We needed to build a database using Airtable to handle our outbound marketing channels.

What was the scope of their involvement?

Sidetool built a tracking tool and a comparison tool to increase our campaign success rate. The tracking tool incorporated tracking across multiple campaigns and media types to reduce duplicate entries and save on marketing costs. It also set smart reminders for follow-up campaigns. The comparison tool allowed us to easily visualize performance metrics across campaign types, media types, and target locations.

Sidetool's work has helped us reduce duplicate marketing by 9%, increase targeted follow-ups by 33%, and increase deal flow by 15%. These improvements have been sustained over time. We track and measure these outcomes using the database Sidetool built for us.

Sidetool delivered on time. We had super solid communication, and they were very easy to work with. We communicated via virtual meetings, emails, and messaging apps.

What were the measurable outcomes from the project that demonstrate progress or success?

The outcomes were to have them build an automation using GoHighLevel. We could see weekly progress when we'd meet. The client changed direction several times and they always were accommodating with these changes.

They delivered items on time. I would email them whenever the client requested a new change and their project manager always responded in a kind and timely way.

When users search for Unconscious Moderation on Google, the install button now appears, reflecting the app’s improved visibility and functionality.

OneSignal was fully set up and activated, enabling our team to manage and automate push notifications directly within the app for user engagement and retention.

The OneSignal team was organized, responsive, and clear in their communication. They managed the project efficiently, delivered all items on time, and provided detailed updates throughout the process.

Sidetool was responsive and proactive, making everything run smoothly.

Are there any areas for improvement or something Sidetool could have done differently?

The only area for improvement would be how the final project results are presented. It would be helpful if Sidetool showcased the outcomes through real-time testing or live examples. In our case, we were the ones who noticed the install button appearing on Google, but the team didn’t demonstrate the final OneSignal setup results visually or in real time.

The majority of items were delivered on time.  There were a few things missing that were a result of change of resourcing however it was not a show stopper.  The critical items were dealt with by Sidetool.  Sidetool used key tools to manage and organize their work.  It seemed organized in a way our teams can understand so we agreed to use the same tools to stay organize and for logging key decisions and agreements.

What did you find most impressive or unique about this company?

I appreciate their ability to adapt to changing timelines and priorities. Also the patience to  work with team members on our side who may not be exposed to IT or Project Management Standards.  They also work with pace, urgency and always professional.  Mateo our key contact/ Project/Product Manager is always available when we need to contact him for anything big or small. 

Are there any areas for improvement or something Sidetool could have done differently?

I would say help us anticipate more features and usability where it makes sense.  Sometimes I think we build for the moment and current customer behaviours and not thing for the future.  Also we made a few mistakes during testing phase and realized we had no way of correct our own errors so we need to provide requirements to delete or update records, I think this particular item should have been table stakes.  Even the simple thing if "Forgetting Passwords" we had to ask for that instead of a given feature to launch with.  I would say helping us articulate the basics instead of assuming we are getting the basics without asking for it.

Sidetool was engaged to develop a comprehensive web application from scratch to manage our entire in-school mentoring program workflow. Their team delivered a full-featured platform with role-based access control for four distinct user types: Oppidan administrators, school staff, mentors, and proof readers. 

The key deliverables included a user management system, an event scheduling module for coordinating mentoring sessions at schools, a reporting system for mentors to document student performance, and a review workflow for proof readers to approve or request changes to these reports. 

These solutions were instrumental in centralizing our previously scattered data management system into a single, cohesive platform, giving us the potential to transition away from our Airtable setup to a scalable, custom-built solution that could streamline our mentoring operations in schools.

Through our collaboration with Sidetool, we have have the potential to achieve significant improvements in our system architecture, including the successful development of a custom web application that consolidates all our mentoring program operations into a single platform, replacing our previous multi-spreadsheet Airtable setup.

These results led to the creation of a streamlined system where we now have the option to assign mentors to school events, create detailed student performance reports, and have them properly reviewed through a structured approval process.

What stood out was their persistence and flexibility - when we faced difficulties in aligning our vision for the platform, they worked closely with us to clarify requirements and adjust their approach. These solutions were instrumental i optimizing workflows and automating processes, allowing us to track our processes in a detail manner and keep track of the progress of our ongoing projects.

We went from an idea in a spreadsheet to a module online being used by all of Envoys Experience Manangers. It now holds more than 70 ongoing projects.

What stands out most about Sidetool is their ability to translate complex operational requirements into user-friendly solutions. Their understanding of the technology they work with has been a key component into the development of our project.

While our experience with Sidetool was excellent, one area for enhancement could be initial scoping. As the leader of my project, from the beggining I understood the complexity of the project we would develop, which the obstacles along the way have been resolved along SIDETOOL. However, with the initial scope, the timing for certain deliverables wasn't the most accurate, somehting we knew beforehand but can create some friction with other individuals with less knowledge fo these type of projects. Nontheless, I still do highly vouch and recommend their team and work.

Centralize all information and operations for managing trips and activities in a portal that can be used for Experience Managers to do and document the many tasks they do. For this, we need to create a centro experience management dashboard for them to work in this tool instead of excel and multiple google docs and drives.

Additionally, we attempt to significantly improve efficiency and scalability by medium term automating some tasks and automating the way we show information to schools and parents.

The actual tool is the biggest outcome. I'd say we are 80% done with the main tool which is the experience management dashboard... but the remaining 20% is not up to Sidetool, is up to our team to use and provide feedback.

Yes. They've been amazing in terms of project management. Always responding VERY quickly to questions or comments, always clear next steps and next meetings. I'd say this has been one of the main strengths when compared to other software shops, developers, companies, etc that we have worked with.

The project management in general, how quickly Sidetool responds and how 'on top' of the work they are.
