We hired them for accounting services and HR outsourcing.

What was the scope of their involvement?

Sapience Pro provides us with individual income tax filing services. They also provide two outsourced HR employees. 

What is the team composition?

We only have contact with an account manager; I’m unsure how many more Sapience Pro teammates support our project.

How much have you invested with them?

We spend around 50,000 Chinese yuan (approximately $7,000 USD) annually on HR outsourcing services. Since we outsource payroll for the tax filing services, I’m unsure how much we spend on those services.

What is the status of this engagement?

We started working together in May 2019, and the engagement is ongoing.

I’m very satisfied with Sapience Pro’s services; they always deliver high-quality work in a timely manner. 

How did Sapience Pro perform from a project management standpoint?

They meet deadlines and are responsive. We mainly use email to communicate, though we sometimes use phone calls.

Sapience Pro provides very qualified services.

I’m a senior finance manager at MapleTree Group, a real estate logistics company.

What challenge were you trying to address with Sapience Pro?

My company had a shortage in the finance team and needed to outsource accounting tasks.

What was the scope of their involvement?

Sapience Pro provides staff that handles our general accounting, accounts payable (AP), and accounts receivable (AR). They don’t handle payroll due to confidentiality; we see to that aspect ourselves. Sapience Pro provides 12 teammates to handle 98 companies whose accounting we’re responsible for. In addition, we also have a permanent staff. 

When staffing, we collaborate with Sapience Pro to interview the candidates for each role. Usually, Sapience Pro provides candidates, and we choose the best to interview, then we decide who joins the team.

We’ve provided Sapience Pro with different requirements for their staff’s different roles. For example, we needed senior accountants to handle a set of books. Meanwhile, junior accountants handle simple transactions with banks. We’ve also hired automatic investment plan (AIP) accountants with them.

What is the team composition?

We currently work with Kelly (Partner of Human Resources Business) and 12 accountants from Sapience Pro. The headcount can change each year depending on the size of our permanent team. 

How did you come to work with Sapience Pro?

We contacted Kelly and Bryan (Managing Director & Founder).

How much have you invested with them?

Their fee varies depending on the types of accountants they provide in a certain period. Usually, we pay them around 30,000 Chinese yuan (approximately $4,200 USD) monthly.

What is the status of this engagement?

We started working together in Q4 2020, and the engagement is ongoing.

What evidence can you share that demonstrates the impact of the engagement? 

Sapience Pro provides high-quality service. They’ve solved our short-term problem by providing outsourced staff, and their candidates are quite good. We’ve also saved staff costs by using their services. Moreover, the team provides good accounting performance, and we have a good relationship with them. 

How did Sapience Pro perform from a project management standpoint?

We haven’t had any delays because we’re preparing for any issues. We discuss paperwork in advance, so there’s a low chance of encountering timeline issues. 

As for communication, we use phone calls and emails, through which they send us candidates. Usually, we conduct discussions through phone calls and use email for information we need records of. 

What did you find most impressive about them?

I’m impressed by Sapience Pro’s problem-solving and how they meet our requirements. When we have an emergency, the team responds and solves it immediately.

Are there any areas they could improve?

We’d like to receive more candidates from them.

I recommend keeping close communication with Sapience Pro; that’s my way to engage with them successfully.

• Follow the equipment operation management rules formulated by the company to sign equipment sales contracts
• Communicate with foreign trade distributors to implement the terms of equipment sales contracts and handle the contract signing process
• Fill in the contract information on the ACE system and upload the contract support documents
• Place an order on ACE system (open PO)
• Cooperate with foreign traders to handle customs clearance procedures
• Double-check the Tax exemption table, payment etc., and notify the warehouse to pack and ship

The Sapience Pro team really tells you everything upfront, and what to expect. They are not cherry-picking and tell you all the risks associated with the projects.

How effective was the workflow between your team and theirs?

Pretty good, all our team members use WeChat for communication, which speeds up the process.

What did you find most impressive or unique about this company?

Their CEO is involved in all the solutions that they are trying to come up with. Sometimes, they don't really have the related services, but they do come up with solutions that work in China.

Are there any areas for improvement or something they could have done differently?

Yes, I think they should work on their proposals, sometimes it's not clear.
