BACKGROUND
Please describe your company and position.
I am the Head of Marketing Operations & Digital of Port
Describe what your company does in a single sentence.
Port is an Agentic SDLC Platform that gives engineering organizations the context lake, workflow orchestration, agent management and governance they need to build, govern and operate an AI software factory without losing control.
OPPORTUNITY / CHALLENGE
What specific goals or objectives did you hire Nomad Marketing Consulting, LLC to accomplish?
- We partnered with Nomad Marketing to stand up a brand new SLG-led funnel and associated marketing-source dashboards within HubSpot, spanning a full audit and redesign of our lifecycle stage model.
- Build a reporting and dashboard layer in HubSpot that leadership could actually trust, covering lifecycle conversion by lead source, demo funnel performance, marketing events, velocity tracking and channel level attribution across regions and company size.
- Clean up the operational foundation underneath it. That meant auditing hundreds of active workflows, fixing lead routing and ownership, eliminating duplicate deal creation, removing inactive users from assignment rules and resolving email deliverability and data quality issues across the instance.
- Establish governance and documentation so the systems stay healthy as we scale, including property and segment cleanup, dashboard naming standards, UTM conventions and a prioritized roadmap our internal team could execute against.

Describe the scope of work in detail. Please include a summary of key deliverables.
Marketing operations audit
- Comprehensive review of our HubSpot instance covering technical setup, active campaigns, database health, lead scoring and lifecycle management
- Stakeholder interviews across marketing, sales, SDR leadership and revenue operations to surface pain points
- Findings presentation with strategic recommendations on data quality, workflow health and governance gaps
- Prioritized recommendations spreadsheet with effort estimates, dependencies and value drivers so our internal team could roadmap against it
Lifecycle and funnel implementation
- Complete redesign of our legacy lifecycle taxonomy into a modern funnel running Lead, MEL, MQL, SAL, SQL, Opportunity, Closed Won and Lost, with recycled and churned states
- Built all stamping workflows and custom fields in HubSpot
- Completed historical backfills so trending and velocity reporting works against prior periods
- Defined entry and exit criteria for every stage, plus MQL scoring thresholds and lead scoring refresh
Reporting and dashboards
- Lifecycle conversion dashboards broken out by lead source, by form submitted, and by lifecycle stage with company size and region as master filters
- Demo funnel dashboard with funnel visualization, region breakdown, and contact and deal level filtering
- Marketing events dashboard covering performance by event source across the full lifecycle with year over year comparison and rolling pipeline views
- Lifecycle QA dashboard that surfaces gaps in stage assignment Velocity reporting dashboard for month over month movement by stage
- YTD and quarterly channel conversion reporting across paid social, paid search, organic social, referral, outbound, community and product led
- Reporting index and documentation so we know what exists and who owns it
Workflow and process audits
- Audit of all live workflows creating tasks, with unnecessary SDR and AE task assignments identified and deactivated
- Routing workflow audit that removed inactive users from assignment rules
- Lead routing and ownership overhaul to fix leads landing unowned
- Root cause fix for duplicate deal creation on demo conversion, which had been corrupting SDR pipeline reporting
Technical and infrastructure
- Email deliverability investigation covering SPF, DKIM and DMARC records, blacklist status and third party sending configuration, with immediate, weekly and monthly action items
- Integration reconnection work for syncs that had silently failed
- Property, segment and dashboard cleanup with naming and governance standards
- Tech stack audit to identify consolidation opportunities across our marketing and sales tooling
Nomad works directly in the instance rather than handing off instructions, documents everything in shared spreadsheets and docs, and runs a weekly cadence with our team. Day to day delivery is led by a dedicated technical lead and account lead.
RESULTS & FEEDBACK
What were the measurable outcomes from the project that demonstrate progress or success?
The engagement moved fast and produced a foundation we did not have before. Concrete outcomes in under four months:
- Rebuilt our entire lifecycle funnel from a legacy taxonomy into nine defined stages with entry and exit criteria, stamping workflows, custom fields and full historical backfill, taking it from concept to launch ready
- Delivered more than 170 reports across seven reporting deliverables, covering lifecycle conversion by source, demo funnel, marketing events, lifecycle QA, velocity tracking and year-to-date channel conversion, all with region and company size filtering
- Eliminated duplicate deal creation on demo conversion, which had been silently corrupting every SDR pipeline report we ran
- Removed inactive users from all routing workflows, ending misassignment of leads to reps who had already left the company
- Identified and deactivated live workflows that were generating unnecessary tasks for SDRs and AEs, cutting noise out of the sales team's daily queue
- Corrected DNS level email deliverability issues including a deprecated SPF record, duplicate DMARC records and an expired blacklist listing, along with a documented remediation plan on immediate, weekly and monthly cadences
- Produced a prioritized operations backlog with effort estimates, dependency mapping and value drivers, which our internal team now runs its sprints against
- Reconnected integrations that had silently failed, restoring syncs that downstream workflows depended on
Describe their project management. Did they deliver items on time? How did they respond to your needs?
Project management is a strength. Work is assigned and tracked in Slack, deliverables land in HubSpot or shared docs, and there is a standing weekly call to review progress and reprioritize. Nothing gets lost between those touchpoints.
They deliver on time consistently. Across roughly four months they hit dates on the audit presentation, the dashboard builds, the workflow audits and the deliverability investigation. When something slipped it was almost always waiting on input from our side rather than theirs, and they were clear about flagging the dependency rather than letting it sit quietly.
Responsiveness is fast. Questions in Slack get answered same day, usually within a couple of hours. When we surfaced an urgent problem, like duplicate deals corrupting our pipeline reporting, they diagnosed the root cause and had a fix scoped quickly rather than putting it in a queue.
What I appreciate most is that they manage the work like operators, not order takers. Every recommendation comes back with an effort estimate, a dependency note and a rationale for sequencing. They tell us when something we are asking for will break something downstream, and they push for a decision instead of just executing and letting us find out later.
The team we work with day to day is consistent, which matters. Having the same technical lead and account lead across the whole engagement meant no re-explaining context, and they built enough institutional knowledge of our instance that they now catch issues we have not asked them to look at.
What was your primary form of communication with Nomad Marketing Consulting, LLC?
- Virtual Meeting
- Email or Messaging App
What did you find most impressive or unique about this company?
Two things stand out.
The first is that they build for handoff rather than dependency. Most agencies in this space create a situation where you cannot function without them, because the logic lives in their heads. Nomad documents everything. Every workflow, every field mapping, every report definition sits in a shared doc or spreadsheet we own. If the engagement ended tomorrow we would still understand our own instance, and that is rare enough that I noticed it immediately.
The second is that they find problems you did not hire them to find. We brought them in for funnel and lifecycle work. Along the way they surfaced email deliverability issues at the DNS level, integrations that had silently disconnected and were causing downstream workflows to fail, and workflow sprawl that was generating junk tasks for our sales team. None of that was in scope. They flagged it because they were paying attention, and every one of those was actively costing us something.
Underneath both is the thing that actually makes them different, which is that they diagnose before they build. The engagement opened with stakeholder interviews across marketing, sales, and revenue operations, not a template. What came back was not a findings deck, it was a prioritized backlog with effort estimates, dependencies and value drivers attached to every item. That is the difference between a consultant who tells you what is wrong and an operating partner who hands you something you can actually run.
Are there any areas for improvement or something Nomad Marketing Consulting, LLC could have done differently?
Two small things. Proposals and recommendations would benefit from clearer phasing and effort estimates up front, so we can see what realistically gets done in a given month rather than working from a long list. And when deliverables sit waiting on our review, I would rather they push harder with a deadline than wait quietly. Neither is a knock on the work itself, which has been excellent.
