What challenge were you trying to address with ENGAGENCY?

While we had development capabilities in house, we didn’t have Sitecore development capabilities. We needed a partner that could handle the development requirements for one of our high-profile clients while we handled the UX and visual design portions.

What was the scope of their involvement?

Their team inherited our client’s website, which 2–3 other agencies previously managed. They started with a Sitecore audit to essentially determine the codebase. As part of that, we worked with them to create list of updates and improvements to stabilize the platform. Once they completed that list, their team launched a migration to Sitecore 9.2.

What is the team composition?

On this project, we have one team assigned to us. We work with a project manager and interact with one of their founders. There are also a few developers on the team.

How did you come to work with ENGAGENCY?

We found them through a Google search and then had an initial call. Our philosophies, missions, and processes aligned. That lends to our strong collaboration.

What is the status of this engagement?

We started the project in July 2018 and have an ongoing partnership.

What evidence can you share that demonstrates the impact of the engagement? 

We've had great success with ENGAGENCY. We’ve brought them into other projects, and they’ve pulled us into other projects too. We have a strong, positive engagement. In terms of our first project's success, our client now has a sound Sitecore infrastructure that can be easily maintained and managed by non-technical staff.  

How did ENGAGENCY perform from a project management standpoint?

We work with Heather (Senior Project Manager) who’s on top of the project. She gives us weekly hour reports and updates. If there’s a challenge, she’s proactive in letting us know. We then work together to figure out how we want to position that to the client. They’re responsive and always on time.

What did you find most impressive about them?

They effectively educate people who may not be as knowledgeable about Sitecore. Their team explains concepts well and provides smart recommendations about how best to handle a project.

Are there any areas they could improve?

No. When you’re in an agency partnership and bring another agency into it, you put your reputation on the line. I feel confident in having them support us on any Sitecore project.

Do you have any advice for potential customers?

The audit was critical to understanding what we had to work with. That process was the best way to start the project and to figure out how we would work together.

I’m a senior marketing operations manager in charge of web operations, including the execution of web content and our marketing technology stack, including our CMS. Our company is in the computer software industry, specializing in contact center and call center customer support software.

What challenge were you trying to address with ENGAGENCY?

We needed to replace our web CMS, getting something more updated. There are a lot of variables on the web. We couldn’t even do SEO work on our old CMS. It was outdated technology, so doing SEO work often broke the site. It was a pretty critical project to move over to the new CMS. We went through an RFP and landed on a vendor called Sitecore. We needed implementation and ongoing support for it, and we didn’t have anyone in-house for that.

SOLUTION

What was the scope of their involvement?

The project was split into two phases: moving everything outside of our blog, then moving everything to the new blog. The initial project was bringing over our old CMS to Sitecore. ENGAGENCY developed everything that we needed in Sitecore, and they helped with some of the content migration. They were our lead development firm in getting things put together in Sitecore in order to provide the same look and feel of our current site at the time.

What is the team composition?

It varied based on what we needed. For the initial project, we met with their two founders—their CEO and their chief architect developer—and with a project manager. During the initial Sitecore build, we worked pretty closely with a project manager and one of their co-founders, who was their chief architect developer. Those were our main points of contact pretty consistently throughout the first phase of the project.

Since then, we’ve transitioned to mostly interfacing with a project manager and occasionally with a developer, for discussing more technical things. We still have meetings from time to time with the chief architect co-founder, if she’s involved on the particular project.

How did you come to work with ENGAGENCY?

We discussed options with Sitecore and went through two interviews with implementation partners, neither one of which was ENGAGENCY. We felt they weren’t the right fit for what we were trying to do. We were looking for someone a bit more flexible with the implementation, and for the right size of company relative to us.

Our parent company has a pretty large enterprise footprint, but the scale of our marketing department doesn’t reflect that same size. We needed someone flexible and who could be a good partner for the size we were looking for in terms of implementation and support.

Our Sitecore account person at the time recommended ENGAGENCY as a third option, and we felt they were the right fit as soon as we talked to them. There were some clear differences between the other partners we’d talked to and this one, and we thought they were the right fit.

How much have you invested with them?

The implementation cost $150,000–$200,000.

What is the status of this engagement?

We started meeting with ENGAGENCY in early-2019, and the project began in April or May of that year. We’re still with them today for managed services. They’re basically our lead developer.

I’m the VP of digital and marketing services at a large-scale childcare and employee benefits provider. We have roughly 1,000 childcare centers, including public locations and employer-provided sites. 

In addition, we offer a number of benefits that an employer might offer their employee base such as back-up childcare, early education support, and even tuition assistance programs.

What challenge were you trying to address with ENGAGENCY?

About two years ago, we were in the middle of a major site rebuilt with another agency. We didn’t want to disrupt that particular project, but we needed to get that site out quickly to support our clients.

ENGAGENCY joined the project along with another service provider to help create templates for about a thousand client-specific microsites. Since then, we’ve continued working with ENGAGENCY for Sitecore CMS support.

SOLUTION

What was the scope of their involvement? 

Currently, ENGAGENCY is leading us through a Sitecore architecture update. They collaborate with our internal Sitecore developer as well as our IT staff and digital design agency. Their main focus is to provide backend expertise as we migrate from Sitecore 6.5 all the way up to 9.2. They’ve defined the roadmap, scheduled our milestones, and we’re set to finish within the next couple of weeks.

What is the team composition? 

Heather (Senior Project Manager) is our main point of contact. She’s all I could ask for in a project manager — keeping everyone on track and on task at the same time. Our team also has direct communication with her developers when necessary, just to ensure that nothing gets lost in translation. 

How did you come to work with ENGAGENCY?

Another digital agency we work with introduced us to them. After a few reference calls to check their past clients, we knew that they were exactly what we needed.

What is the status of this engagement?

We’ve worked together since July 2018.

What evidence can you share that demonstrates the impact of the engagement?

We’ve measured the success of each project a little differently. In the first engagement, it was important that they delivered on time and within budget. Our clients were very happy with the microsites, and their employees enjoyed the new look and feel.

Additionally, our internal team was (and still is) charged with updating the site content on a continual basis. Everyone is pleased with how easy it is to make changes. With a templated site, we can support a new client with a microsite in about 10 minutes.

The second project also relies on them to stay on schedule and budget, but it’s really their ability to understand our goals that counts. 

Working with design teams in the past, our CIO and IT team are often skeptical of outside vendors. However, I don’t hear that feedback from my team with ENGAGENCY. Their developers have done their research, and their technical expertise is on point. That means our team can trust their recommendations. 

How did ENGAGENCY perform from a project management standpoint?

I couldn’t say anything other than “outstanding.” Heather is fantastic. She’s so buttoned-up while being willing to work with us whenever we have a schedule change and need to go out of order. She takes those issues back to the team to investigate what they can do on their end. 

In terms of tools, we use ActiveCollab to track and share everything as well as daily standups and weekly meetings.

What did you find most impressive about them?

It’s twofold: their technical expertise is second to none, and I couldn’t ask for more from their project management. Our goals are their goals. In that way, they’re more like an extension of our team than an external vendor. 

Are there any areas they could improve?

No, and I don’t say that very often. Frankly, we’re looking to mirror some of the things they do with their project management.

Do you have any advice for potential customers?

Talk to their current clients, and you’ll hear very similar responses. Over these past two years, our relationship has gotten even better, and that’s definitely thanks to how integral they are to our team. 

It’s best to be honest with them, too. Let them know what your internal troubles might be, and they’ll give you the best recommendations. I’ve seen it pay off in spades.

I’m the senior technical director at a communications agency.

What challenge were you trying to address with ENGAGENCY?

This project is in our placemaking issues group. We have a client who has historical landmarks and museums that they provide to the public, so they needed a web presence. They also have an arm of federal contracting, so they needed a website for that too. 

The IT department had mandated that they use Sitecore as their CMS, but they didn’t have any internal resources to help them with websites. So, they put out an RFP that we responded to, and we won. 

Our company is tech agnostic and we also bring in partner experts for the specific technology, which was Sitecore in this case. We brought on ENGAGENCY to support us on this project.

SOLUTION

What was the scope of their involvement?

We did the UI/UX and content in-house, and ENGAGENCY served as our consultant during the design phase. The team then took our design and built out the Sitecore platform.

What is the team composition?

Their project manager is our primary point of contact. Carla (Co-Founder & Chief Delivery Officer) would pop in when we had questions about architecture. We also connected with their head developer. The project has four phases, and we’ve completed the first three.

I found them through some connections.

So far, we’ve spent around $200,000.

We began the project in November 2019. Phase four is set to launch at the beginning of August.

What evidence can you share that demonstrates the impact of the engagement? 

The federal contracting side launched first, and the client has seen a fairly significant uptick in lead traffic. Their lead generation was minimal with their previous website, now they’re getting about 100 leads per week.

How did ENGAGENCY perform from a project management standpoint?

ENGAGENCY is very easy to work with. Their process is very clear and nothing is left up for interpretation and everything is well-documented. We have weekly calls to make sure we’re on track, and we also set up a Slack channel. In addition to email, ENGAGENCY also uses a ticketing system to capture any issues.

What did you find most impressive about them?

ENGAGENCY cares about producing a quality product even in the areas that aren’t very visible. For example, the IT department was using a different vendor to do some Sitecore work, and the team made some suggestions about the optimization and offered to fix some of the areas without charging extra.

The team has been really concerned with making sure that the client has the best outcome, no matter whose fault the mistake was. 

Are there any areas they could improve?

It has been a great experience, which is unique for a website development project. The only thing that was an issue is that the team was rigid in terms of when they would do production deployments. 

They wouldn’t do any deployments outside of business hours, and they have valid reasons for that. However, my client requires production deployments to be done outside of business hours. So, we had to find a creative way to make it work. It worked, but it wasn’t optimal.

Do you have any advice for potential customers?

One thing that we did that worked out well was to have ENGAGENCY explain the rationale and reasoning behind decisions along the way. The team is very thoughtful and they process everything internally.

Not only has this been helpful in that I can understand it and explain it to my clients, but it has also allowed me to understand the inner workings of Sitecore and how it works. The team has been very gracious to explain things.

Additionally, they stick very close to the scope that you agree upon and there’s very little wiggle room, so make sure that, in the beginning, you either leave yourself some wiggle room or that you include everything that you need in the scope.

I work for an insurance broker firm. We broker employee benefits and organize group health plans and our team services departments across the nation and helps them build proprietary business solutions.

What challenge were you trying to address with ENGAGENCY?

The organization offers a mobile method for employee groups to engage their benefits package. So their HR department would instruct them to download an app that our company would maintain. That app was successful for a period of time, but as demand rose, our existing platform wasn’t meeting their needs.

SOLUTION

What was the scope of their involvement?

They built an entirely new web and mobile app for iOS and Android. During requirements gathering, we took a lot of what existed and they brought a lot of insight into what other projects have been successful. Then they married that together.

When I came onto the team, it was clear that ENGAGENCY could take us where we wanted to go. We needed an employee engagement platform with educational resources. It helped HR professionals direct their team to various resources and allowed users to become their own health care advocates.

How did you come to work with ENGAGENCY?

I wasn’t on the team during the search process, but from what I know, they were chosen for their leadership and expertise. That was a big win for our organization.

We started working together in July 2017 and our partnership is ongoing.

What evidence can you share that demonstrates the impact of the engagement? 

Our user population’s satisfaction has definitely increased — both our clients and their employees like the app. There is a registration process, and the number of registrants far exceeds the first version of the app. There is great user engagement at all levels.

Our users, who aren’t always tech-savvy, understand the platform much better. Before, it took 4–5 hours to build a new site, and with ENGAGENCY, it now takes about an hour. It definitely reflects how they took our minimum requirements and exceeded our expectations.

How did ENGAGENCY perform from a project management standpoint?

Whenever we receive feedback or requests for enhancement, we’re able to pivot quickly. It has been so easy to connect with them. Ultimately, if there’s a bug, they’ve been able to fix it. Project management has been great. They’ve been able to marry all of our random requests. Our project manager as done a great job pulling everything together so we can pitch that to our powers that be. Her ability to think on the fly and help us troubleshoot things has been great and super helpful.

What did you find most impressive about them?

I loved working with ENGAGENCY because the developers are creative. In the past, there has been a disconnect between me and other developers I’ve worked with.  It was intimidating to ask what else was possible and I felt like I needed to ask things in a certain way.  With ENGAGENCY, that has never been an issue; I feel like they’re part of my team. They’re like direct coworkers and colleagues.

Are there any areas they could improve?

The only thing I can think of is that I’d love to have some additional time with our developers. Of course, when we work with them directly, we’re in the nitty-gritty of an issue that needs to be fleshed out.

Do you have any advice for potential customers?

Come prepared with your biggest and most desired goals and leave the door open for possibility. Don’t get too hung up on what you’re hearing. Often, we’re looking to fix a problem immediately, but ENGAGENCY’s biggest strength is their imagination and creativity.

I’m the senior web developer at Lifesize, a telecom company. We design and manufacture videoconferencing equipment for businesses, and I develop web pages for the marketing department.

OPPORTUNITY / CHALLENGE

What challenge were you trying to address with ENGAGENCY?

We were building a new frontend for the site, so we wanted a local agency that we could work closely with us. At the time, I was our only Sitecore developer, and I needed someone with a lot more experience and who could scale up when we needed it. Another company did the actual design, but they didn’t have any Sitecore experience, which made us look elsewhere.

SOLUTION

What was the scope of their involvement?

We gave them the designs from our other provider, and they started producing the Sitecore components that we needed. They put the design on our staging server, then we made internal reviews and sent any changes to them. Generally, it went smoothly. We made a couple of new sections as part of the redesign.

We’ve continued to work with them after that, for 20–40 hours per month, with reserve hours for help with whatever we need. Our other projects include moving our backend from internal hosting to Rackspace, and then a couple of years later, from Rackspace to AWS. We worked with them on rolling out another complicated section after that.

What is the team composition?

We’ve typically worked with three people from their team, including Jeremy (Chief Sitecore Support Engineer, ENGAGENCY). We always had a project manager, originally Carla (Co-Founder, Chief Delivery Officer, ENGAGENCY) and now Heather (Senior Project Manager, ENGAGENCY), to help schedule Jeremy’s time or that of any other resources we needed. That included some of their frontend people and an analytics person. We communicate at least a few times a week, with a weekly recap meeting. We can also reach out whenever we feel like it. For instance, this morning we messaged Jeremy for advice on form integrations and he’s already replied. They’re integrated into our systems, so they see anything we assign to them and put it in their schedule.

We regularly see Carla and Jason (President and CEO, ENGAGENCY) at Sitecore conferences and we get lunch with them at least once a year. It’s fun to stay connected with them.

How did you come to work with ENGAGENCY?

We’d worked with remote teams until we had a new project for which we wanted to work with a local team. We wanted someone local to help us train new developers, so we asked around. ENGAGENCY had some of the highest ratings and best-looking projects.

What is the status of this engagement?

We started working with them in 2015, and the work is ongoing.

What evidence can you share that demonstrates the impact of the engagement?

Everyone was happy with their first project, the redesign, and we hit the timeline on it. On countless occasions after that, they’ve built small features that we needed in a hurry, on a week-to-week and month-to-month basis. However, the bigger projects are the ones that stick out: the AWS and Rackspace moves were critical, and ENGAGENCY has been critical for a lot of our backend work, including server setups and maintenance. With AWS, there was a lot of new information I’d have had to learn, but they were able to do that for us. The move saved us a lot of money since much of the company was already on AWS.

How did ENGAGENCY perform from a project management standpoint?

We always have a dedicated project manager, and Jeremy tracks every hour of his work. If we have any issues with our website, we send them to him, as the expert. They’re good at looking ahead and scheduling what will be needed. Their project manager goes over tickets and loops them into their process.

What did you find most impressive about them?

They’re awesome at what they do, but they’re also friendly and genuine. It’s a pleasure to work with them. They marry skill to good customer service.

Are there any areas they could improve?

They’re already improving in scaling up. We’ve recently had a project with Jay (Analyst, ENGAGENCY), who’s more of a recent addition as when we started working with them, they were just focused on development. That’s been good to see, as well as useful for us. It will make them even stronger and put them in a better position. We’ve never really had issues with needing more personnel than they can provide, but we’re also a smaller website.

Do you have any advice for future clients of theirs?

Make them a part of your team—the closer they’re integrated, the better the experience will be. Many agencies just work with what clients provide, but it doesn’t have to be like that with ENGAGENCY. Everything moves quickly, so it’s essential to adapt to changes, have weekly check-ins, and get them integrated into task management systems. That will really accelerate the project and collaboration.

What challenge were you trying to address with ENGAGENCY?

We wanted to re-platform our website using a Sitecore CMS, but did not have the internal capacity to do so. Our team needed a development partner that could also do monthly fixes and maintenance for the platform.

What was the scope of their involvement?

The partnership started with an onboarding phase. ENGAGENCY then audited our website and delivered iterative implementation plans for 30–90-day timelines. We had calls with 3–4 team members, met in person for deep-dive analysis, and did subsequent follow-up calls to clarify work around the audits. The calls dropped as we moved further into monitoring and maintenance. We now have a monthly subscription for maintenance and development.

We didn’t have a dedicated person on staff to update or maintain the website. We also needed someone to upgrade our Sitecore CMS and implement a new cloud platform.

What was the scope of their involvement?

ENGAGENCY has worked on numerous projects for our company. Most recently, they updated our Sitecore CMS. They also created a video module for our platform and worked with a third-party partner to ensure our site was ADA compliant. They also run our testing procedures, providing timelines for all the work they do. We plan to use them to move our servers in the next few months.

What evidence can you share that demonstrates the impact of the engagement?

The video module they created was fantastic. We wouldn’t still be their partner if they didn’t do good work.

How did ENGAGENCY perform from a project management standpoint?

They use the Mantis ticketing system to assign team members work. We can use it to write notes, get reports, and catalog tasks. They also provide email updates about what’s getting done, and we can email directly if needed. We also can go straight into the system to check the status of any work. They do great work and always follow up.

What did you find most impressive about them?

They have an efficient workflow and can handle lots of work. They stay on top of their tasks and build products that make our jobs easier. They manage themselves and their clients well, and they’re incredibly organized.

No, I can't name anything specific.

Get an estimate of how much your partnership will cost, and they’ll stick pretty close to it.

I’m the technology program manager for an early-childhood education provider.

OPPORTUNITY / CHALLENGE

What challenge were you trying to address with ENGAGENCY?

We needed management and administration services for our external customer-facing websites. Our relationship with our previous vendor didn’t work out due to lack of communication and transparency. As a result, the knowledge of how to update and maintain our sites was entirely external. 

We wanted to bring the testing, maintenance, and update services back in-house. We brought in ENGAGENCY to help us with the transition using their engineering and development expertise.

SOLUTION

What was the scope of their involvement?

ENGAGENCY reverse-engineered our site’s maintenance and update release set-up with virtually no documentation from our previous vendor. They helped us create documentation from scratch.

The team then worked with us to build a roadmap towards bringing our development, QA, and release management process back in-house. ENGAGENCY helped define what capabilities we needed to develop. They also guided to better leverage our investment in Sitecore through an audit of our Sitecore implementation. The results helped us determine which areas required fixes, updates, or modifications. 

One process we’re changing is how we address routine changes. We want staff members to be able to adjust graphics and other elements directly without developer intervention. ENGAGENCY also determined that we’re running an older version of Sitecore that lacks official support in AWS; we plan on updating the CMS shortly.

The engagement began by talking with ENGAGENCY’s founders to put together a contract and a statement of work. We then worked with their client account management team to onboard key engineering resources from their end. Jeremy (Chief Sitecore Support Engineer, ENGAGENCY) has worked extra hard to help make the transition. We’ve also worked with two account managers non-concurrently.
 
How did you come to work with ENGAGENCY?

Sitecore recommended their team to us. They described ENGAGENCY as a good fit for the problems we were trying to resolve. Our VP of IT infrastructure reached out to Jason (President and CEO, ENGAGENCY), and the conversation began from there.
  
What is the status of this engagement?

We brought in ENGAGENCY formally in August 2018, and our combined teams took over management of the sites fully in mid-December 2018. The partnership is ongoing.

What evidence can you share that demonstrates the impact of the engagement?

Our combined teams took over management of the sites fully in mid-December 2018. They are now more reliable, and we have greater visibility into their backend. Previously, unplanned outages took days to figure out the root issue. Now we can find the exact cause easily with our monitoring system.

We also gained control over our QA process and release management. Our teams understand the technical integration touchpoints—previously assumed to be black boxes—within our system and can anticipate the impact of a change or dependency. ENGAGENCY helped us develop tasks to undertake in the future to improve the site’s reliability and user-friendliness.

How did ENGAGENCY perform from a project management standpoint?

We use a Smartsheet to identify all the tasks in the project scope. Once we conducted a knowledge transfer and a migration strategy with our previous vendor, we executed the transition project. Our collaboration has run smoothly since that kickoff point.
 
What did you find most impressive about them?

ENGAGENCY is very collaborative and client-centric. They work hard and have a can-do attitude. Reliable and experienced, their team can guide us through each process and help us prioritize improvements going forward. We feel assured and at ease with ENGAGENCY at the helm of our project.

Are there any areas they could improve?

Our time zone differences sometimes force them to do late meetings with us, but ENGAGENCY is willing to accommodate our schedule and our needs.
 
Do you have any advice for future clients of theirs?

Start small and set realistic goals. Plan as much in advance as possible so that ENGAGENCY can meet your expectations as closely as possible.

What challenge were you trying to address with ENGAGENCY?

We currently have our website on Sitecore 7.2. We want to upgrade to the latest version and bring over all our microsites to Sitecore.

What was the scope of their involvement?

ENGAGENCY worked on our new University Children’s Health website. First, they were just working on development but later on the project they helped us make some improvements to web design. We’re planning to upgrade our Sitecore instance to the latest version on the upcoming months.

What evidence can you share that demonstrates the impact of the engagement?

The Children’s site now has modules that will help us save time and be consistent across our different sites, once we upgrade to the latest Sitecore version.

How did ENGAGENCY perform from a project management standpoint?

We meet every two weeks, and our communication became more regular as we were getting close to the launch. We usually communicate by phone and email. They provide regular progress reports, and we use Mantis Bug Tracker to address site issues.

What did you find most impressive about them?

They're very honest and transparent. They're also very responsive and receptive to feedback.

Are there any areas they could improve?

Their company is growing, so we hope they will soon be a one-stop shop for all of our needs. That way they'll be able to provide even more feedback on the things we can improve.
