What was the scope of their involvement?

Turn Source Imaging has been doing digitalization services for us. We have several boxes of documents that we want to scan to get rid of the actual papers and just have them digitally. Regarding the process, they come to our site and pick up the boxes, take them to their facility, organize and scan them, and then package them back nicely for me to bring them to our site afterward.

I’ve been working directly with John (Sales and Marketing Specialist) and a couple of other people that come to do the pickups and drop-offs.

We found them online; we had other provider options but chose Turn Source Imaging because they seemed the best.

We’ve spent around $35,000 with them so far.

We started working with them in November 2020, and the engagement is ongoing.

They handle an organized and swift project.

How did Turn Source Imaging perform from a project management standpoint?

Their team does a great job; they keep me informed and updated during the process. They’re also communicative and punctual with the pickup, the scanning, and the delivery. Additionally, they stick to the deadlines and budgets — everything is exactly as I expect it.

Regarding communication tools, we use email and phone calls.

What did you find most impressive about them? 

Their organization, efficiency, and flexibility are outstanding. They also take care of everything for me by only receiving clear instructions, so they can follow directions very well, which is important because they handle confidential and secure materials.

Are there any areas they could improve?

I don’t think there’s anything they can improve on.

Be upfront and honest with them about your needs, and they’ll work to find a solution for you.

I'm a manager within the HR department at a community college.

For what projects/services did your company hire Turn Source Imaging?

We hold a lot of files in our department, and it got to the point where the files were taking up too much real estate. We also wanted to modernize and transform our files and integrate it into our HRIS system so that they would be quicker to pull and better organized.

How did you select this firm and what were the deciding factors?

We considered multiple firms, looking at their location, price, and references. This place was solid on all three.

John was very patient with us. As a community college, certain contracts have to be approved by the Board of Trustees. John provided us with all the documentation we required in a timely manner. He provided recommendations and options, and allowed us to go at our own pace.

I worked directly with John, and he sent out two guys who helped me pack the files. Made my job so much easier.

Can you share any outcomes from the engagement that demonstrate progress or success?

We've completed 1/3 of our files, and the results are so lovely it almost brings me to tears. Just to see all those files perfectly scanned and organized for the first time is incredible.

How effective was the workflow between your team and theirs?

I never had to worry about communicating with this firm. Workflow was great! It was helpful to get gentle check ins too as it kept us on track.

Felt like family. They are kind, professional, and effective.

It was a great engagement. Their communication was great. Because of social distancing, John came into our office a few times wearing a mask. He was very professional.

How did Turn Source Imaging perform from a project management standpoint?

We mainly corresponded through email, but if they were any questions, we spoke on the phone. They were always on time. They dropped off all of the flash drives with our scanning documents.

What did you find most impressive about them?

It was an easy transition. The conversations flowed well.

Everything went smoothly.

Ask as many questions as you can. They have different packages, so the prices vary depending.

We hired them because we needed someone to scan all of our paper files and turn them into digital documents so we could enter them into a database.

What was the scope of their involvement?

They gathered all of the 220,000 paper files that we boxed up for them. They proceeded to scan each document individually and then categorize them the way the boxes were labeled. They turned everything back over to us as PDF documents.

We followed a referral from a business partner.

We spent around $11,000. 

What is the status of this engagement?

We worked together in April 2020 and it took less than a month.

I was thrilled with their work. They did a great job. I was very pleased with the final product and am still using it today. I’d refer them to anyone looking for a service of that kind.

They were awesome and could not have been better. They were very transparent as to how long the process would take and what it would look like. They worked with us to get everything organized and made sure the invoice made sense. We used email to correspond leading up to the project and some phone calls.

The quality of the work they did was the best part — they just did a really good job.

I work for a law firm as the file clerk. I'm responsible for our file archive.

We needed help as we got rid of our storage unit.

SOLUTION

What was the scope of their involvement?

They scanned and shredded all the files we had in storage. To start, they looked at our storage unit and assessed about 10-20 years’ worth of documents. Each month, I box up several boxes of files, then they take those documents, scan them, and send us the digital versions for us to upload into our database.

What is the team composition?

I have one main contact and a few individuals who come to pick up the files.

How did you come to work with Turn Source Imaging?

The previous file clerk got in touch with them. When I started, the relationship was already in place, so I started communicating with them.

How much have you invested with them?

The cost varies, depending on the number of files they process. When we started, we did about 20 boxes or about 200 files each month. When we ended, they took up to 40 boxes a month. On average, we spent about $2,000 a month.

What is the status of this engagement?

We've worked together since May 2018, and the bulk of the project finished in September 2019. We're almost done with scanning and shredding all the contents of the storage unit, and we've currently paused the project as we communicate with the partners and other attorneys we work with to determine how to proceed.

They're great to work with. Whenever I have questions, I can call or email, and they get back to me right away. If I need a file expedited, they stay on top of it and deliver what I need.

They manage our needs very well. Most of our communication is through email.

They've done a wonderful job, and they quickly helped us complete a project that was years in the making.

I can't think of anything they could improve. We haven't had any issues, and I can't think of anything negative to say about them.

Communication is a big part of any collaboration with an outside company. They're amazing communicators, and they're always quick to answer questions.

We’ve broken the project into multiple sets. Basically, Turn Source Imaging has worked to digitalize all of our old paper filings. Their team has sent a driver to come and pick up documents from us. Then, they've scanned the documents at their own locations.

We’ve worked with about five or six people.

We browsed the internet for a few options. After discussions with multiple agencies, Turn Source Imaging ended up being the best choice for us.

Turn Source Imaging bills per project, which cost $7,000. So far, we’ve had five projects.

We started the project at the beginning of this year, around April. It’s ongoing.
