What challenge were you trying to address with Notix?

We needed help digitizing our end-to-end window and door delivery cycle by implementing an AI-assisted quoting and site measurement app, automating CAD to fabrication handoff, optimizing production scheduling and inventory, and adding a customer portal and CRM integration.

What was the scope of their involvement?

Notix mapped our process from lead to installation and delivered a complete digital workflow that included a sales and quoting app with a product configurator and real-time pricing, a guided site measurement app with photo capture and tolerance checks, and an automation layer that turned approved quotes into CAD drawings, cut lists, hardware schedules, and CNC-ready files. 
They also implemented production scheduling with capacity planning, barcode-based inventory, and work-in-progress tracking. Additionally, we received an installer mobile app for routes, checklists, photos, and customer sign-off. 

Moreover, we received a customer portal for order status, installation dates, documents, and warranties, plus integrations to our ERP, CRM, accounting, payments, and messaging, along with single sign-on and audit logs. Quality controls, warranty workflows, and analytics dashboards for quote cycle time, remake rate, on-time in full, lead time, and margin rounded out the scope, with training, standard operating procedures, and admin handover provided at go-live.

RESULTS & FEEDBACK

What evidence can you share that demonstrates the impact of the engagement?

Notix's work helped us drop our quote turnaround from about three days to the same day, measurement accuracy reached over 99%, remake and defect rates fell by about 35%, and lead time from order to installation shortened by roughly 25%. Additionally, first-time right installs improved by about 20 percentage points, on-time in full delivery improved by around 18 points, average order value increased by about 12%, and close rate improved by roughly 9 points. 
Moreover, scrap was reduced by about 15%, inventory turns improved from around four to six, warranty claims decreased by about 22%, and customer satisfaction scores rose by about 15 points. Overall, the investment paid back in under four months.

We established a pre-project baseline, instrumented the new apps and ERP with timestamps and defect codes, and tracked every job from quote to install using barcodes and photo evidence so remake events were counted only when a replacement was issued and fitted. Measurement accuracy came from automatic tolerance checks and spot audits by supervisors, while first-time right installs were verified by installer checklists and customer sign-off. 
Lead time and on-time in full were calculated from order, production, and delivery timestamps, and inventory turns came from monthly cost of goods sold over average inventory. Customer satisfaction improved based on post-install surveys with response rates and scoring audited, and we validated all metrics with weekly dashboards, random QA samples, and a before and after comparison over comparable seasonal periods.

How did Notix perform from a project management standpoint?

Notix ran the project with clear owners, weekly check-ins, and a transparent dashboard for scope, risks, and decisions. They hit the Phase 1 deadline on time with the quoting, measurement, and CAD automation live as planned. A small ERP inventory sync slipped by one sprint due to custom fields, but they flagged it early, provided a workaround, and kept the overall go-live and quality on track.

What did you find most impressive about them?

Their ability to turn messy field workflows into a simple, reliable product stood out, especially how quickly they moved from ride-alongs to a working quoting, measurement, and CAD automation flow. They were proactive with metrics and iteration, deeply practical about shop floor realities, and communicated clearly while integrating cleanly with our ERP and existing tools.

Are there any areas they could improve?

Overall, we were very satisfied, but Notix could have front-loaded ERP and inventory schema discovery to avoid a small sync delay, shipped an offline-first mode for the site measurement app sooner, expanded early training and how-to videos for installers and sales reps, provided a dedicated sandbox for integrations, tightened the risk log with clear fallbacks, and spent an extra sprint on brand and document templates so quotes and drawings needed fewer manual tweaks.

What was the scope of their involvement?

Notix led discovery and design, built a secure knowledge base, and delivered an RFP parser and bid builder. They added an AI meeting scribe, a deliverable generator with our brand templates, and integrations with SSO, chat tools, CRM, files, and calendar. They provided an admin console, audit and security documentation, analytics dashboards, and change management with training and support.

A third party supported the CRM data model, and we jointly tested and validated the solution before launch.

What evidence can you share that demonstrates the impact of the engagement?

Bid preparation time was reduced from about 18 hours to six hours. Our RFP win rate increased by 14 percentage points within four months. First draft deliverables were generated in under 20 minutes on average. Rework on slides and documents was reduced by 32%. Time to find internal knowledge was cut by 55%. User adoption reached 84% within the first 60 days. Cycle time from RFP receipt to submission was shortened by three days. Meeting action item capture accuracy was measured at 96%. We had an estimated monthly time savings of about 120 hours across the team.

We monitored KPIs continuously in a shared dashboard with weekly reviews and monthly executive readouts, not only at the end. We tracked proposal cycle time and hours per bid, meeting action item accuracy based on quality checks, acceptance of first drafts without major edits and an edit rate, time to find internal knowledge including median and tail times, user adoption such as weekly and monthly active users and seat activation and session length. We also tracked hallucination rate and citation coverage, rework hours on slides and documents, defect incidents, and ticket resolution time. For business impact, we tracked win rate and conversion by segment, days from RFP receipt to submission, estimated hours and cost savings, and pipeline and revenue influenced by AI-assisted bids. We captured a baseline before the pilot, set targets for each metric, reviewed rolling four-week averages with checkpoints at days 30, 60, and 90, and pulled data from the CRM, task system, calendar, file logs, and app telemetry.

Two additional points mattered for us beyond the headline KPIs. First, we achieved a clear financial impact with a payback period under three months based on time saved and improved win rate. The ongoing cost to serve per proposal dropped materially. Second, adoption quality held up over time with no data leakage incidents, passing internal security review. We saw sustained weekly active use after the pilot, plus higher client satisfaction scores on proposal clarity noted in post-bid feedback.

Overall, we were very happy. They could have front-loaded CRM schema discovery to avoid the reporting delay, invested earlier in brand voice tuning and example slides, and provided more enablement materials for our frontline teams. A dedicated sandbox for integrations and a tighter risk log with clear fallback plans would have reduced friction. More asynchronous documentation and office hours during the first month would have sped up adoption without adding meetings.
