Our clinical model is supported by technology that connects patients, providers, scheduling, clinical systems, and operational workflows. I work closely with our product and engineering systems to build and scale the technology that supports our care delivery.

We needed additional engineering capacity as our product and clinical operations scaled. In particular, we wanted experienced engineering support that could help us build new integrations and infrastructure while maintaining a high standard for code quality, security, and long-term maintainability.

We are a maternity and gynecology clinic that partners with health systems to provide holistic, technology-enabled care. Our care model is supported by a patient-facing mobile app and integrations with hospital and clinical systems. Swovo supports a broad range of backend integration and infrastructure projects across our platform.

Our technology stack includes NestJS, Node.js, PostgreSQL, MQTT, React, and AWS. Their integration work has included connecting our platform with EMRs, Acuity Scheduling, When I Work, Zentake, and Zendesk. One significant project automated the synchronization of clinician shifts from When I Work into Acuity appointment availability. Previously, this availability was entered manually; the new workflow saves approximately seven hours per week per clinic site. It also stores shift data in our database, giving us better visibility into provider schedules, clinic capacity, and utilization.

Swovo has also worked on automating intake-form workflows, improving data visibility and reporting, and supporting predictive and utilization modeling. On the infrastructure side, they have expanded CloudWatch logging, improved password security, standardized date handling, streamlined internal account creation, implemented database row-level security, and supported our shared-inbox infrastructure.

What evidence can you share that demonstrates the impact of the engagement?

The most measurable impact has been operational efficiency. For example, automating clinician availability saves approximately seven hours of manual work per week for each clinic site. The engagement has also made our platform easier to operate and troubleshoot. Improved CloudWatch logging and lifecycle management give us better long-term visibility into application behavior without retaining unnecessary data indefinitely. This has made it easier to investigate issues and identify root causes.

Swovo’s work has also strengthened our security posture through improvements, including encryption, row-level security, and role-based access control. Overall, the platform is more observable, maintainable, and scalable than it was at the start of the engagement.

How did Swovo perform from a project management standpoint?

Swovo is generally reliable about timelines and communicates clearly when circumstances change. If a blocker arises or a project turns out to be larger than originally scoped, the team explains what changed, the impact on the work, and the path forward. They provide updated expectations and timelines rather than allowing delays to go unexplained.

What did you find most impressive about them?

Swovo is particularly strong as a collaborative engineering partner. When we provide specifications, they engage thoughtfully with them and offer useful feedback rather than simply implementing what is written. When they own the specification process, they are thorough about identifying requirements, use cases, and edge cases before development begins.

They are also strong reviewers of other engineers’ work, which has helped us improve quality beyond the projects they directly implement. That combination of thoughtful technical input, thoroughness, and collaboration has made them a valuable extension of our engineering team.

Swovo first walked us through all the paths of our applicant and end user/employer front end. Then, they story-boarded every path. Next, we walked them through countless workflows so they could understand each user's experience. After that, Swovo provided many UX options. We decided on these options, and they offered several UI concepts. We settled on both the UI and UX routes. Then, they offered renderings piece by piece, and we agreed upon them. In the end, they delivered wireframes and Figma files where we could use our AI to build out the front end code.

What was the scope of their involvement?

We have engaged Flatirons to redesign our UX/UI. They have conducted a discovery call to understand what we were looking to design, why we were looking to design it, and who we were designing it for. From there, we have met weekly to walk through our requirements. Flatirons has addressed what has been discussed and provided us with an updated design. We have had the option of walking through the new designs as part of those meetings, making suggestions, and continuing to iterate.

They have used Figma exclusively. The design element is done, and we’re contemplating using them for the actual development of the tool.

We have two primary points of contact: a designer and Sandra, the project manager. The owners of the company are available as needed but do not join the weekly calls.

Flatirons has ensured that all of our requirements have been captured as part of the design and incorporated our feedback appropriately. They’ve been able to complete everything within 4-5 months. From start to finish, the team has demonstrated a strong engagement with the project, enabled the client to collaborate with the same people, and showcased a clear understanding of their business, needs, and goals.

They’ve handled project management on their side. The project manager has been fantastic and ensures we’re hitting deadlines, keeping pace with the agreed-upon timelines, and adhering to the budget. We’ve communicated with Flatirons through Google Meet.

Sandra and the designer are both outstanding and of a truly high caliber.

What did you find most impressive about them?

We’ve been impressed with the engagement and commitment to the work product. Our requirements and what we’re looking to do aren’t the easiest things to pick up if they haven’t had exposure to them. Flatirons has been able to understand the use case and design something that makes an impact.

Are there any areas they could improve?

I don’t think so. We’ve had issues with Google Meet, but that’s a very minor thing. Honestly, I only have positive things to say.

Do you have any advice for potential customers?

They should set forth clear requirements and expectations to let Flatirons know what they need from them in order to feel successful. They should also ensure everything is well-defined and can be tracked. Lastly, I recommend making the upfront investment to fully understand the use case and the impact they’re trying to make.

Ultimately I felt that Flatirons understood my business best. I didn't have to explain to them a lot of the domain concepts as they seemed well-versed in the topic and that mattered to me.

Flatirons has become an integral part of our Product development efforts, such that our core product team is nearly all Flatirons personnel. Having worked with Flaitrons for almost 2 years, I’ve noticed improvements in all regards of our relationship including product development, design, management and delivery. As a result, we’ve increased our monthly investment with Flatirons and planned for more budget increases as we embark on a new product line in 2023.

We experienced a challenge in our business that required us to manage cashflow more tightly, while also onboarding a new development/engineering team. Our users have given mixed reviews for the app, but their complaints are not because of Flatirons’ work — it’s mostly about our product decisions and the app’s lack of features at this stage. These are things that we plan to fix with Flatirons as we continue working together. 

Across our team, we all appreciate and value working with Flatirons and want to continue the relationship. For us, they are the best choice we have for augmenting our team and building a product. 

How did Flatirons Development perform from a project management standpoint?

We communicate daily with them through Slack, and 2–3 times a week, we have group calls through Zoom. In addition, all our engineers have daily stand-up meetings, and outside of that, we have larger meetings twice a week with their designers and CEO. There’s a lot of communication and feedback that’s given and shared.  

What did you find most impressive about them?

Flatirons’ design and product development processes are very encouraging and impressive. Most people are impressed with how our product looks like. Flatirons’ mockups and prototypes always exceed our expectations. 

Michael holds his team accountable, and they all have a great attitude. In addition, they meet our expectations about deadlines and work quality. The success of their team is a testament to Michael’s leadership. Their engineers are also responsible and have a sense of pride in their work. I’m pretty happy with our partnership with Flatirons so far. 

Are there any areas they could improve?

We recommend that they come to our meetings with an agenda aligned with our company’s progress. We meet about twice a week and follow a product roadmap. As a result, everyone’s default is to just come to the meeting and wait for me to ask questions and poke around. 

It’ll be more helpful if Flatirons can drive those meetings and move the conversation about how to be more efficient and effective as a product team. I understand that’s not fully their job, but I want to feel that our teams are aligned and moving in the right direction. 

Do you have any advice for potential customers?

To maximize your engagement with Flatirons, you need to have a clear idea of what you’re trying to build or accomplish as early as possible. They’re good enough to help mold loosely formed product ideas into something actionable and deliverable. 

The clearer you are on what you’re trying to build, the better Flatirons can be at directing you and creating the product. Have your own clearly defined road map and discuss that with their team. 

Engage with Flatirons on an ongoing basis, so there are no doubts, uncertainties, or miscommunication about the next steps. Once the engagement starts, you still have to remain highly involved and responsive so that Flatirons never has to guess what to do next.
