They supported us in scoping, designing, and deploying next-generation firewalls, switches, and wireless access points at our head office in Calgary, Alberta. We are now undertaking a similar initiative for our offices in Grande Prairie, Alberta.

Integrating this advanced technology strengthens security and optimizes network performance. With enhanced visibility and control over our infrastructure, we can proactively manage our environment. These solutions provide essential business continuity—something we previously lacked.

Previously, we depended on consumer-grade products that created single points of failure, where any malfunction could disrupt operations and expose critical security vulnerabilities. Without high availability or redundancy, our network was susceptible to data breaches, extended downtime, potential data loss, and severe reputational consequences.

Our team can now retrieve data for reporting with greater efficiency, a crucial aspect of our operations. Financial, operational, quality assurance, service and maintenance, and field ticketing data are continuously fed into a data warehouse, relying on a resilient network fabric for swift and seamless access. Achieving this requires reliable networking infrastructure, advanced edge devices, and robust security to safeguard the data.

We started our partnership with them in October 2024, and it's been a great experience so far. 

Kaco has made many small but meaningful changes to our environment—things I had asked our previous MSP to take care of multiple times, like Wi-Fi upgrades or securing our VPN connections. The response was always, “This project will take three months and cost extra.” Instead, Kaco folds those types of tasks into our day-to-day support agreement. They’ve handled everything smoothly, without causing issues or disruptions to the environment. 

With them, we successfully overhauled our Wi-Fi networks, which had long been unreliable and outdated. The network still carried our previous company name, and after several discussions with our former MSP, we were told that updating it would be both expensive and time-consuming. However, Kaco was able to make the necessary changes quickly and seamlessly, updating our Wi-Fi environment with names that now accurately reflect our current company brand.  

Although we operate primarily remotely, it's important that when people are on-site, their Wi-Fi connections don’t introduce security vulnerabilities or other risks to our environment. Having a properly secured corporate Wi-Fi network in place safeguards our investments. 

We've also successfully secured several of our SCADA networks, which were previously not set up in the best way. Our facilities have networks in place to manage operations, including human interface modules that control valves, tank volumes, throughput, and other critical functions. Our SCADA networks are essential for managing these devices. Through our work with Kaco, we identified potential security vulnerabilities in these networks, which have since been resolved.

What were the measurable outcomes from the project that demonstrate progress or success?

The partnership has had a significant positive impact on our organization. Everything runs much more seamlessly than before. Our networks are now properly secured using modern security techniques and best practices, significantly enhancing the security of our control networks across multiple sites.  We are now in a much stronger position to prevent unauthorized access.

With Kaco, we now have full access to all of our systems and we can keep doing whatever we need to operate.  All of our data is ours, and we can access it anytime.  In the past, everything was hidden behind separate tools we could not access. They are not trying to do it all for us. They're trying to be our partner and make our life easier.

As an IT professional, I can now analyze trends, track incoming tickets, and monitor everything happening within our environment. Unlike before, when key information was hidden behind the MSP’s system, we now have complete visibility—no longer restricted by their attempts to protect their own interests or prevent us from transitioning to a different provider. With full access to our environment, we can effectively track all activities, providing a much better solution than what we had previously.

Everyone on their team has been very instrumental in ensuring everything is handled the way it needs to be handled. They have a dedicated team of professionals who help manage projects. They have been consistently responsive. The core team on the ground handling day-to-day work remains stable, while project managers are always ready to step in when necessary to keep things on track and ensure timely delivery. 

With our previous MSP, changes could take 10-12 weeks to happen. Kaco meets our expectations and the timelines we need as a business to function. Having dedicated resources at Kaco is great: there is always someone to talk about different ideas that are happening and who can help position us to grow and continue to improve our environment.  

Their team also always keep me well-informed about what's happening and why. They’re always willing to take the time to explain things, offering insights into different approaches and the reasoning behind them. This ongoing dialogue allows us to learn and grow together as we strengthen our partnership and continuously improve the company’s environment.

What did you find most impressive or unique about this company?

Our previous MSP geared everything they did towards trying to find a way to build more projects, bill more time, and do add-ons. Whenever we had any questions, it would always cost more money. 
  
In my conversations with Kaco, that is never the focus. They want to figure out how to include solutions in their existing services, and they make a lot of continuous improvements within our managed service agreement. Most things would be just part of their day-to-day work with us.  So, I felt like they are our partners versus someone we hired to complete a few tasks.

With Kaco, the focus is always on keeping control in our hands. Other providers pushed their services and tried to take everything over—but Kaco works with us to achieve our goals without getting in the way of how we might want to operate in the future. If, as we grow, we want to bring more IT resources in-house, they will be fully supportive. Their approach has always been about doing what’s right for our firm, not just what’s best for their bottom line.

Are there any areas for improvement or something Kaco Systems could have done differently?

Working with a third party can be challenging, especially when it comes to managing projects that are a top priority for me. An MSP has its own priorities, timelines, and multiple clients to serve, which means their response times can’t always match how quickly I can do a task myself.
 
However, I believe Kaco has done an excellent job of managing my expectations around project timelines. They balance the needs of multiple clients, each with different requirements, and have consistently delivered within realistic timeframes.

I would highly recommend Kaco for any IT needs. They've been a great company to deal with and they've been very open and honest throughout all our interactions.

Kaco has helped us through several different initiatives and continues to provide support on an ongoing basis.

When I first joined our company, the end-user experience was a challenge. The network services at our head office were quite poor specifically.  Kaco came in and conducted a wireless survey that helped us identify the troublesome spots in the office. They made some recommendations on how to use our existing equipment more efficiently to provide a better experience.  We were also having some challenges configuring DNS recently, and their specialists helped us work through those issues quickly and effectively.

They have also consulted with us on where we want to take our technology footprint in its next iteration. For example, right now, we are reaching a point of overutilizing our current network stack. We're not able to push the envelope any further. Kaco has been working with us over the past several months to help define our next hardware standard for both our corporate network and product infrastructure.

Having Kaco’s support adds an important layer of confidence for us. We know they have the expertise to guide us—whether we’re developing something new or exploring unfamiliar territory. 

What I really value is how invested they are in our business’s success. If we bring forward an idea that doesn’t quite make sense for our goals, they’re not afraid to push back thoughtfully. They help us reassess, realign, and find a fit-for-purpose solution that actually meets our needs—both now and in the long run.

Our product is very technology-heavy—so our systems are sensitive to latency. Whenever we’re supporting our customers, and there’s an issue with the Internet, it can have serious downstream effects that impact our ability to provide support and, ultimately, affect our revenue. 

As a result of the partnership with Kaco, we can now support our infrastructure, customers, and staff in a better, more complete fashion. They have filled in the gaps from a senior technical resource perspective and regularly consult with us to help us take things to the next level.

The biggest tangible results we’ve seen are better performance from the networking perspective and addressing areas where Wi-Fi was slow, or coverage was bad. Our organization’s IT team is also stronger for having worked with Kaco. They now have a more well-rounded, holistic understanding of the technology we’re responsible for managing.

Kaco having optimized everything not only creates efficiencies from a human standpoint—we’re no longer sitting around frustrated about the Internet being slow at HQ and unable to complete our tasks—but it also allows us to support our customers more effectively and provide a better experience when managing the technology installed at their sites. 

They are also really great at putting us in touch with the right people to help facilitate critical conversations. This support has been incredibly valuable for me and my team, especially when we're focused on keeping things running smoothly for both our operations and our customers. It saves us time by eliminating the need to do extensive research or reach out to vendors directly.

Kaco’s team is very well-organized, and they always offer complete and thorough documentation. Their project coordination is always well executed, and they have strong time management skills: every project has been on time and budget, and there have even been a couple of instances where we've come under budget and ahead of schedule. They've always put the right people behind the initiative to ensure we meet or exceed deliverables from a business perspective.

Communication has been great. They always respect my time – using Teams and email for most conversations. Any time we need to hop on a call, it's for a very good reason, and investing the time to discuss things with them is always worthwhile.

One of the things that I've always been most impressed by with Kaco is that even when there's no immediate opportunity, they stay in touch and keep me aware of what's happening in the market. I can also continue feeding them information on what the business is up to next. These fruitful conversations have resulted in several new projects. 

The partnership has really been positive for every organization that I've partnered with Kaco. The depth of knowledge that they have available to them is unparalleled. Whether that be a successful project implementation or increased stability from the networking perspective, they're going to be able to help.

I've not met any other consulting group or network experts in the same league, just in terms of their complete understanding of the concepts. We can move forward confidently on projects with them, knowing that we receive the best value and return on our investment.

Kaco is also not the type to just come in, fix something, and leave. They will also show the team why their solution works better and the correct way to do it. They would rather teach someone to fish rather than just provide the fish.

There would be nothing that I would recommend they change at this point. Just keep doing what you guys are doing! In every instance I've seen with them, they've always brought their A-game to the table, whether project management, coordination, skillset, or even just pricing when sourcing network equipment for us. Everyone on Kaco’s team is also great to work with: they're all really friendly and add a personal touch that really goes a long way for me.

Kaco acts as our expert on networks and security. They have significant expertise in the brand we use for all our equipment, from firewalls to switches. They helped us configure everything correctly, securely, and effectively for our performance needs. 
  
For example, previously our users could connect to the network by simply using a username and password, regardless of location. We couldn't ensure they were using a corporately owned device, creating a significant security gap. Kaco is helping us implement a process to authenticate all devices so that corporate devices have full access via VPN while personal devices can connect with limited access.

Overall, we work with them on an ongoing basis to address various operational needs like fixing configuration issues, centralizing system management, and procuring equipment. They also provide support with more complex and strategic projects.

What were the measurable outcomes from the project that demonstrate progress or success?

Before Kaco, we experienced network performance issues, particularly when communicating between Calgary and the countries where we operate - which we depend heavily on for our operations. For example, it would take our employees more than one hour to transfer a 1 GB file from Columbia to Calgary.  Kaco made a big difference, helping us use the same network equipment but configured appropriately. After implementing their solutions, transferring a file of the same size took only five minutes.

At one of our field sites in Colombia, we faced performance problems. Kaco assessed our firewalls and found they were too small for our needs, creating bottlenecks. They also identified single firewalls in critical areas that made us vulnerable to failures.
 
Kaco restructured our setup by installing properly sized equipment and adding redundant firewalls. Now, if one fails or needs an update, operations continue seamlessly.
 
They also optimized our configurations, eliminating unnecessary restrictions that hindered productivity. Since their improvements, our employees have been much happier with the network’s performance and their ability to get work done.

Kaco is always ready to enhance our work environment and remove network performance obstacles that prevent people from getting their jobs done and achieving tasks more effectively.
For example, our network equipment room was once a tangled mess of cabling. Poor organization blocked airflow, making our equipment overheat and perform suboptimal, as well as making it hard to access and manage equipment. Kaco stepped in, optimized our cable management, and transformed the space. The difference was night and day—making maintenance easier, improving performance, and boosting productivity.

Kaco Systems always delivers outstanding results, making my job easier. For example, when working on a recent project, our project manager sent us phenomenal weekly updates that were above and beyond my expectations, clearly outlining everything that was happening and explaining where we were on schedule.

Where they provided the full design, installation, deployment, configuration, with documentation of the network and wireless access points. Their attention to detail allowed YW Calgary to focus on serving our clients without technical problems, having the experience to ensure the final solution was operationalized in time for our relocation back into the completed facility.

The generated a very detailed report and found a number of deficiencies in our infrastructure.  They also had good recommendations on how to improve our system, but more importantly, they gave us good reasons why these improvements were necessary or desirable.

We started working with Kaco around five years ago.

First, Kaco did a comprehensive infrastructure assessment. They audited our entire network infrastructure, licensing, virtualization environment, storage servers, Wi-Fi backup systems, etc. Based on that audit, they developed a three-year roadmap to replace most of our infrastructure. They were also involved in the implementation and provided support during this massive project.

Based on Kaco’s recommendations, we replaced all our switches - with their support on the implementation from start to finish. They also conducted Wi-Fi audits to identify the best placement for access points. We also replaced our storage array, several servers, and other critical infrastructure.

During this partnership, Kaco has also helped us with a big database upgrade for many of the in-house applications our employees use and created a sequel cluster environment to support that project.

RESULTS & FEEDBACK

What were the measurable outcomes from the project that demonstrate progress or success?

Before working with Kaco, our network was quite unstable. We had frequent outages in our network, servers and applications. We support various critical services in the community, so everything really needs to work: our fire department, enforcement services department, taxation, finance, planning, permitting, etc. If an application went offline for half a day, that would affect their ability to perform their work.

After the projects with Kaco, our network and environment are stable. Our building's Wi-Fi performance has been great. We don't have these frequent outages. If there are any problems, we have the failover structure to ensure a server is always online, so users won't ever notice disruptions in their experience.

My team can focus on other things instead of fixing and putting out fires. The organization has a lot more faith in our department. We occasionally hear positive comments about how well the Wi-Fi works—but in IT, no news is typically good news. The lack of complaints now is a win! The organization's staff has noticed increased productivity from the fewer outages and from not having to go back to paper for a few hours while we work to get systems back online.

Also, previously, only one person could handle the networking, creating a major bottleneck and potential point of failure—what would happen if they weren’t around and something went wrong?

Kaco worked with us to develop a solution that is manageable by several people and easier for the team to learn. Now, at least three team members can manage the hardware, and we no longer depend on just one person. And if no one is available on our team, Kaco is willing to be a backup, too: they know the environment and can hop in and help us out if needed.

They did very well with the project management piece. The project stayed within budget and was completed in the three-year plan which we had agreed on.

When we started this project with them, we were assigned a project manager, and we had frequent status meetings with them. We would get a report on the project and how we were advancing.

When we were implementing our roadmap, we had various technical resources assigned to different parts of the project, with experts in the various technologies we were using. We could reach out to them whenever we needed a question or help during the implementation. And they were right there to assist us. That was great in keeping our project on track.

Even though our three-year project has been over for over a year now, I still have monthly meetings with a few team members at Kaco just to touch base and stay connected. What did you find most impressive or unique about this company?

When we were reaching out to providers for this service, Kaco had really good reviews. Other municipalities were using them and had nothing but good things to say.

When we talked to Kaco, we liked that they positioned themselves like a partner, not just a provider who comes in and does an installation and then leaves. They wanted to build a relationship with us, understand our business needs, and continue working with us even after the project was finished.

Now having worked with them, we see this in action: it's nice having someone who knows our challenges and history. They understand our challenges and the environment—why things are built or installed as they are.

During their audit, the Kaco team checked in with team members individually and met with us as a group. They thoroughly identified the issues we were facing, asking questions to determine why we

handled things the way we did. They spent a lot of time investigating the environment and visiting in person, directly looking at everything instead of relying just on remote assessments. Because they work with organizations similar to ours, they can share insights and best practices—and recommend solutions that have worked well in comparable environments. As a result, they can help us faster than if we were always getting in new vendors.
