UNITY supported sales-related processes by implementing proper tools and integrating them with VGP’s plethora of systems and apps. This allowed us to introduce three main modules/apps to manage legal approvals, excise documents, and financial limits for dealers. These modules represent millions of Euros in annual revenue. To achieve frictionless operations, we had to ensure that all systems and apps would properly integrate with our existing tools, provide security, and prevent data loss due to a potential system fault or crash. What were your goals for this project?
This business-critical application must support key business processes involving the manufacturer, our Polish subsidiary, and the entire dealership network with regards to the sale and distribution of new cars.

How did you select this vendor?
We were looking for a long-term partner, and UNITY had the best offer based on our RFP.
Describe the project in detail.
Due to the complex nature of our vital business systems, this implementation project required thoughtful and well-planned architecture and tailored solutions augmented by tools from Anypoint Platform. The project also required the cooperation and involvement of our parent company—Volkswagen AG—in Wolfsburg, Germany since many systems that needed to be integrated were managed and used by our manufacturer.
Some key benefits from this project included (1) massive process optimization and automation, which drastically improved cooperation between the manufacturer and dealerships, (2) reduced errors and faults in documents and systems, (3) increased efficiency, and (4) implementation of a consistent, scalable, and secure architecture that is ready for future growth and new initiatives.
Explain how the solution addressed your business challenge.
We wanted a smooth integration of numerous systems and data sources through the new application, so we and UNITY collaboratively decided to use the Anypoint Platform by MuleSoft as our integration platform. This solution, which we’ve called DRIVE, is now being extended to cover processes related to all the Volkswagen brands. UNITY led multiple training workshops for our IT staff members, improving their skills and knowledge. Currently, UNITY maintains and services the DRIVE solution, providing us with a strict SLA [service-level agreement] that they’ve never violated.

What outcomes or results can you share that demonstrate progress and/or success?
This integration platform provided a solid foundation for our IT architecture and currently serves as our key solution for new integrations and initiatives. The solution is currently live, and UNITY provides maintenance, serves as a first-line contact, and delivers change requests that meet our quality expectations.

Introduce your business and what you do there.
We provide finance leasing services to small and medium enterprises and corporate and institutional customers in Poland. During the project, I was the director of the IT Department.
OPPORTUNITY / CHALLENGE
What challenge were you trying to address with UNITY Group?
We had an electronic archive system based on IBM AS/400. A few years ago, we decided to update the system to a more modern technology. We asked our partners, including UNITY, to build a new electronic archive system to serve as a repository of documents. We have millions of documents and lease contracts of our clients.
We also needed a web application with easy access to the documents and an efficient search engine for our Customer Care Department, lawyers, and other back-office departments.
SOLUTION
What was the scope of their involvement?
They collected the business requirements from many departments, and then in cooperation with my department, we chose the proper architecture for the solution. We chose the SharePoint and .NET frameworks for building the application; for the database engine, we choose MS SQL. The first release of the application was based on these technologies. After a few years, we had more documents than we expected, so we decided to change the SharePoint solution for the typical database solution based on MS SQL.
At the beginning, the application was dedicated to our employees, but when we decided to put documents like invoices for leasing contracts into the repository, we started to publish these documents onto our client's portal. Since then, the electronic archives have started to become one of our most critical applications. The invoices for clients have to be published on time.
What is the team dynamic?
The development process took place with UNITY’s group of developers. We had a dedicated project manager for the cooperation as well.
How did you come to work with UNITY Group?
I've cooperated with UNITY since 1999 when I was a manager. I met Grzegorz Rudno, the co-owner of UNITY, at a conference; UNITY was called a different name then. The group evolved in time. They were very well known developers on the local market. We chose UNITY because of their professional approach to a development process.
How much have you invested with them?
We have spent around $200,000 with UNITY.
What is the status of this engagement?
We started working in January 2009. We've finished the last development side 2–3 years ago. From time to time, we have small change requests on the application. We have an active maintenance contract with them, so, if we have problems with the application, they always offer help.
RESULTS & FEEDBACK
What evidence can you share that demonstrates the impact of the engagement?
The most important thing was that they were always open for changes. My company was very dynamic, and we sometimes made significant change requests. They were always very open to discuss those changes and implement them.
They have very good communication skills. I was very satisfied with the project manager. If we had problems, we discussed them, and we always found a solution. They had good skills when it came to choosing the proper solutions and architecture for this application.
How did UNITY Group perform from a project management standpoint?
We practiced some parts of a PRINCE2 methodology, but we have now started to use JIRA to cooperate with UNITY.
What did you find most impressive about them?
They are very honest. When we discussed deadlines, especially when we made change requests, if they would not be able to meet the proposed deadlines, they told us so very clearly. We worked together to revise deadlines that could be met.
Also, I was very satisfied with the cooperation concerning the maintenance support and the quality of their services. If we had any problem with the application not working in an efficient way, they always offered us help and we very quickly found a solution to the problem.
Are there any areas they could improve?
Their communication can be delayed; they don't get back to us as soon as we expect. They could improve on this area: to give the information to the client earlier.

Introduce your business and what you do there.
I work for a construction material distributor. We deliver construction materials to a wide range of businesses in a B2B environment. The company is traditional and several decades old. We have hundreds of sales representatives in multiple branches across Poland. I’m responsible for e-commerce and marketing.
We started developing our e-commerce website last year as a totally new channel. We want to transform our company using an omnichannel approach, but as an older company, we are dealing with some outdated habits. As far as e-commerce goes, we have thousands of products online currently.
We are working with several thousand B2B clients serviced within Poland on a monthly basis. We service quite different types of clients, from small companies of about five people that are doing renovations to large, multinational companies that are building hotels or apartments at 300 construction sites. Our clients specialize in different types of construction.
OPPORTUNITY / CHALLENGE
What challenge were you trying to address with UNITY Group?
Besides our internal learning curve, one of our technology challenges included system integration. We were still operating on a large enterprise resource planning solution, and we weren’t required to integrate those systems. On the other hand, we were dealing with product management information. We’d never had a team before, so we had to begin preparing data and implement it properly so our customers and site visitors could easily search for products.
SOLUTION
What was the scope of their involvement?
We worked on the project’s major issues with UNITY Group. We began with analyzing our current systems, processes, customer databases, etc. It was about three months of work. Then we focused on the project’s integration, technical documentation, interface, and other issues connected with the web store. They would prepare proposals, and we would discuss and make corrections.
Then we rolled out the first version of the website. Based on our situation, we decided to start with an MVP. We went with the Agile method of developing the most important functionalities first. We identified the majority of those during the analytical phase, and now we are implementing them in the best way for our business. We are currently working daily to develop the fuller system.
What is the team dynamic?
The team size has changed at different stages of the project. In the beginning, there was a project manager, an analyst, and some UI developers. We were working with maybe five or six people. Now we have seven or eight people dedicated to our team. It’s difficult to give an accurate count—for instance, the tester works part-time on our project since we don’t need one full-time.
How did you come to work with UNITY Group?
Our internal workshops defined our basic requirements to assist us in comparing different companies. We prepared 30–40-page briefings, based on these requirements.
We were looking for companies with experience in the market. We agreed on some crucial competencies—for example, we wanted a vendor experienced in both B2B and B2C e-commerce development. From the very beginning, we wanted our B2B model to take B2C into account as well. We wanted to base the user experience on B2C standards.
We did some market research, and this wasn’t my first e-commerce project. I made a short list based on my experience. I also asked for references from people working with development companies. At the end, we looked at the proposals, conducted briefings, and evaluated answers according to our requirements.
How much have you invested with them?
We divided the project into several parts—setup, development, etc. Then we also decided to make a service level agreement and hosting agreement with them. Altogether, it was a little more than €200,000 ($237,200).
What is the status of this engagement?
We started working together in October 2015, and we’re still working together.
RESULTS & FEEDBACK
What evidence can you share that demonstrates the impact of the engagement?
Honestly, metrics are difficult. For us as a business, the most important metric is return on investment, profit margin, etc. It’s hard to measure the part UNITY played, but we did achieve our annual goal of turnover for this year last month. It has been a good experience.
It’s also hard to measure technological experience because technology changes so fast—someone with two years of experience can be equivalent to someone with 10 years of experience because the 10-year-old technology is outdated. This is important from a business perspective.
A vendor’s understanding of how business works and different business models is quite important to me. Competency in B2C and B2B also helps.
How did UNITY Group perform from a project management standpoint?
As far as budget goes, everything worked out okay, in part because we negotiated an agreement where, even if they went over the budget, there was a cap on our cost regardless of extra hours. So going over budget wasn’t an issue for me.
As for timing, we did two-week sprints—we’re doing the Scrum methodology— and usually, those parts were finished on-time. Sometimes they go over, but sometimes that’s due to our changes. It’s hard for me to make a judgment on this, because we’re making some changes to the initial task descriptions, which in turn makes the time management harder.
We have the whole project laid out in JIRA. And we have direct contact via phone, Skype, etc., but JIRA is our main project management tool.
What did you find most impressive about them?
That’s a hard question. From my perspective, it’s their business focus that makes them a nice partner to work with. They understand the requirements of omnichannel technology. They see technology as serving business, rather than business models needing to change because of technology. That’s something I appreciate.
Are there any areas they could improve?
Of course, everyone could do things better in the future, even me. I can't think of anything specific for UNITY Group.
In Poland, the IT labor market for the last few years has put pressure on salaries, because the demand for personnel is so high. This doesn’t reflect on them, but we talk from time to time about the cost of next steps.

Introduce your business and what you do there.
I was one of the owners and the head of the marketing and PR department of the Philological School of Higher Education in Wroclaw, a private Polish university offering MA, BA, postgraduate and PhD studies. Depending on the time, we had between 1,500 and 2,300 students, and offered weekday as well as weekend programs, with 150 professors.
OPPORTUNITY / CHALLENGE
What challenge were you trying to address with UNITY Group?
The challenge was around our electronic dean's office and e-learning. Our dean's office had a database that helped us track students’ marks, exams, and classes, as well as the professors’ courses (online and offline), timetables, and so on. The goal was to bring these 2 systems together and make them compatible with our internal system.
SOLUTION
What was the scope of their involvement?
The only thing we had in place at the time was our internal system, which was tailormade by one of our IT members. It started small, but continued to snowball, and had become quite a large system. One of the points of interest in our group was to connect a Microsoft SharePoint implementation with our system and with an Active Directory database for our e-learning system. UNITY Group was responsible for the integration, and for customizing the SharePoint functionalities, based on our needs.
What is the team dynamic?
We communicated with seven or eight people, including project managers and developers. Our developer communicated with their developers, but I was only in touch with the project manager.
How did you come to work with UNITY Group?
I had known them for around 15 years, from my former place of work. Our first project was developing a web page for the school and an extranet solution. It was initially a custom solution and worked as a repository with limited communication functionalities. After three or four years, we decided to improve it and started looking for ready-made solutions for the higher-education sector. We didn’t find anything which could suit the solution we already had, so we decided to go with the company we already knew.
How much have you invested with them?
The cost of the project was above 500,000 Polish Zloty, or around $200,000.
What is the status of this engagement?
We started this project with UNITY Group in September 2009. As far as I know, the collaboration is ongoing, but I’m not working for the school anymore. I remember there being an issue with the Microsoft support for our SharePoint version. We were talking about upgrading it, but the old version was still being used when I left the organization.
RESULTS & FEEDBACK
What evidence can you share that demonstrates the impact of the engagement?
The system made the work of many people easier and faster, but I cannot provide any exact numbers. It enabled the analysis of our data, allowing us to make forecasts for the future.
I talked to members of other schools, who were using out-of-the-box solutions. Our system was 100% tailor made, so it was a solution only for us. If anything changed in our structure, we communicated with UNITY Group, waited for the work to be done, paid some money, and received what we needed.
How did UNITY Group perform from a project management standpoint?
I prefer calling people directly, instead of filling out a form and entering a client queue. I’ve known their company for a long time, and know their employees by name, so we often simply called each other and talked.
What did you find most impressive about them?
I haven’t worked with other providers, and I can’t speak from a technical standpoint, but UNITY Group stood out with their friendly style. I have come to know the owners and the employees.

BACKGROUND
Introduce your business and what you do there.
I am the CTO and co-founder of an e-commerce retail company that mostly sells fashion online.
OPPORTUNITY / CHALLENGE
What challenge were you trying to address with UNITY Group?
We were looking for partners in Eastern Europe or Asia who could collaborate with us. It’s not about getting a cheap price, but about being able to scale the company and team more quickly.
SOLUTION
What was the scope of their involvement?
UNITY Group’s engineers mostly develop internal applications for us. The application should drive our production and pre-sale process. Some applications are used in warehouses and quality control centers, and the others are focused around our marketing team. We tightly couple this with our CRM systems to implement the marketing workflows, which generate content that can be presented to the customer.
The stack is mostly PHP 7.0, Symfony 3, NGINX, PHP, FPM, MySQL, Redis, and RabbitMQ. It’s quite modern, and we always use the latest software versions. The engineers now have a pretty good understanding of current technology, which protects our software from growing outdated.
What is the team dynamic?
Our engineering team maintains around 30 different applications in total. We develop in-house, and UNITY Group works with us on a couple of those applications.
We use and manage UNITY Group’s developers full-time, minus holidays. They are not responsible for project management, and we treat their engineers as we do ours. We educate and integrate them fully into our Agile development processes, daily standups, sprint planning, and sprint retrospectives.
How did you come to work with UNITY Group?
I attended an event in Poland that UNITY Group was organizing, which is how I got in contact with them. One of our partners who had a speaking slot at this event supported them as a reference customer, and they got me in touch with them.
We were looking for engineers in the same field we currently operate in. We don’t have a full team at our company or at UNITY Group, but we can mix the teams of engineers from both locations to make it easier to integrate them.
One of the several things that stuck out about UNITY Group was their location, which was close to ours. They are also a mature company compared to many others that are still very new and not stable in terms of process, billing, proper investing, team setup, and internal education structure.
As I was looking for a partner, we recognized the market can be very different depending on what company you’re working with. We decided to go for a mature company which offers a good setup and is professionally managed.
How much have you invested with them?
We’ve invested €260,000–€500,000 [$310,017-$596,187], and have a monthly invoice of around €25,000–€60,000 [$29,809-$71,542]. We're around a year into the incorporation right now.
What is the status of this engagement?
We started working with them in June 2016. We had the first developer, then we scaled the team up to 3-4 developers until August 2016. Since then, we’ve had one more developer, and an occasional frontend developer when needed. We’ve been working with them for a little over a year, and with a full team for exactly 1 year.
RESULTS & FEEDBACK
What evidence can you share that demonstrates the impact of the engagement?
We work in an Agile process with them developing in-house software from scratch. This means we have a few weekly sprints and a sprint goal, which they manage to meet most of the time. It’s not project work, so it’s not like we give them a scope that they have to implement in a certain amount of time. Instead, we work with a mixed team consisting of our engineers and UNITY Group’s.
The success of the partnership is more based on how well the engineers work together, how well they collaborate, and if they can reach a sprint goal together. It’s not necessarily one thing or the other, and we had to work with UNITY Group to meet our quality standards.
The beginning was a bit below what we would accept as quality for production systems. We educated them about testing and code reviews, and introduced a process with them. I had the feeling that most of them have heard that, but had never worked in such an environment. It took a bit of time to get them up to speed to make it all work. They seemed to learn quickly and were interested in the topic. From that perspective, we’re very happy with their work.
We also have another outsourcing team in Ukraine which already worked a bit more in that field, but they’re not as reliable as our collaboration with UNITY Group in terms of planning.
How did UNITY Group perform from a project management standpoint?
We use JIRA for our project management, and they work completely through that.
What did you find most impressive about them?
UNITY Group is well organized, and their engineers are reliable. There were no sick days, no unforeseen circumstances, and everything that happens is planned beforehand. We always get informed early regarding holidays so we can prepare. They are a very dependable partner, and that separates them from other companies in this field. We’ve been in a partnership for a little over a year, so if we weren’t satisfied, we wouldn’t still be with them.
Everything they organized and worked on with us was well managed on their side. They coordinate with us for planning regarding each developer. We do proper feedback every quarter with the developers, and we do career planning to keep them happy. They are very professional in that sense.
Are there any areas they could improve?
They could be quicker about hiring. When they want to increase their number of engineers, it’s a lengthy process, and it seems other partners in this field are faster about scaling up and getting candidates.
Also, we had to bring all the engineers up to speed in educating them about modern technology. Sometimes, this is more taken care of by the provider.

Introduce your business and what you do there.
I am the IT manager for the Polish branch of an automotive company. We have 70 employees at the local headquarters, as well as maintenance and support across the dealership network, totaling 600-700 members.
OPPORTUNITY / CHALLENGE
What challenge were you trying to address with UNITY Group?
We had started working on a local web portal for the company’s employees, as well as the dealer network. It needed to accommodate additional modules, which we would deploy based on business needs. We didn’t have the resources to develop the solution based on our own IT team, so we started looking for an external company.
SOLUTION
What was the scope of their involvement?
We started our initial collaboration with UNITY Group for the local portal. It has functionalities for selling new cars through our fleet’s channels. We also have an aftersales module and one for bonuses based on sales-plans accomplishments.
UNITY Group developed our solution from scratch, following our business initiative. They also developed the initial scope. We chose the Microsoft stack, including .NET on the frontend, and SQL Server 2014. We are using an external datacenter for the solution.
I don’t know what the exact team size was because we generally had contact with the project manager. We had a few meetings with the team, during which we interacted with 3-4 developers, but there could have been more on the backend.
How did you come to work with UNITY Group?
Before working for this company, I had worked with another automotive group, where I was in contact with UNITY Group.
How much have you invested with UNITY Group?
The cost of the implementation was around $150,000.
What is the status of this engagement?
We started working with UNITY Group in October or November 2015. The first module was completed at the beginning of 2016. We continue to work with UNITY Group, developing new modules based on local business requirements.
RESULTS & FEEDBACK
Could you share any evidence that would demonstrate the productivity, quality of work, or the impact of the engagement?
This is not a core system of our organization, but it is a very helpful tool for us. UNITY Group’s products have been used by around 20 people in our headquarters, and almost our entire dealer network is using the solution as well. It was mainly built for our network, and it has around 600 users on that end.
It’s difficult to provide feedback on the reliability of the solution since we haven’t checked the quality of the source code. Its performance has usually been good, so we haven’t had to audit it. Users are happy from this perspective.
How did UNITY Group perform from a project management standpoint?
We initially used the Agile Scrum methodology. It was my first time working in this manner, and I’d previously used the PRINCE2 (Projects IN Controlled Environments) methodology, but I think it was a very good decision ultimately. We had a dedicated project manager from UNITY Group, who had very good skills and knowledge. He was one of the main reasons for the successful completion of our project. We are using JIRA for communication.
What did you find most impressive about UNITY Group?
The unique part about their group is their flexibility, especially on the Polish market. Other providers haven’t always been able to deliver solutions in such a flexible manner, but I find this to be essential and generally helpful from a business standpoint. No one wants to close a scope in the beginning and not be able to change it afterward.
Are there any areas UNITY Group could improve?
In some cases, when we made a plan for implementing a new solution and looked on the market for vendors, UNITY Group was not able to put together a team for starting the work immediately. I can understand this, as they do have other projects for other companies, but I did have to wait a bit in order to start working.
