Our operations and systems were chaotic. My partner and I are not systems thinkers or ops experts. We hired LucidOps to modernize our business and lead a digital transformation at a pivotal time. We were experiencing great growth, but our fulfillment and operations teams were falling apart, causing customer satisfaction issues that needed to be addressed immediately.

They led an in-depth process analysis of our entire business, examining our processes, tech stack, existing systems, customers, and team members. They diagrammed our entire business, which was incredible to see for the first time. We focused on fixing processes that were clearly flawed and causing issues.

They migrated us from Monday.com, which was causing numerous issues with our team, to Airtable. They created a single source of truth in Airtable—something we never had before, as we could never trust our data previously. From there, they built custom workflows and interfaces for every team member and created executive dashboards that make it incredibly easy to monitor our business at any time.

They connected our entire tech stack with this new custom operating system, including QuickBooks, Jobber, GoHighLevel, Slack, Google Workspace, Xero, Meta Ads, Gusto, and BirdEye. They continue to make ongoing improvements, provide support to our team, and implement quarterly enhancements.​​​​​​​​​​​​​​​​

Our customer satisfaction and reviews went through the roof, which is everything in our industry. No more complaints! My cofounder and I could finally sleep at night. I’m the founder of Clean It Up. We do junk removal, land clearing, and property clearing for residential and commercial clients in Northern California.

We were frustrated with the ERP tools available in the market. Nothing seemed to fit our unique needs, and we were tired of patching together different tools that didn’t truly integrate. We needed a solution for our team’s pain points, something that could streamline our operations.

What evidence can you share that demonstrates the impact of the engagement?

LucidOps has delivered a custom ERP system that has been a game-changer for our efficiency and peace of mind. It has automated 60% of our workflows, leading to a direct reduction in operational costs and increased output and capacity without hiring more team members. This increased efficiency has boosted overall team productivity and morale and accelerated decision-making by providing real-time, accurate data from a source of truth we can trust.

We found a partner who actually listened. They didn't just try to sell us an off-the-shelf product; they dove deep into our existing tech stack and worked with us to develop a custom ERP that brought everything into one unified tool. But it wasn't just about the software. They went above and beyond, conducting a thorough systems and operations audit. This led to massive foundational improvements at the process level, which was a huge relief. On top of that, they've already automated a huge % of our workflow, and there's even more automation on the horizon. I needed help with automating and scaling the manual processes that my team had.

What was the scope of their involvement?

As our company experienced rapid growth, we reached a plateau where operational bottlenecks were preventing us from hitting our target KPIs. We needed to undergo a comprehensive digital transformation to break through these barriers and continue scaling effectively.

We partnered with LucidOps to guide us through this critical transition. They conducted a thorough analysis of our existing processes and systems, identifying areas where redesign was necessary. Working closely with our internal team, they helped us reimagine our operations from the ground up.

We hired LucidOps to build a custom SaaS for us, encompassing both mobile and web applications. Before beginning the actual application development, we relied on LucidOps to help us streamline our systems and, more importantly, our data. We lacked a single source of truth.

Prior to the impressive development work they completed, LucidOps conducted a thorough audit and discovery of our systems, helping us streamline and integrate everything across our technology stack. Most critically, they helped us create a reliable single source of truth that we could trust before even starting the development phase.

We had two primary objectives for this application development:

First, we wanted to prepare for significant growth that we were experiencing and anticipated continuing. Our goal was to substantially increase our team's internal capacity and output without adding more team members.

Second, we aimed to dramatically enhance the experience and quality for our customers throughout their entire journey and daily interactions with our product and service. We wanted to not only accelerate results for our customers but also significantly reduce meetings, emails, text messages, and Slack communications. The focus was on making our products and services as easy to use as possible, allowing customers to achieve results quickly and frictionlessly.

Overall, we offer approximately seven services, so we needed to build specific views with appropriate permissions based on which services customers had purchased. Additionally, we incorporated strategic guardrails within the product to facilitate cross-selling opportunities for services customers hadn't yet purchased.

What were the measurable outcomes from the project that demonstrate progress or success?

We established numerous KPIs for this project and successfully achieved all of them. However, there was one unexpected outcome that far surpassed everything else: every single one of our clients was completely impressed by the application and its rollout. Beforet even asking for feedback and testimonials, we received enthusiastic responses from virtually all of our clients. These client feedback exceeded any internal KPIs we had established. The product truly speaks for itself, and the customers have become its advocates—they absolutely loved it.

Everything was delivered on time. During onboarding, they expressed the importance of this, during all stages of the project, every single month, every single week, we had complete visibility and transparency on what's being worked on and delivered. There was never any guesswork.

Not only are these guys experts in development, design, automation, data ,operations and systems, but at their core, these guys are product guys. They're huge advocates for product-led growth, which shows in the products that they deliver. They spent a ton of time truly understanding our customera needs and putting themselves in their shoes.
