality of Candidates that Canada Mentors was able to provide us.

Are there any areas for improvement or something they could have done differently?

Nothing comes to mind. We intend to continue working with Canada mentors.

Once a candidate is selected, they'd stay on top of it to help ensure that we close the offer in a reasonable time.
