XCMG Leasing (Thailand) Co., Ltd. is the Thai financing branch of XCMG Group, one of the world's largest construction machinery manufacturers. We provide equipment leasing, installment sales, and financing for construction and industrial businesses in Thailand.

Describe the scope of work in detail. Please include a summary of key deliverables.

Yangshu built a custom ERP system for XCMG Leasing (Thailand) Co., Ltd, which covers the entire lifecycle of the leasing and installment contracts.

Their team stayed with our staffs to map how our operations actually run, including how we used the old spreadsheets and asked our expectations for this new ERP system.

The ERP has the following functions: 

1. Contract and customer management — customer onboarding, contract creation, suspension, and termination, with every form field configured to match how we actually work
2. Automated billing and receivables — payment schedules, invoicing, and AR/AP write-offs with full audit trails, including partial payments and the flexibility to apply a payment to any specific overdue installment we choose, rather than being forced to clear the oldest first
3. Penalty interest calculator — accurate daily calculation that makes reconciliation with our accounting team far easier than the manual spreadsheets we used before
4. Collections and litigation tracking — when a customer is overdue, every call, email, LINE and WhatsApp conversation, GPS lock, and court milestone is recorded against the contract
5. Cheque management — allocation across multiple contracts and installments, with bounce and return tracking
6. OCR and AI document processing — extracting data from scanned cheques and contracts to reduce manual entry
7. Trilingual interface (Thai, English, Chinese) with auto translation, so our Thai staff and Chinese management work from the same records in their own language
8. Role-based permissions, custom form fields, and Excel import/export System integration — connected to XCMG's corporate database, and integrated with SAP, NetSuite, and Accounting Express

They also handled the data migration from our Excel files with integrity checks, ran a parallel period so we could verify everything, and trained our team by role before go-live.

RESULTS & FEEDBACK

What were the measurable outcomes from the project that demonstrate progress or success?

Month-end closing dropped from about one week to two days. Penalty-interest calculation and receivables write-off, once done by hand, are now automated. Billing errors that used to require manual correction have disappeared. Over 1,500 active contracts now run on one multilingual system instead of manually synced spreadsheets.

Describe their project management. Did they deliver items on time? How did they respond to your needs?

Yangshu ran the project in clear phases. They mapped our workflow first, then configured their ERP system (Flows ERP, which they built by themselves), migrated our data, ran a parallel period, and finally went live. We always knew what stage we were in.

Deliverables generally arrived on schedule. A few milestones shifted when we surfaced exceptions in our billing rules that hadn't come up in the initial mapping, but they were upfront about the impact and adjusted the plan.

Yangshu Co., Ltd. is very responsive; when we raised an issue, fixes usually came within a day or two.

What did you find most impressive or unique about this company?

Yangshu already understood the leasing business. Penalty interest, collections records, litigation timelines, cheque allocation across multiple installments... these were in the system from the start, not things we had to explain and then wait for. 

We had looked at generic ERP before and it always came down to bending our process to fit the software. 

The other thing is language. Our Thai staff work in Thai, our Chinese team reads Chinese, and both see the same records. Most vendors treat this as a translation problem to solve later. But Yangshu built it in.

Are there any areas for improvement or something Yangshu Co., Ltd. could have done differently?

Some of our Thai staff took longer than expected to get comfortable with the interface.

More training material in Thai, for example, short videos or a quick reference sheet, could help our Thai staff find things on their own
