DBot built a fully custom ERP system from the ground up to support our unique business model. The system manages our entire operation, from purchasing and inventory to order fulfillment and shipping, for over 40,000 unique lots of LEGO® parts in our warehouse. It’s integrated with online marketplaces, such as BrickLink, BrickOwl, and eBay, allowing us to sync listings, track sales, and manage stock in real-time.

Key deliverables included:

What were the measurable outcomes from the project that demonstrate progress or success?

The new system streamlined our daily operations. We reduced manual work, sped up order processing by around 40%, and improved stock accuracy across 40,000+ lots. Real-time marketplace sync now keeps our listings up to date automatically, which has made sales more consistent and customer issues far less frequent.

The whole project includes a payroll engine that's officially certified in germany as well as a software layer around it, to automate most of the payroll account tasks currently covered by human labor.
Part 1 (this project) includes:

• the technical foundations for the software layer (especially transparency/auditability as well as security issues)
• the first two modules of this software layer (data input)
• a prototype for a payroll engine with which we can start the certification process

What were the measurable outcomes from the project that demonstrate progress or success?

Foundational work was finished and the prototype delivered.

We're now continuing work with the next part and start to implement the system in real life processes for further development.

They were easily available and quickly responded to any issues that appeared. Communication was always fast and reliable.

They also focused intensively on understanding the business problem behind the application and thus made meaningful suggestions and anticipated problems during the development process.

As mentioned before - they really engaged in the question "What is this supposed to achieve in the end?" instead of only focusing on "What does he want us to build?".  That was very helpful during the whole process!

We started with brainstorming together the idea to create a self-service web application for customers, who can do the CSRD sustainability report by themself. First milestone was to talk about the final architecture, web application (cloud) or on-prem solution. So DBot did a comparison of the solutions with all the pro's and con's.Next deliverable was the Figma prototype. We talked about the design, the elements, the navigation and so on.After that we defined the MVP and the scope for that. So the team build the MVP on a local system first.After testing, DBot implemented the platform on Cloud (Azure) and finalised the prototype. In the next step, they did the user acceptance test. Everything was well documentated and they did a lot of work for improvements. After that, we did the final launch and roll out. After that DBot helped and supported me for doing the marketing, SEO, SEM and ads on Google.

What were the measurable outcomes from the project that demonstrate progress or success?

They organized a regular weekly meeting. Everything was well communicated and documented. They worked in a strict agile way, so everybody knows who was working on what and what issues where highly prioritized for the next sprint.

As the biggest outcomes I see the result of the architecture decission which is very important for the future stability and maintibility of the platform. 

The MVP and prototype showed me the weakpoints of the product and what we have to fix urgently. 

The UAT was perfect to optimize the UI and UX for our product and make sure, our clients will use it with joy.

The AI supported chatbot who helps the user through the report was successfully implemented and well accepted by our clients.

The successfully launch of the platform and huge cost savings for us was a win win situation.

We had regular meetings. I had contact mostly with one single contact person. They had some delays with the development because of a heavy employee change. The handover to the new person was well organized, but took some time. The respond was most of the time very quickly - the person I worked with mostly was also based in Germany and we met on-site and face to face, which accelerate the whole project process. The Project Management team is fluent in German and English.

What did you find most impressive or unique about this company?

They have people in Germany, some parts of Europe and Thailand. They are very international and they speak almost every language. The project management is fluent in German and English. The value for cost is amazing. We saved a lot of money while working with them. At the same time, DBot is highly committed to the project and our happiness.

Are there any areas for improvement or something DBot could have done differently?

They can definetly improve the speed of development and try to reach the deadlines better. They well communicated the delay, of course, but this is also the questions of time and costs. They also have no designers at the company. They hired the designer from another company, which can be improved for more one-hand-solutions.

Dbot first analyzed our IT landscape and applications. They build a plan which applications are really necessary for our business continuety and which are not. They then helped us with the optimization of our self build web apps, as we lost our main software engineer. Together we trasformed our old legacy software and web application to newer languages and platforms with modern code. In the end we saved money in terms of less needed licences and applications. Dbot optimized our applications in the area of speed, availability and security.

The aren't always on time with the milestones and delivery, but they communicate the project delay upfront. We had in a weekly manner virtual meetings, where problems were a topic. The overall communication was always good, we could have a talk via MS Teams or Email or WhatsApp. The response rate was also on time.

They always found a solution for most problems. They were committed always and also on the weekend we had a talk if necessary. The value for the costs were amazing, no hidden prices or surpises.

The committment is high, but it would be nice to have more senior developers who should worked with us. Also the project delay can be optimized, but the reason was a change of the developer within DBot in our project period.
