What specific goals or objectives did you hire Notix to accomplish for your consulting business?

We hired Notix to deliver an AI-enabled proposal/RFP workflow that cuts bid preparation time from about 18 hours to more than six hours, auto-summarizes meetings with more than 95% accurate action items, generates the first 70%–80% of branded deliverables (PPT/Doc), centralizes firm knowledge to reduce information-finding time by more than 50%, integrates with Slack/Teams and our CRM, improves RFP win rate by 10%–20% within 3–6 months, reduces rework by more than 30%, meets enterprise security (SSO, audit logs, PII masking), achieves more than 80% user adoption in 60 days, and ships an MVP in six weeks.

What was the scope of their involvement?

Notix led discovery and design, built a secure knowledge base, and delivered an RFP parser and bid builder. They added an AI meeting scribe, a deliverable generator with our brand templates, and integrations with SSO, chat tools, CRM, files, and calendar. They provided an admin console, audit and security documentation, analytics dashboards, and change management with training and support.

Notix handled end-to-end product design, core backend and frontend development, AI features, the RFP parser, meeting scribe, deliverable generator, and most integrations, including SSO, chat tools, file storage, and CRM. Our team owned brand templates, sample content, and change management with training. Our IT led security reviews and access policies. A third party supported the CRM data model, and we jointly tested and validated the solution before launch.

RESULTS & FEEDBACK

What evidence can you share that demonstrates the impact of the engagement?

Bid preparation time was reduced from about 18 hours to six hours. Our RFP win rate increased by 14 percentage points within four months. First draft deliverables were generated in under 20 minutes on average. Rework on slides and documents was reduced by 32%. Time to find internal knowledge was cut by 55%. User adoption reached 84% within the first 60 days. Cycle time from RFP receipt to submission was shortened by three days. Meeting action item capture accuracy was measured at 96%. We had an estimated monthly time savings of about 120 hours across the team.

We monitored KPIs continuously in a shared dashboard with weekly reviews and monthly executive readouts, not only at the end. We tracked proposal cycle time and hours per bid, meeting action item accuracy based on quality checks, acceptance of first drafts without major edits and an edit rate, time to find internal knowledge including median and tail times, user adoption such as weekly and monthly active users and seat activation and session length. We also tracked hallucination rate and citation coverage, rework hours on slides and documents, defect incidents, and ticket resolution time. For business impact, we tracked win rate and conversion by segment, days from RFP receipt to submission, estimated hours and cost savings, and pipeline and revenue influenced by AI-assisted bids. We captured a baseline before the pilot, set targets for each metric, reviewed rolling four-week averages with checkpoints at days 30, 60, and 90, and pulled data from the CRM, task system, calendar, file logs, and app telemetry.

Two additional points mattered for us beyond the headline KPIs. First, we achieved a clear financial impact with a payback period under three months based on time saved and improved win rate. The ongoing cost to serve per proposal dropped materially. Second, adoption quality held up over time with no data leakage incidents, passing internal security review. We saw sustained weekly active use after the pilot, plus higher client satisfaction scores on proposal clarity noted in post-bid feedback.

How did Notix perform from a project management standpoint?

Notix’s project management was disciplined and transparent, with clear owners, weekly check-ins, and a shared dashboard for scope, risks, and decisions. They delivered the MVP on time in six weeks, kept core milestones on track, and managed changes through lightweight change logs. A few items slipped by one sprint, mainly CRM reporting tied to custom fields, but they communicated impact early and adjusted the plan without affecting the overall timeline or launch quality.

What did you find most impressive about them?

Their ability to translate messy consulting workflows into a clean product fast was outstanding. They moved from ideas to a working MVP in six weeks without losing quality.

They were uniquely proactive about metrics and adoption, instrumenting everything and iterating weekly on real usage data rather than opinions.

Communication was crisp and transparent. They balanced security depth with practical delivery, all while integrating smoothly with our existing tools. Overall, it felt like working with a partner that co-owned outcomes, not just a vendor executing tasks.

Are there any areas they could improve?

Overall, we were very happy. They could have front-loaded CRM schema discovery to avoid the reporting delay, invested earlier in brand voice tuning and example slides, and provided more enablement materials for our frontline teams. A dedicated sandbox for integrations and a tighter risk log with clear fallback plans would have reduced friction. More asynchronous documentation and office hours during the first month would have sped up adoption without adding meetings.
