We used dotLinkers as an agency when we were starting our new entity.

dotLinkers provided us with recruiting services. We provided them with the job descriptions and other specific information about the role. They analyzed potential candidates and relayed relevant materials, like candidates’ CVs, salary requirements, and experiences. 

From there, we’d conduct candidate interviews ourselves. We conducted technical interviews and provided dotLinkers with some feedback on the candidates they provided. Once offers were signed for the candidates dotLinkers sent to us, we relayed the information back to them.

We worked with Natalia (IT Recruitment Project Manager) and one other teammate.

We accidentally came across dotLinkers — they contacted our VP, who wanted to expand our business.

We paid dotLinkers $48 per hour, for a total of $6,000–$10,000. 

What is the status of this engagement?

Our engagement with dotLinkers was from July 2021–April 2022.

What evidence can you share that demonstrates the impact of the engagement? 

Since our company was growing, we’ve decided to hire an internal recruitment team, but if our projects expand, we may hire them again. dotLinkers has helped us expand into Poland, which was our goal. The first few candidates we hired in Poland were provided by dotLinkers; we hired 10 teammates through dotLinkers. They did a good job filling the positions that were difficult to fill. 

How did dotLinkers perform from a project management standpoint?

Our cooperation with dotLinkers was very good — we had weekly calls with Natalia, where she was very transparent and clear about the project. When we had no candidates around the holiday season, she was very transparent about it instead of hiding it. We mostly communicated through Google Meet and emails. 

What did you find most impressive about them?

I can’t say anything specific that makes them stand out from other agencies in Poland.

No, they did a good job.

What challenge were you trying to address with dotLinkers?

We needed help with HR services.

SOLUTION

What was the scope of their involvement?

dotLinkers provided recruitment services for us; they did the prescreening and sourcing for candidates based on that and were involved in catchups with the hiring managers. They were able to ask questions and calibrate the profiles and the search.

The recruiters were responsible for sourcing the candidates, walking them through the process, scheduling the interviews, extending offers, and negotiating the proposals with the candidates. We were mainly looking for backend engineers using Java which is super popular and hard to get talent.

What is the team composition?

We worked with two recruiters and their manager, and as our needs changed, they brought extra to help with the sourcing and recruiting through a fourth person.

How did you come to work with dotLinkers?

I had worked with them before, and I reached out to one of the co-owners to see if they could help us with this project.

We had another agency we were considering, but after comparing the offers and level of service, we decided to go with dotLinkers.

What is the status of this engagement?

We worked together from September 2019–January 2022.

What evidence can you share that demonstrates the impact of the engagement?

It was challenging for recruiters supporting us because we set our bar very high, but they did an amazing job and worked very hard. It was constant collaboration and feedback from them where they were giving us insights into the market.

Overall, the new teammates they resourced for us integrated very well into our company — there wasn’t a difference between their candidates and ours.

How did dotLinkers perform from a project management standpoint?

I try to make them part of the team to make them feel successful and motivated. They acted as a normal team member of our company; we had weekly catchups and communicated mainly on Slack and email.

What did you find most impressive about them?

The recruiters were engaged and committed.

Do you have any advice for potential customers?

Be honest about what you’re looking for; be precise and vocal about it. We had a situation when one of the recruiters wasn’t very professional with English, and it wasn’t working well for us. We gave that feedback, and we got someone else who was better at English.

We used dotLinkers' services for a number of positions in our engineering department in Poland. Our goal was to recruit experienced senior engineers that would fit our company culture and stay with us long term.

How did you select this vendor and what were the deciding factors?

Through a referral. The deciding factor was dotLinkers' focus on helping startups and their unique pre-screening process which saves us a lot of time and produces good quality CVs.

A few successful long term high quality hires.

Their workflow is very good, and they're reliable and transparent. Timely on-going feedback and process oversight.

What did you find most impressive or unique about this company?

They did a lot of research and screening of our business to understand our core values and approach to be able to start 'selling' Gabi as a great workplace early in the process which is very important for the overall conversion in the hiring funnel. It also helped us eliminate the majority of non-fitting candidates to save time.

Are there any areas for improvement or something they could have done differently?

We would appreciate more incoming CVs, but we also realize how hard it is to find good quality candidates on the Polish market nowadays.

I’m the COO of ThreatMark, a software company. We’ve built a security software solution that we sell to the financial services industry, mainly banks. These days, we have around 120 people. The company started in the Czech Republic, and it has grown. We’re now hiring people in the US.

What challenge were you trying to address with dotLinkers?

Nowadays, finding skilled people is challenging, especially for engineering positions. Also, getting them is hard because the offerings are much higher than the people available. We were trying to scale and search through Europe because we heard the Polish market was good. In summary, our goal was to find good engineers abroad.

SOLUTION

What was the scope of their involvement?

dotLinkers provided recruitment services for one specific position. Initially, we had a session where we described the basics of our company: our key selling points, how our product worked, what we believed was attractive for candidates, and so on. They used several recruiters because we initially thought we’d hire nine people. In the end, we only hired one, but we got 23 candidates.

While doing the screening, we received the CVs and the screening output. dotLinkers were very active until the point of signing the contract. Onboarding was up to us; we didn’t expect them to participate in that.

We had a dedicated point of contact; she was the recruitment project manager.

How did you come to work with dotLinkers?

We searched on Google and found them as one of the agencies operating in the Polish market. We selected three Polish agencies and had a call with them. Our experience with dotLinkers made us feel that they could do the job.

We spent around €19,000 (approximately $19,000 USD).

What is the status of this engagement?

Our hiring wave took about three and a half months, from March–June 2022. We’re still in contact, but we’re not actively searching for candidates right now.

What evidence can you share that demonstrates the impact of the engagement?

They succeeded in finding people and convincing them to apply for the job. They sent 23 suitable candidates, many of whom went into deeper discussions and considered our job offer. Moreover, we were surprised with the level of the candidates, which was really high. It confirmed that the Polish market is strong when it comes to engineers. 

How did dotLinkers perform from a project management standpoint?

We had weekly synchronized meetings to go through the candidates and their status. They were really organized, and our project manager was always on time. We mainly communicated via emails.

What did you find most impressive about them?

Their ability to deliver good candidates was their most surprising skill. They delivered motivated and highly skilled candidates — their level was definitely higher than we’d experienced before in the tech market.

I have no specific improvement suggestions.

Spend time explaining what’s great about your company and why people should work for you. Candidates pay great attention to this, so check if they understand and can sell that message.

The company has been recommended to me by friend of mine. Additionally, they have very strong brand awareness in the IT industry, which was another strong factor.

They always start with processes review and understanding of the company culture, then a couple of different scenarios is being proposed to the client. You can pick and choose between these strategies as needed, you can always change your original choice. We decided to have on-site recruiters.

We had 3 dedicated on-site recruiters and 1 account manager supporting us remotely.

Can you share any outcomes from the engagement that demonstrate progress or success?

We received initial candidates resumes very quickly with impressive match of their skills with our exact needs. People who were helping us on-site decided to do initial telephone screening and after that scheduled technical interviews in our office or online based on candidate preference. We hired couple of very dedicated and talented folks.

How effective was the workflow between your team and theirs?

Very effective - no delays, prompt answers to all kind of querries. The dotLinkers team was proactive, open, and flexible. They can easily work on their own when needed, but at the same time they are integrating with existing team seamlessly.

What did you find most impressive or unique about this company?

Fantastic process and goal-oriented approach. No fluff, no fancy power points only raw delivery of what has been agreed. More action less talking.

We used to have a recruitment process outsourcing vendor (RPO) that supported us in filling IT positions, but that cooperation wasn’t very successful in terms of those goals.

SOLUTION

What was the scope of their involvement?

They provide recruitment services to fill all our IT positions, handling the process from end to end. First, they are given a batch of overdue positions. dotLinkers puts out postings with our requirements and then handles the intake and screening before presenting candidates to managers. dotLinkers is not involved in the interview process at all, but they do discuss the salary and benefits package with the candidates.

What is the team composition?

We have one contact person, Natalia (Senior Technical Recruiter), but we sometimes have calls with an additional resource that supports Natalia in delivering candidates and having strategic dicussions. 90% of the time, however, we’re working with Natalia.

How did you come to work with dotLinkers?

I reached out to them based on information from my network, as well as my previous experience with the owner. The owner of the company had worked with me in a recruitment agency in the past when we started our careers. I found out that he founded a recruitment agency specializing in IT positions, so we invited them to an on-site meeting. They presented their take on our market and network. They were the best option out of four options in total.

We’ve been working with them since January 2022.

What evidence can you share that demonstrates the impact of the engagement? 

What I really value in terms of our cooperation is that they are very transparent and honest, as well as knowledgeable. I can always count on their honest feedback whenever I share a new position with them. They highlight any challenges they see right away, so I’m never disappointed. Not every project is perfect, but communication is key.

How did dotLinkers perform from a project management standpoint?

We typically communicate over weekly update calls.

What did you find most impressive about them?

They deliver candidates very quickly, and they’re of very good quality. We have difficult requirements for our resources, as we require knowledge of German and coding in a German environment, and dotLinkers has managed to deliver all our needs. Their honesty stands out.

Pricing can always be better for the clients, but we’re highly satisfied with them.

dotLinkers performs very well, and they’re very organized. We use Lever as our recruitment platform, and we communicate via Zoom and Slack.

dotLinkers’ team is fantastic; they understand our needs very well and know the market better than we do. How did you select this vendor and what were the deciding factors?

dotLinkers were recommended to me from a friend, we had a relation with them in the past.

dotLinkers helped us massively speed up recruitment process, allowing my team to grow from 5 to 9 people, by finding right candidates in a very competitive Warsaw IT market. Our budget was tight, yet they managed to find interesting candidates to stay within limits. Every CV we got was spot on, and they really took time to understand what our positions were about (and we were recruiting for a non-standard roles, like Machine Learning Operations Engineer).

I had a direct contact with Piotr Ziaja, and I think a couple of recruiters were involved, but I don't know exact number.

Can you share any outcomes from the project that demonstrate progress or success?

We managed to almost double the size of the team (5->9) in 4 months.

How effective was the workflow between your team and theirs?

It was really open and based on transparency and proper communication. Our needs were well understood, we also held weekly meetings to track the progress.

What did you find most impressive or unique about this company?

They really took the time to understand our roles, and I think that was pretty unique in the market. I've never had an hour call about the position I'm recruiting for before, and you can really see the result of that - literally every CV was a good fit and it saved us a lot of time we spent in the past on screening and rejecting bad candidates.

Are there any areas for improvement or something they could have done differently?

Not really, I think it was close to ideal. There was a bit of a mess around offer names, but I think it was really caused on our side as we had to change a couple of offer titles to adapt to what was on the market, and that probably wasn't communicated to dotLinkers properly. But Piotr proposed a call and it was all clarified as soon as the issue was identified.
