Project timeline was stretched out from initial 3 months to 1 year because of resource inavailability on both sides and the project management was my responsibility, since to lower the project costs, the agreement was that they will only provide resources and I must manage the tasks, priorities and budget.

Vlad has only been great and I've built a really good relationship with him. I’m a product manager at Synapsum, a company providing fulfillment analysis and planning.

What challenge were you trying to address with Noltic?

We have a solution built on a different technology stack, but we wanted to create a Salesforce-native version of our solution to add a lot more functionality to it in the Salesforce platform. Therefore, we hired Noltic to do that development work for us because we didn’t have the in-house resources to do it.

SOLUTION

What was the scope of their involvement?

To some extent, we did an initial discovery process on our own to validate the need and the market demand for the solution we were trying to create. Thus, when we came to Noltic, we had a very strong idea of what we wanted to develop. We had also come up with a data model and an algorithm we wanted to use for this solution, so we initially shared that with Noltic.

Then, we collaborated with them to tweak the data model. Moreover, we provided them with user stories to help them understand our vision for the solution, which they helped us review and gave us a lot of feedback regarding its design.

Noltic also told us how to take advantage of Salesforce functionality to create an intuitive solution for Salesforce users, as well as how to create a seamless experience by leveraging the technology Salesforce has to offer. From there, their team was in charge of the entire development work, leveraging the Salesforce technology stack, including the Apex Lightning web components.

This solution was created for manufacturers. After they complete a sale, they need to fulfill the order and deliver it. With this solution, we’re helping those companies bring insight from fulfillment and planning into their sales cycle. When they create an opportunity in Salesforce, they can see how long it takes them to be completed and shipped to the customer.

For example, the user changes the products added to the said opportunity or customer requests for value-added services, such as special handling of their purchase, have a direct impact on the fulfillment cycle. Therefore, this solution helps users push out the dates presented to the sales representatives as they create those opportunities.

What is the team composition?

We worked with a dedicated developer and a software architect who was in charge of providing architecture and scoping assistance. The architect acted as the project manager and was involved in the beginning of the project. Once we entered the development process, we worked exclusively with the developer.

How did you come to work with Noltic?

I don’t know how we found them because I joined the company after Noltic had already been selected as our service provider.

What is the status of this engagement?

We worked together on this project from January–March 2023. However, I believe that Noltic has worked with Synapsum on other projects in the past.

RESULTS & FEEDBACK

What evidence can you share that demonstrates the impact of the engagement? 

Our main success metric for this project is that we now have customers buying the solution that Noltic helped us develop. However, the product launch is very recent, so we don’t have feedback from customers yet regarding how successful the solution is. In fact, there are still no customers using the solution yet. As for general feedback, I was very pleased with the quality of Noltic’s work.

How did Noltic perform from a project management standpoint?

Noltic was quick, responsive, and did a great job staying on budget. Initially, we provided them with a list of features that were absolutely required, as well as with a list of other features that would be nice to have, and told them that it was very important for us to stay on budget. Thus, they delivered everything we required and the majority of features that weren’t strictly necessary.

As for collaboration tools, we used three main technologies. We used GitHub for storing our project and communicating technical details. We also used Slack very regularly to ask questions and communicate about the progress. Additionally, we used Google Meet to have a daily 15-minute meeting.

Noltic always came to those meetings with updates and let us know where things were, which helped us be in sync about the progress we were making. They also let us know if something was taking longer than anticipated, so we never had any surprises.

What did you find most impressive about them?

In addition to the quality of their work, I really appreciated Noltic’s integrity throughout the project. They helped us identify ways to cut down the scope of the project. Our initial design would have caused more work for them, but they pointed out that there was another approach to the solution we could take that would be less work for them and save us money.

Are there any areas they could improve?

I don’t have any constructive feedback for Noltic; they did a fantastic job.

Do you have any advice for potential customers?

What worked well for us was having multiple lines of communication and frequent check-ins. Frequent communication is very helpful.

I’m the Engineering Manager of Better Time Stories, a European nonprofit project managing donations and the consequential delivery of interactive book sets to Ukrainian refugee children in the Netherlands, Germany, Belgium and Austria. We provide an option for a family member staying in Ukraine to narrate and record story books for children to listen and emotionally connect while staying physically apart.

For what projects/services did your company hire Noltic?

We needed a service provider who would be proficient with the Salesforce instruments to fix the inconsistencies we had in our initial setup. We had to start our operations promptly and used the Salesforce nonprofit solution, however, we encountered a number of issues standing in the way of effective donation spending and precise address delivery of book sets. Another challenge was our need to expand the delivery from the Netherlands to additional countries.

SOLUTION

How did you select this vendor and what were the deciding factors?

I was familiar with one of Noltic’s co-founders prior to Better Time Stories’ existence, and I already knew they were the experts in the industry. It was very important that the team is from Ukraine, meaning they deeply understand the meaning of our project, and they provided their services pro bono.

Describe the project in detail and walk through the stages of the project.

The project was mostly focused on fixing systemic issues with our CRM operations. We have had problems with our request form that the families in need were filling out. For example, it allowed for Cyryllic letters usage or for people to put in their first and last name in one field or to even forget to put in their email address. It kept us from delivering book sets because the post office could not process incorrect data.

The Noltic team worked out data validation rules to prevent wrong types of information from going into the request system for successful package delivery. They also helped us implement a rule allowing manual package quantity input for working with group refugee housings and another flow that forbids individual applicants to request more than one package per household. This helped optimize our operations and make more children happy by effectively spending donation money.

Noltic helped us implement delivery to Belgium, Germany and partially Austria, and they continue to provide all the needed technical support for our project.

We have two tech people from Noltic working on our project – one Salesforce Architect Serhii and a Salesforce Developer Yurii. They work in a close collaboration with our tech team.

Can you share any outcomes from the project that demonstrate progress or success?

Yes, while before Noltic we have had only 1000 packages sent to Ukrainian children in the Netherlands, we now have crossed the point of 5000 packages sent to the Netherlands along with two additional countries – Germany and Belgium. We also see an increase in our employees’ productivity with dataflow optimized by Noltic as well as more positive impact on kids coming from an increased number of successful deliveries.

How effective was the workflow between your team and theirs?

It was all done in the shortest of terms and a lot of options we only explored in the beginning of December, 2022, they managed to implement by Christmas, which was our busiest time of the year. The communication was pleasantly consistent and informative.

What did you find most impressive or unique about this company?

Their openness to new challenges, the ability to evaluate the scope, and readiness to work with routine tasks like finding out the bugs in an existing setup with steady dedication.

I’m the co-chairman of the board of Nova Ukraine, a nonprofit organization. We’re incorporated in California and are one of the biggest Ukraine-focused nonprofits in the US.

What challenge were you trying to address with Noltic?

Given the Russian Invasion of Ukraine, we’ve scaled our operation a lot this year. As a result, the question of process automation and using software to increase efficiency became really important, so we decided to implement Salesforce into our operations. Even though Salesforce offers a nonprofit cloud, we required a lot of custom work to implement our organization’s processes, so we brought in Noltic to help us.

SOLUTION

What was the scope of their involvement?

Noltic provides us with Salesforce development and automation QA. The two most important parts of what we do are fundraising and issuing grants, and the team has helped automate both processes.

We give hundreds of grants, which involve working with smaller nonprofits and volunteering groups. They apply for the grant, and we research and evaluate them. This process has steps from coordinating research to background checks to an approval process with our board of directors. From there, it goes to fulfillment, so the grant is distributed, and then reporting is collected. Noltic has reflected the entire process from beginning to end in Salesforce. 

Previously, the grant process was spread across email, messengers, and Google Drive — all over the place. The integration with Salesforce allows us to collect everything in one place, streamline the flow, and aggregate reports to understand the dynamics and analysis of the grants we've given. 

Meanwhile, fundraising involves communicating with donors and aggregating information about them. We have to engage and reengage with donors and understand their demographics to speak to them in their language. Noltic has helped us import all our donors' information into Salesforce. They've integrated different systems like crowdfunding platforms and donating via check or wire transfer. The goal was to have a single view of our donor base to analyze and create campaigns. Currently, they're automating other workflows for us.

We've worked with two Salesforce developers, an automation QA specialist, and a Salesforce architect. Additionally, we've been in contact with Noltic's leadership.

We had an existing relationship with them due to a previous project. When this project came up, I contacted Noltic and asked if they could support us.

So far, we've invested roughlywe've000. Noltic has also offered many services pro-bono, adding up to about $30,000 worth.

We started working together around May 2022, and the engagement is ongoing.

What evidence can you share that demonstrates the impact of the engagement? 

The project is working; we rely on Noltic’s implementations daily, and the results speak for themselves. We’ve had close to 150,000 transactions pulled into Salesforce from different donation platforms, and almost 99% of our grant issues are going through there. Putting these processes in Salesforce for us has been critical for us to continue operating effectively.

Noltic’s team is very professional, and the developers have done a really solid job. They’ve been helpful because they have a lot of experience developing in Salesforce, so they’ve streamlined our processes. On top of the paid arrangements, they’ve donated a lot of their employees’ time pro-bono to help us get this project off the ground.

For many nonprofits, getting into Salesforce is a heavy lift, and those that manage it get to the next level of professional operations. We rely on volunteers, so automation is a way to keep things working smoothly even when we don’t necessarily have people working full time. We’re happy we could take that step with Noltic’s help and be more efficient.

We shared project management tasks between our volunteers and Noltic, and we’re happy with their performance and the communication we receive. They’ve completed everything on time, and I haven’t heard any concerns from my in-house team. We use Asana for project management and communicate on Slack. 

What did you find most impressive about them?

I’m impressed with Noltic’s willingness to support our use case even though they didn’t have much experience with nonprofits. The team was willing to step in and take some risks with us. Initially, we didn’t know if this would work out because it was a change in management, and they supported us and were open to making it work — and it does. We’ve received what we were looking for and even more from them.

I don’t have any particular constructive feedback; our partnership has been successful.

In our experience, we trusted that the Noltic team would support us even on a somewhat risky project. Most impressive was the ability to quickly capture the issues and ideas brought forward and quick analytical abilities when issues needed to be localized. The working atmosphere is very friendly and dynamic which enhanced the relationship even further.

Noltic were with us from the first design of the Salesforce migration and augmentation. Noltic Salesforce experts helped us to optimise the speed of the delivery and use of the Salesforce platform. They helped identify blockers early during frequent delivery cycles and pushed Salesforce to delivery to our demanding requirements and timelines.

Noltic also helped to predict potential problems and challenges we would encounter through frequent conversations and participating in the system design. Noltic have continued working with us to migrate all of our internal staff by continuing to augment and increase the functionality of the Salesforce system.

The core team was 2 people throughout the lifetime of the project. At times this augmented to 5 given our needs of delivery.

After a couple of months we had a working Salesforce platform and within the first 5 months we had migrated half our internal users to the Salesforce platform. Noltic were key to quickly identify, inform and work with our product managers and technical teams to get the most of the Salesforce platform.

Noltic adapted to our approach using Jira, confluence and Slack for communication. They worked with us in an Agile extended team. On top of this we had regular calls to gain experience and techniques to maximise the development path with Salesforce. This allowed us to increase the velocity of delivery.

What did you find most impressive or unique about this company?

We found Noltic as a very flexible partner, with great people who really know and love working with Salesforce. They also know about other delivery approaches and technologies which helped us to deliver our overall platform approach.

Are there any areas for improvement or something they could have done differently?

With all of our extended remote teams and agencies we experienced some initial joint working challenges. Noltic worked with us during the first few weeks at all levels of the company to get through these initial weeks while also ensuring the delivery kept pace with our expectations. Since the first few weeks we have established an excellent working relationship.
