What challenge were you trying to address with Volto?

We needed help automating our customer service inbound calls and WhatsApp messages, automating outbound processes, automating several rudimentary processes, and using AI to create prompts.

SOLUTION

What was the scope of their involvement?

Volto has done many deliverables, including a complete AI system that handles client requests, sends the requests to a ticketing platform if necessary, redirects the call if it’s urgent, and handles calls and conversations with the client perfectly. The team has also created metrics to see the whole output and constantly iterates to improve the product and system.

Moreover, Volto has worked on the outbound process automation and AI prompt creation. The team has defined an amazing product and system overall. Volto has also created dashboards and tools to carry out live conversations with clients via email, WhatsApp, and calls.

What evidence can you share that demonstrates the impact of the engagement?

Volto has delivered complete and useful platforms for our company. We’ve saved 5–6 full-time employees (FTEs) due to customer calls picking up with AI. Moreover, our requests are handled faster. Our internal team has also noticed the system’s effectiveness.

How did Volto perform from a project management standpoint?

Volto’s project management is super good. We have full visibility, and the team almost always delivers on time. Volto always communicates any deviation, problem, or success. We communicate via virtual meetings, emails, and messaging apps.

We needed help developing an AI agent for our company. We had a chatbot to assist some customers, but it couldn’t communicate or perform actions. We needed Volto to develop an AI agent from scratch that could adapt to our workflows, internal operations, and work systems.

Volto’s AI agent has increased our sales conversion rate and customer satisfaction. It has also reduced our response times from 24 minutes to two minutes.

How did Volto perform from a project management standpoint?

Volto’s AI agent is going very well. We’re surprised by the great work they’ve done. Although we’re already thinking about improvements, we’re very satisfied with the project’s scope and development.

Initially, we had a demonstration phase where Volto instructed us regarding the potential of the tool. We then moved on to the implementation of a CRM system. After that, we linked our customer service channels, including Instagram, Facebook, and WhatsApp. Finally, we developed a virtual assistant to handle all the initial inquiries our company receives.Volto has installed a CRM system for managing inquiries, set up platforms for the testing period, and configured our customer service channels. We also use Slack to manage changes, improvements, and issues that arise with the CRM system.

What evidence can you share that demonstrates the impact of the engagement?

Currently, we have our main communication channels unified under a single CRM system. From there, we manage inquiries received in our four company branches. We've also sped up our response times since the virtual assistant contacts all potential customers, easing the workload of our sales team, who now have more time to close sales.Moreover, we can track our digital marketing investment through our CRM system, measuring the volume of inquiries received, their channels, and comparing investment and changes in our marketing policy.Overall, our inquiry management is more efficient, and our responses are of higher quality. We're in a process of improvements, integrating new functions into the virtual assistant. Although we haven't noticed a direct relation with sales, we're still adapting the tool to our daily work. I understand that once the adaptation period is over, it will undoubtedly have a favorable impact on sales.

Volto’s work has resulted in a much faster and better response to our clients and fewer problems in the process. Before we introduced the AI agent, the average response time was around 10 hours. Now, all the new messages are responded to automatically. Moreover, due to this better time response and the solvency of the AI agent, we’ve increased the conversion rate of all our incoming leads.
