We wanted to replace our outdated legacy system, which lacked adaptability, depended on developers even for small modifications, and no longer supported our company’s growing business demands. For this, we engaged UDS Systems to modernize and automate our solution, improve performance, and strengthen sales automation.

Key objectives involved: optimizing sales processes, implementing structured product information management, supporting customer-specific pricing agreements and multiple packaging tiers, configuring advanced pricing and margin control mechanisms, enabling complex pricing models by product group, ensuring compliance with EU regulations and packaging industry standards, organizing structured data management, integrating with the ERP system, and implementing process automation along with technical enhancements. The project also included a role-based user interface.

To sum up, they successfully executed the complex Dynamics 365 project using on-site expertise and nearshore delivery power.

The best and most representative result is the developed system that fully met our requirements and was successfully released into production. This highlights both the high level of project management and the team’s ability to complete projects with the required quality.

The scope of work in this project included the development and implementation of various modules and functionalities within the system, aimed at improving fleet management and related processes. Key deliverables and areas of focus included: 
1. Schaden Management (Damage Management): 

• Simplification of the accident reporting process through a user-friendly form. 
• Facilitation of communication between fleets and repair partners. 
• Implementation of post code routing functionality to find the nearest repair partner based on addresses. 

2. Leasing Process:

• Support for drivers and fleet managers throughout the lease lifecycle. 
• Reminders for necessary lease-related actions. 
• Efficient document exchange capabilities among drivers, fleet managers, and car dealers. 

3. Invoicing & Outvoicing:

• Invoice management with advanced features.
• Parsing invoices from PDF attachments or extracting information using OCR.
• Integration with SAP for synchronized data exchange related to billing, financial data, and customer information. 
• Implementation of an invoice approval process and status tracking for efficient management and transparency. 

4. B2C Portal: 

• Development of a comprehensive platform for fleet managers to manage their fleets efficiently. 
• Features such as car ordering, lease process oversight, repair status tracking, fuel and service card ordering, access to fleet analytics, and more. 

These deliverables collectively aimed to streamline fleet management processes, enhance communication, reduce response times, improve transparency, and provide a user-friendly platform for fleet managers to effectively oversee their operations.

• Handling nearly 27,000 damage cases efficiently. 
• Collaborating with 660 repair partners to streamline the repair process.
• Serving a community of 11,600 drivers. 
• Successfully managing approximately 26,700 leasing cars throughout their lifecycles. 
• Handling a substantial volume of financial transactions, including approximately 30,400 invoices from 180 partners. 
• Managing around 13,200 outvoices to 300 partners within the system. 
• Engaging a user base of nearly 2,500 active B2C portal users, providing them with a comprehensive platform for efficient fleet management.

The goal of the project was to implement a data information model management solution, including metadata browser, data explainer and data mapping tool. The resulting solution allows managing metadata, data products, versioning, map existing data models with external structures and specify transformation rules. The solution is implemented in a form of a web application.
