I'm the CEO of Executive Allies, a company that provides affordable outsourced CFO and controller services to small and mid-sized businesses. We offer financial management, staff training, reporting, budgeting, and project management tailored to each client's needs.

What challenge were you trying to address with Pacific Accounting & Business Services?

We wanted to create capacity within our onshore team to work at a higher level consistently. Our goal was to avoid having them perform data entry, bank reconciliations, and cleanup projects that frequently come with new and ongoing clients.

SOLUTION

What was the scope of their involvement?

Pacific Accounting & Business Services handles about 70% of the data entry needed by our clients, including bank reconciliations, expense coding, cash application, and Excel support. Currently, they're assigned work for seven of our clients, all of whom have month-end close deadlines within the first two weeks of the month.

What is the team composition?

We work with two main teammates from Pacific Accounting & Business Services, but we also have frequent check-ins with account managers and customer leads.

How did you come to work with Pacific Accounting & Business Services?

A member of my mastermind group referred Pacific Accounting & Business Services to me. Her firm had also used them.

What is the status of this engagement?

We began working with Pacific Accounting & Business Services in April 2025, and our engagement is ongoing. We're currently evaluating assignments to determine if we can move from a 0.5 full-time equivalent (FTE) to a 1.0 FTE.

What evidence can you share that demonstrates the impact of the engagement?

Pacific Accounting & Business Services completes the tasks assigned to them in a timely manner. Thanks to their work, we've expanded our company's capacity to a 4:1 client-to-staff ratio from a 3:1 ratio, all with only a 0.5 FTE from Pacific Accounting & Business Services. This is a result of more focused work, intentional time spent improving processes, and efficient work performed by the Pacific Accounting & Business Services team.

How did Pacific Accounting & Business Services perform from a project management standpoint?

Pacific Accounting & Business Services delivers on time and exceeds expectations. Our team had varied expectations, and some members were hesitant about entering into a contract with an offshore team. However, each person on the team has been incredibly pleased with Pacific Accounting & Business Services' work. We primarily communicate via Microsoft Teams. We also have weekly video chats and can communicate via Karbon.

What did you find most impressive about them?

Pacific Accounting & Business Services' level of communication is incredibly high. The team has also made recommendations for processes or worksheets that we've implemented throughout our organization. They ask great questions and operate at a higher level than a basic data entry clerk, so they catch small details (like items needing to be put into prepaids or capitalized). We enjoy working with them and look forward to expanding our services with the team!

To do basic bookkeeping for smaller business clients of ours, they meet with our team once a week as well and send over reports of information they need/what they accomplished.

This allowed us to streamline our processes, resulting in smooth EOY/monthly reviews and increased capacity to onboard more clients efficiently.

Everything is always on time, we have noticed that we do repeat ourselves a lot due to them not going back to their notes. They are always fast to respond which is really nice to have.

I think asking questions on clients and referring to their notes from their weekly meetings/in our software on certain clients. We have also noticed that when they dont know something for a transaction they may just categorize it or create the vendor without doing some research on google even.

Our yearly financial audits have been easy and seamless because our accounting records are accurate and PABS provides all the necessary information needed.
