We hired Pirxon to increase the efficiency of processes in the financial department using RPA technology. Our main goal was to relieve employees from performing repetitive activities. One of the main challenges was automation without changes to the existing systems managed by the headquarters.

We were looking for a solution that would help improve our work. After the first meeting with Pirxon, we decided that the proposed use of the Robotic Process Automation technology perfectly fits our goals. After verifying their experience, we started cooperation.

At the begining we evaluated the options - we selected 12 different processes for a potential automation. Then whe chose the optimal one for a PoC. Next, Pirxon prepared an analysis of the as-is process and designed a to-be solution that is currently being performed by the robot. After acceptance of the proposed solution, Pirxon started his development work and we just had to wait for the final results.

After few weeks of test based on the scenarios prepared at the early stage of the project, we could finaly go live with our Robot IZA. Further works that we carried out in cooperation with Pirxon looked similar (Robot Stefan). Project was done in Softomotive RPA technology (currently know as Microsoft Power Automate).

The project was managed with the highest quality. Project Manager was available in case of any questions. Progress of work and status were regularly reported. The implementation itself did not disturb the daily task cycle of our colleagues in Finance.

Pirxon showed exceptional "cleverness" adapting his solutions to our internal policies and requirements. Their flexible and creative approach to the project enabled an efficient implementation. We presented this project as a best practice to other branches of our company in Europe.

At the beginning we had 4 day training session, and later our team could use package of mentoring hours to consult all doubts and corner cases that were meet on the robot development path.

The measurable effect of the project is increase in employee skills in the field of RPA robotization. This resulted in the practical use in the daily work of many people by creating about 20 robots working in various departments of the company and supporting employees at work, relieving them of routine activities. The implementation of approximately 20 robots supporting several processes within 2 months of the completion of the training is a real expansion of RPA technology based on Microsoft Power Automate.

The whole idea of the project guaranteed the flexibility of Pirxon in relation to the progress of our team. The team could independently determine the moment when they wanted to take advantage of the consultations within the mentoring hours, which enabled the actual consolidation of knowledge tailored to our organization.

When we prepared the environment, Pirxon started to implement the solution. As part of the project, 3 cooperating robots in the Microsoft Power Automate technology were created

We wanted to see how RPA can benefit the company, not having previous experience with this technology. Initially, Pirxon was hired to create the first robots as a proof of concept and has since been the preferred partner for multiple automated processes.

We were seeking a vendor that would have experience with multiple platforms, as we were not set on any particular technology. Pirxon was selected due to their agile approach, where they have been willing to work with us on refining the requirements and the robots themselves when the organization was in the process of maturation in this area.

Much of the projects can't be described in detail due to confidentiality issues, however, they should be split into two phases. 1. Pirxon as our strategic partner for RPA - initially, they have been key to conducting the business analysis and building the solution. 2. At the moment we have developed some in-house capabilities, so Pirxon is used as a support and license reseller. They are also our partner with whom we decide on what direction this technology is going to go to and how can we benefit further from the market opportunities (i.e. Power Automate being introduced by Microsoft at a very low cost).

We had the pleasure of working with multiple members of Pirxon staff. The account manager is ongoingly reviewing the feedback that we have to offer and suggesting new opportunities. We had RPA developers building our first robots as well as offering initial training to users. We also have the support organization of Pirxon that is resolving any incidents (usually not caused by Pirxon but by our users or changes in the systems) in a very timely and cooperative manner.

Can you share any measurable outcomes of the project or general feedback about the deliverables?

We can not offer any particular numbers as they are confidential but the manhours saved by introducing RPA to the organization have been substantial despite the relatively small size of the company. Pirxon was invaluable to making the PoC a success story that let us progress further and even now is a key element to the user satisfaction that we are reporting on a regular basis.

They are incredibly flexible and will adjust to the client with regard to both timeline and communication. The project management style that they represent can be characterized as agile from the client-side (adjusting to the clients' ever-changing requirements in real-time) and very strict from their own side (deliveries are always on time).

What did you find most impressive or unique about this company?

Their ability to flexibly adjust to the customer. They have operated within our timeline, tools, and limitations. They often prioritize customer relationships to the strict letter of the agreement.

Are there any areas for improvement or something they could have done differently?

The only area of improvement is the presentation skills of their staff during training and other client presentations, where some developers are not delivering the best experience when showing the tools they work on. Even if the later experience with Pirxon is great, this one may be dissuaded from using their services.

The Robotic Process Automation technology was presented to us by Pirxon. After verifying the competitors available on the market, we decided to cooperate with Pirxon due to experience and references in our industry.

Our cooperation began with a business analysis and preparation of the robot project. Then we prepared a test environment in which the robot was created. After passing the UAT tests, the robot was launched in the production environment and to this day operates under the supervision of Pirxon.

The person with whom we have dealt with the longest is an RPA developer who was in touch with us from the beginning to the end of the project. We also had contact with an analyst and project manager from the supplier. Now we are supported by the SLA team.

After starting the robot and in accordance with the design documentation, the robot took over 40% of invoices - but after the quarter it was possible to increase the number of handled invoices to 60%, and after half a year to almost 80% thanks to the standardization of data from a larger number of suppliers.

The design approach was typically iterative, as the process evolved during the creation of the robot, but thanks to the flexibility of cooperation, we were able to implement changes in requirements during the project implementation.

The ROI of the robots was below 12months. Savings generated are approximately $ 15,000.00 in the first year, project completion time was approximately 30 business days. Automating these processes with traditional IT would take about 6-9 months, would require many project meetings, so the cost of automating traditional IT would be enormous. Handling these processes in a traditional way, as it was carried out until the employment of robots, i.e. a human would also be very high and the cost would rather continue to increase, hence the allocation of robots to these processes.

The project was led by PM Pirxon, which forced our people dedicated to the project to take further milestones. Pirxon was a great support for us in this project. Communication was via e-mail, telephone and jira. We implemented the project with a short delay, but it was due to the postponement of other projects that we were carrying out at that time.

People who work there have very rich programming and business knowledge, which allows them to implement projects quickly and well, at every stage of the project life. These guys know that if they make a wrong step, later it will translate into their profitability of the project, so they are always precise and principled. You can see that they have many years of experience in working with the client.

Sometimes they should be more understanding about the project schedule, they want to do everything according to the schedule and unfortunately this is often not possible.

In addition, the Pirxon SA - RPA developers showed great flexibility in terms of deadlines and changing the requirements during the project in relation to the first assumptions.
