I’m the COO of ThreatMark, a software company. We’ve built a security software solution that we sell to the financial services industry, mainly banks. These days, we have around 120 people. The company started in the Czech Republic, and it has grown. We’re now hiring people in the US.
OPPORTUNITY / CHALLENGE
What challenge were you trying to address with dotLinkers?
Nowadays, finding skilled people is challenging, especially for engineering positions. Also, getting them is hard because the offerings are much higher than the people available. We were trying to scale and search through Europe because we heard the Polish market was good. In summary, our goal was to find good engineers abroad.
SOLUTION
What was the scope of their involvement?
dotLinkers provided recruitment services for one specific position. Initially, we had a session where we described the basics of our company: our key selling points, how our product worked, what we believed was attractive for candidates, and so on. They used several recruiters because we initially thought we’d hire nine people. In the end, we only hired one, but we got 23 candidates.
While doing the screening, we received the CVs and the screening output. dotLinkers were very active until the point of signing the contract. Onboarding was up to us; we didn’t expect them to participate in that.
What is the team composition?
We had a dedicated point of contact; she was the recruitment project manager.
How did you come to work with dotLinkers?
We searched on Google and found them as one of the agencies operating in the Polish market. We selected three Polish agencies and had a call with them. Our experience with dotLinkers made us feel that they could do the job.
How much have you invested with them?
We spent around €19,000 (approximately $19,000 USD).
What is the status of this engagement?
Our hiring wave took about three and a half months, from March–June 2022. We’re still in contact, but we’re not actively searching for candidates right now.

What evidence can you share that demonstrates the impact of the engagement?
They succeeded in finding people and convincing them to apply for the job. They sent 23 suitable candidates, many of whom went into deeper discussions and considered our job offer. Moreover, we were surprised with the level of the candidates, which was really high. It confirmed that the Polish market is strong when it comes to engineers.
How did dotLinkers perform from a project management standpoint?
We had weekly synchronized meetings to go through the candidates and their status. They were really organized, and our project manager was always on time. We mainly communicated via emails.
What did you find most impressive about them?
Their ability to deliver good candidates was their most surprising skill. They delivered motivated and highly skilled candidates — their level was definitely higher than we’d experienced before in the tech market.

We used to have a recruitment process outsourcing vendor (RPO) that supported us in filling IT positions, but that cooperation wasn’t very successful in terms of those goals.

What was the scope of their involvement?
They provide recruitment services to fill all our IT positions, handling the process from end to end. First, they are given a batch of overdue positions. dotLinkers puts out postings with our requirements and then handles the intake and screening before presenting candidates to managers. dotLinkers is not involved in the interview process at all, but they do discuss the salary and benefits package with the candidates.
What is the team composition?
We have one contact person, Natalia (Senior Technical Recruiter), but we sometimes have calls with an additional resource that supports Natalia in delivering candidates and having strategic dicussions. 90% of the time, however, we’re working with Natalia.
How did you come to work with dotLinkers?
I reached out to them based on information from my network, as well as my previous experience with the owner. The owner of the company had worked with me in a recruitment agency in the past when we started our careers. I found out that he founded a recruitment agency specializing in IT positions, so we invited them to an on-site meeting. They presented their take on our market and network. They were the best option out of four options in total.

We’ve been working with them since January 2022.

What evidence can you share that demonstrates the impact of the engagement?
What I really value in terms of our cooperation is that they are very transparent and honest, as well as knowledgeable. I can always count on their honest feedback whenever I share a new position with them. They highlight any challenges they see right away, so I’m never disappointed. Not every project is perfect, but communication is key.

We typically communicate over weekly update calls.

They really took the time to understand our roles, and I think that was pretty unique in the market. I've never had an hour call about the position I'm recruiting for before, and you can really see the result of that - literally every CV was a good fit and it saved us a lot of time we spent in the past on screening and rejecting bad candidates.
Are there any areas for improvement or something they could have done differently?
Not really, I think it was close to ideal. There was a bit of a mess around offer names, but I think it was really caused on our side as we had to change a couple of offer titles to adapt to what was on the market, and that probably wasn't communicated to dotLinkers properly. But Piotr proposed a call and it was all clarified as soon as the issue was identified.
