What was the scope of their involvement?

Pragilis Solutions Inc. helped us with a one-day planning and strategy session for our team. First, we started with a discovery phase, reviewing our key goals for the meeting and gathering that information into a framework called Strategy in Action.

Secondly, we built a playbook for the day, including pre-work information, such as envisioning the future and defining where we wanted to be and could play.

In the third part, we did a "destroy your business" exercise. We looked back five years to see what we hadn't thought about that could have blown up our business. This was a thought exercise for us to update our risk register and determine what could take us off the path, what our blind spots were, and the things that could make us wildly successful and why.

We also analyzed the markets we could plan for the future, and the things we weren't thinking about that could sidetrack us as a rapidly growing organization.

These three sections focused on our engineering software development, corporate development, finance, and sales and marketing. We put together three different components that became our strategic playbook for 2025.

We also did a one-day session with them, including some team-building activities. We came out of it as a much stronger team. It was the first time my team had ever been together in one room, so it was super important for us to have a framework to run through and recommendations for projects not to implement. This framework also had important KPIs to ask ourselves the right questions before entering a project.

We worked on the same floor in an office building and happened to know some of the same people. We were nearby and found out they were doing facilitation. We needed help with our yearly strategy session, so we contacted them.

What is the status of this engagement?

The engagement began in September, but we did the session in October 2024. Although we haven't planned another session, we'd consider leveraging them next year if the opportunity comes.

What evidence can you share that demonstrates the impact of the engagement?

The information Pragilis Solutions Inc. provided after the strategy session allowed us to craft our KPIs for 2025. We found three indicators that would guide our organization. Based on this, Pragilis Solutions Inc. met our expectations.

We found that we had the skills to make any tool work for us, and the team made us question if we could achieve our objectives. We learned we needed to build more capacity before bringing new tools to stay at the pace of change because we were constantly changing.

We have a strong team, and they were good at rolling with the flow of the day and allowing the team to take a more active role in steering the boat. Pragilis Solutions Inc. excelled in facilitating that knowledge for us.

How did Pragilis Solutions Inc. perform from a project management standpoint?

We didn't use them for project management; we used them for facilitation. It was a fixed-price contract, and they stayed on task and delivered what we asked them to do. We communicated via phone calls and emails.

Are there any employees from the service provider's team that you would like to give a shout-out to in this review?

Both our facilitators, Mumtaz and Shaheen, did an excellent job. However, Shaheen was the primary speaker during the session.

What did you find most impressive about them?

Their ability to put things together on short notice was beneficial. It was about being deeply reflective on our questions, returning them to us, and asking the right questions.

Are there any areas they could improve?

The instructions regarding the homework could have been more straightforward. Our team got slightly confused, and it would have been better if we had a pre-meeting with the team so they fully understood the homework.

Do you have any advice for potential customers?

Put as much time into it as you expect to get out of it. If you want to get the most out of it, spend the maximum amount of time upfront on the planning side. You must leverage Pragilis Solutions Inc. to their fullest extent for maximum value.

We were implementing a system that was going to have an impact across the organization, and we needed change management expertise. We hired Pragilis Solutions to provide a change management specialist to help us manage the change the project would cause.

What was the scope of their involvement?
We first onboarded Pragilis Solutions’ change management specialist into the project and our team. They were then assigned to drive the adoption of our project across our company. The specialist had a background in change management and knew about various methodologies. He drove the change management aspects our team didn’t have expertise in, covering all pillars of change management.
The specialist performed assessments on all levels of the project, working on our engagement, communication, and training strategies. He then worked on reinforcing the changes.

One of our C-suite executives worked with the owner of a consulting firm 5–10 years ago. That person pointed us in Pragilis Solutions’ direction. We reached out to them and had a conversation about our needs. From there, they put together an SOW and a contract.

The project lasted from January–November 2023.

What evidence can you share that demonstrates the impact of the engagement?
Our CFO and finance team were happy because of Pragilis Solutions. This was the fourth time we tried this project, and we actually finished it this time for once.
How did Pragilis Solutions Inc. perform from a project management standpoint?
The change management specialist did a great job in terms of managing a difficult change process on a project. He took part in our daily stand-ups, and I never received any complaints from the project manager and executive sponsors. For tools, we mainly used Jira. We also use Google Workspace for the project, utilizing emails and Google Meet.
What did you find most impressive about them?
Pragilis Solutions was knowledgeable and skilled in the space of change management. We were able to assign work to them without much guidance. Our team could give them work, and they’d just get it done.
Are there any areas they could improve?
No, there weren’t any.
Do you have any advice for potential customers?
We made a mistake during the contracting process where we allotted the person for only one project. We could’ve had a more open-ended contract where we could assign the specialist where we wanted without having to change the terms. We eventually did that and had an open-ended contract to assign the specialist to other relevant projects.

I’m the CIO of Emily Carr University of Art + Design, an art and design university based in Vancouver. We’re a 2,000–2,500 full-time equivalent university, rated as number one in Canada out of four that compete globally. In my role, I look after all our digital assets, including technology assets and enterprise data. My team looks after reporting and provides services like project management and change readiness.

We had two problems we were trying to solve: understanding the internal and external landscapes. 

SOLUTION

What was the scope of their involvement?

First, we needed to understand the functional needs of our stakeholders in terms of using collaboration and communication tools. Pragilis Solutions Inc. conducted a study and compared two platform options internally and externally. The team helped us build a business case that ultimately went to our senior executives to make the final decision. 

Once we understood where we would go, Pragilis Solutions Inc. developed a change management framework for us to use as a foundation for this project and subsequent ones.

I appreciated Mumtaz’s ability to hone in on learning about our organization. Sometimes, consultants will come in and provide best practices that can look like copy-paste. Pragilis Solutions Inc. didn’t take that approach; they spent quite some time learning about our strategic plan and values. As a result, the change management framework they developed spoke to our value system. 

Mumtaz also spent quite a bit of time seeking my feedback and was open to even little pieces I wanted to be changed. Still, we didn’t require dramatic changes because their initial proposal was close to the final version. 

Overall, I appreciated Pragilis Solutions Inc. learning the context and having that feedback loop. Currently, I have internal project managers leveraging the framework Pragilis Solutions Inc. created. 

How did Pragilis Solutions Inc. perform from a project management standpoint?

We used Microsoft Teams for project management and communication, which worked fine. Initially, our project management approach wasn’t working optimally because we had two project managers, Shaheen and an internal project manager, who co-created the plan, so we had to coordinate two people. 

Eventually, we found a happy medium. Giving an onboarding plan a bit of time is good and normal. Once the team settled, we picked up the work fairly quickly. 

What did you find most impressive about them?

Pragilis Solutions Inc.’s strength is their change readiness — they have a really good edge. 

Are there any areas they could improve?

Having an assessment or checklist when onboarding new clients could help with Pragilis Solutions Inc.’s maturity. This approach may help them respond quicker during the onboarding process.

I’m the executive VP (EVP) and chief HR officer (CHRO) for SMS Equipment, a heavy equipment dealer across Canada, Alaska, and Mongolia. In my role, I have accountability for all facets of HR and lead the sustainability efforts of our company. However, I worked with Pragilis in a previous role at a similar organization.

We were going through an acquisition, so we brought them in to help us with change management. We aimed to bring a completely different business line and business unit into a traditional organization.

SOLUTION

What was the scope of their involvement?

Pragilis helped us with change management. Their team was responsible for engaging with stakeholders, mapping our stakeholder journey, and helping us go through the acquisition overall. This process included walking all of our departments, such as finances and operations, through the changes that would impact those areas. Moreover, they delivered a change plan for each of those departments within the organization, including the changes in communication.

We found Pragilis through networking. I ran into them several times at CHRO events in Vancouver, and they had also done some work for our digital and IT groups within the organization. Therefore, we were familiar with them and liked their style and approach. They were very people-centric, hands-on, and practical.

We worked together from January 2018–May 2019. I ended the relationship with Pragilis because I left the organization. However, I’ve stayed in touch with them because they’re a great resource for change management.

What evidence can you share that demonstrates the impact of the engagement? 

From a stakeholder perspective, everyone was very engaged and spoke highly of Mumtaz and her hands-on support in helping us go through the acquisition process. The transition into the larger organization went really smoothly, and we were able to adopt most of their metrics. This integration helped us save months regarding our communication efforts.

Additionally, Pragilis helped us handle an otherwise hard-to-manage people impact and everything that could have gone wrong if we had not employed a proper change management firm. Overall, the outcome was very positive.

I’m the team lead for the HR operations team at Work Safe BC, a nonprofit statutory agency that supports workplaces and workers across the province of British Columbia, Canada. My team works directly with clients and business leaders across the organization to help them work effectively with their teams and implement new initiatives to address conflict in the workplace. We also help them with performance management, collective agreements, and more.

What challenge were you trying to address with Pragilis Solutions Inc.?

My team plays a key role in bringing the people's side of change to the conversations with our leaders. We have new initiatives or changes that need to occur in the business, but change is an afterthought. Therefore, I wanted to raise my team’s awareness level, as well as some of their skills and strengths in facilitating the right conversations and shining the light on the right issues. Our goal was to ensure that we embed a change perspective throughout the support we provide.

What was the scope of their involvement?

Pragilis provided us with a business consulting workshop to raise awareness within our team on how change impacts us personally. One of Pragilis’ key objectives was to help my team appreciate how much change impacts them and give them tools like resiliency and perspective to help them honor the different ways that they — as individuals and as a team — are impacted by change.

Pragilis’s second key deliverable was helping our teammates translate that knowledge and understand how change impacts them so that they could be in a better position to support our clients. This knowledge would allow them to bring that line of sight and embed some change leadership approaches in the support we provide to our leaders.

What evidence can you share that demonstrates the impact of the engagement? 

Pragilis’ knowledge and understanding of change and change of leadership were very relevant to our purpose. They took the time to understand the needs of our team and our business, and they were able to present information in a practical and relatable way. Additionally, they created space for reflection. As a result, our team was able to process and consider information through a new lens.

Moreover, the case study Pragilis used was very engaging for the team, giving them something to work through in a practical and applicable way. Other workshops are not translatable into actions. However, after Pragilis’ workshop, I found that many participants shared their experiences and were able to consider their work differently, bringing their learnings into their day-to-day work.

We needed to set up an organizational change management practice for our company, so we hired Pragilis to help us out.

What was the scope of their involvement?

Pragilis helped us implement our organizational change management capability. Their scope included designing the department and its functions, developing the tools and methodology, and hiring, training, and managing the team required to drive this department. Moreover, they helped us train all our employees and leaders around the new department.

I already had change management experience, so I brought Pragilis in with a set of requirements. We also provided them with the list of projects that were occurring in the organization that they would be supporting from a change management standpoint. From there, they came back with a proposal detailing the cost, timeline, and phases of the project. After that, they were in charge of implementing this function for an 18-month period.

What evidence can you share that demonstrates the impact of the engagement? 

Pragilis successfully built our new department and trained 100% of our employees and leaders in change management and change leadership. I was very happy with their degree of strategic thinking, the tools that they implemented, and the process and rigor of the change support that they provided on our internal programs.

How did Pragilis Solutions Inc. perform from a project management standpoint?

Pragilis met our deadline and stayed on budget. Throughout the project, Mumtaz reported updates and progress to me. We used Microsoft Outlook for communication.

What did you find most impressive about them?

Pragilis is very professional and strategic, and they work really well with a large variety of clients.

No, I don’t have any constructive feedback for Pragilis. I’ve even worked with them on other projects, and I constantly recommend them.
