I engaged with Advastar to hire a web development manager. They sourced a number of candidates for me and I ended up hiring one of them. While this project was ongoing, my HR specialist quit so I decided to ask Advastar to find a replacement. They did so relatively quickly and she was hired within 6 weeks of the project start date.

Advastar embedded a full-time owner's representative on our largest speculative distribution development to date. Our fund manages capital allocation and tenant relationships internally but does not employ construction professionals, so we needed someone who could represent us in the field with the authority and judgment of an in-house team member. The engagement started during the GMP negotiation phase, where Advastar reviewed contractor pricing against comparable projects in their database and flagged two line items that were materially above market, which we used to negotiate a lower guaranteed price before breaking ground. During construction their representative ran the weekly OAC meeting on our behalf, maintained a rolling cost forecast tied to our fund-level reporting model, managed the submittal and RFI process, reviewed every pay application and change order before it reached our desk, conducted biweekly quality inspections with photo documentation and produced a monthly investor report formatted to our LP template. At project close they managed the punch list, assembled the closeout documentation package and coordinated the handoff to our property management partner. Key deliverables included a pre-construction cost benchmark, monthly investor-ready project reports, a change order log with disposition notes, a quality inspection archive, a warranty tracker and a post-project lessons learned document.

What were the measurable outcomes from the project that demonstrate progress or success?
Both buildings reached substantial completion 22 days ahead of the contracted date, which let our leasing team deliver early access to a tenant who had been asking to begin racking installation before the holidays. Final hard costs came in 2.8 percent under the GMP after Advastar's representative challenged four change orders that lacked supporting field documentation, three of which the GC ultimately withdrew. The project passed all municipal inspections on the first submission cycle with no required corrections, a result our construction counsel said he had not seen on a spec industrial project of this scale in the Indianapolis market. We executed leases on both buildings within 90 days of certificate of occupancy and the asset is performing ahead of our Year 1 underwriting assumptions. Our LP advisory committee cited the quality of the monthly reporting as a factor in their decision to increase their commitment to our next fund.

Every OAC meeting produced a same-day written summary broken into two sections: one for our development team with construction detail and one for our investor relations group with cost and schedule impact framed against the fund model. That dual-audience format meant we never had to repackage field updates for LP consumption, which saved our IR team several hours each month. When the GC requested a concrete pour sequence change that would have shifted the Building B timeline by three weeks, Advastar's representative modeled the downstream impact on our lease commencement assumptions and presented us with two options before we had to respond to the contractor. His instinct was always to frame decisions in terms of what they meant for the investment, not just for the job site, and that orientation aligned perfectly with how our fund operates.

He understood carry implications, preferred return hurdles and LP communication norms well enough to frame every field decision in language our investment committee could act on immediately. Most owner's reps we have worked with deliver excellent construction oversight but treat the financial reporting as an afterthought or a template to fill in. Advastar's representative approached the monthly investor report as a first-class deliverable and our fund controller told me it was the cleanest project-level reporting she had seen from an external partner. That financial fluency is what made us comfortable giving him decision-making authority on site that we would not normally delegate outside our own team.
