We own and manage a total of 3 hotels offering accommodation to business clients in and around the Manchester Airport area.

Our challenge was to integrate all of our individual online booking systems and migrate/centralise all the business operational data onto a single platform hosted in the cloud.

How did you select this vendor and what were the deciding factors?

We searched online and had a few discussions with various other cloud solutions providers and one of them was XpertCloudSolutions. Following several online meetings with them, we understood their capabilities and expertise in the hospitality sector. Probably the most important deciding factor was the clarity and simplicity of their approach and communication.

Each of the three hotels had its own standalone booking and management system and our aim was to centralise these systems. They performed an audit of our hotels and identified how each system worked and how it could be improved. Following a few meetings with our hotel managers, they came up with a plan and a detailed structure to migrate and manage everything in the cloud. The solution proposed was to create a single platform that would allow us to manage all businesses from a single source.

They deployed a team of five experts, including a solutions architect, a business analyst, a project manager and a few developers.

RESULTS & FEEDBACK

Can you share any outcomes from the project that demonstrate progress or success?

The platform is in the testing stage and so far it does exactly what was expected and agreed. Although the project is still ongoing, we noticed an improvement in the processes and workflows. Our managers are currently undergoing training sessions delivered by the XpertCloudSolutions team regarding the use of the new system. Their feedback is that data visibility, access and communication have improved considerably so far.

How effective was the workflow between your team and theirs?

We were always kept up to speed with the progress and the communication between the hotels and their team was flowless, open and straightforward.

In the last few years, our company has seen a consistent growth in business coming from both existing as well as new clients. In order to keep up with the everchanging operational demands, we made (probably the wisest) decision ever to adopt a cloud infrastructure that would be capable of supporting the needs of both our clients’ as well as our company’s in the coming years.

How did you select this vendor and what were the deciding factors?

One of our business consultants put us in contact with XpertCloudSolutions and I must say we were very impressed with their professionalism, methods and approach towards our project. We never really understood the complexity of this transition until we had our fist discovery call with the team. They were extremely knowledgeable and provided us with a wide range of tailored services and support.

We decided to make this rather logical step towards the cloud back in March of this year and that’s when our engagement with XpertCloudSolutions started. We had an initial meeting with them and explained what our challenges, goals, and expectations were.

Once they gathered all the data they needed to have a better understanding of what they were dealing with, they initiated a discovery journey with us, to pinpoint our operational challenges and design a suitable solution for us. Once the design has been agreed, the next step was the implementation stage, which ran smoothly and was done in close collaboration with our team members involved in this process.

We are now heading towards the last stage of our project and handover is scheduled for the end of October this year.

XpertCloudSolutions assigned a team of 6 people to work on our cloud project - 1 project manager, 1 solutions architect, 1 business analyst and 3 DevOps engineers.

Can you share any outcomes from the project that demonstrate progress or success?

After a few months since we set out on this journey with XCS, we started to see the results. Our productivity increased considerably, which allowed us to spend less time allocating and delivering projects, and handle a higher number of projects, hence being also able to onboard more new clients.

We have not completed our transition to cloud yet, but the bill of our overall operational costs has gone down by almost 20% and I’m sure this will decrease even further in the coming months.

How effective was the workflow between your team and theirs?

We were impressed by the way they do things and how they work with their clients. Communication with them is excellent, and we are always kept up to speed with the way things are progressing. They call for meetings whenever necessary to make sure we are happy with what’s been done. Also, they are very friendly and relaxed.

What did you find most impressive or unique about this company?

The team expertise and the communication.Before we started our project with XCS we weren’t very sure of what the cloud could do for the company, but they explained everything to us in simple, easy to understand terms so that everything started to make sense to us and decided to make the move. Working with them was a great experience, and it's obvious that they were much a customer-oriented company.

After the meeting we agreed some milestones and they started a discovery journey into our business operational model, seeking to understand how the company works. In the next phase, they designed a customised solution based on our requirements and once we agreed on that, they started the implementation - phase that is ongoing.

Can you share any outcomes from the project that demonstrate progress or success?

After a few months we noted an improvement in our productivity, specifically, we are spending less time to deploy projects and can accommodate more clients than before. The present metrics indicate that by the end of 2021, we will save about 25% in operational costs.

They use a collaborative working model, meaning we were always kept in the loop with the progress and the communication with their team was spot-on.

The most important thing for us was the learning curve - we know more about the cloud now and how to keep our business optimized.

Not sure if they could have done things better, the fact is that we are happy with them and we can definitely see the results of their work.
