I'm a department head at Paradox Bricks, a creative agency specializing in custom corporate gifts that help businesses elevate their branding, engage clients, and create unforgettable experiences.

What challenge were you trying to address with DBot?

We needed to build an MVP quickly and cost-effectively. Our biggest concern was that if we hired a freelancer, we might not get something of great quality. We also needed to ensure that the MVP could become a real digital product later for our business.

What was the scope of work done?

We started with an ideation workshop with DBot to ensure we had a good understanding of what we needed to build and what features were mandatory for the MVP. After agreeing on the scope, development began. We were assigned a project manager and three developers, including one frontend developer and two backend developers.

The MVP included a text input feature, similar to a chatbot, that guided users through a set of questions. Based on the answers, it would come up with a concept for a marketing initiative. We used this internally for our team and for external customers.

RESULTS & FEEDBACK

What evidence can you share that demonstrates the impact of the engagement?

We received weekly updates, and within five weeks, we had the first working prototype. The results were fantastic because the MVP sped up our internal processes significantly. We could deliver ideas to clients much faster. As a next step, clients could even brainstorm ideas by themselves.

We saw a reduction of around 60–70% in the time it took to complete new projects. The turnaround time for initial concept designs improved. We could now produce concepts in around 3–5 hours, whereas it previously took 2–3 days.

How did DBot perform from a project management standpoint?

DBot’s project management was very structured and transparent. We had weekly check-ins where progress was presented, and if changes were necessary, they were implemented immediately. The project manager reached out occasionally if something wasn’t clear to the team. This ensured that we were always aligned and working toward the business goal.

What did you find most impressive about them?

DBot had top-notch communication and was very proactive. The team had a strong desire to understand our needs. It didn’t feel like we were talking to software engineers; it felt more like we were talking to actual businesspeople.

Are there any areas they could improve?

What we all missed at the beginning was the integration part into our existing systems. We only realized later in the project that this was an important part. Even though we spent a lot of time clarifying the scope, we still missed something on both sides. The MVP wouldn’t run as a standalone tool in the long term, so we wanted to integrate it into our existing software tools, such as email and billing.

Describe the scope of work in detail. Please include a summary of key deliverables.

We started with brainstorming together the idea to create a self-service web application for customers, who can do the CSRD sustainability report by themself. First milestone was to talk about the final architecture, web application (cloud) or on-prem solution. So DBot did a comparison of the solutions with all the pro's and con's.Next deliverable was the Figma prototype. We talked about the design, the elements, the navigation and so on.After that we defined the MVP and the scope for that. So the team build the MVP on a local system first.After testing, DBot implemented the platform on Cloud (Azure) and finalised the prototype. In the next step, they did the user acceptance test. Everything was well documentated and they did a lot of work for improvements. After that, we did the final launch and roll out. After that DBot helped and supported me for doing the marketing, SEO, SEM and ads on Google.

What were the measurable outcomes from the project that demonstrate progress or success?

They organized a regular weekly meeting. Everything was well communicated and documented. They worked in a strict agile way, so everybody knows who was working on what and what issues where highly prioritized for the next sprint.

As the biggest outcomes I see the result of the architecture decission which is very important for the future stability and maintibility of the platform. 

The MVP and prototype showed me the weakpoints of the product and what we have to fix urgently. 

The UAT was perfect to optimize the UI and UX for our product and make sure, our clients will use it with joy.

The AI supported chatbot who helps the user through the report was successfully implemented and well accepted by our clients.

The successfully launch of the platform and huge cost savings for us was a win win situation.

Describe their project management. Did they deliver items on time? How did they respond to your needs?

We had regular meetings. I had contact mostly with one single contact person. They had some delays with the development because of a heavy employee change. The handover to the new person was well organized, but took some time. The respond was most of the time very quickly - the person I worked with mostly was also based in Germany and we met on-site and face to face, which accelerate the whole project process. The Project Management team is fluent in German and English.

What did you find most impressive or unique about this company?

They have people in Germany, some parts of Europe and Thailand. They are very international and they speak almost every language. The project management is fluent in German and English. The value for cost is amazing. We saved a lot of money while working with them. At the same time, DBot is highly committed to the project and our happiness.

Are there any areas for improvement or something DBot could have done differently?

They can definetly improve the speed of development and try to reach the deadlines better. They well communicated the delay, of course, but this is also the questions of time and costs. They also have no designers at the company. They hired the designer from another company, which can be improved for more one-hand-solutions.

Describe the scope of work in detail. Please include a summary of key deliverables.

Dbot first analyzed our IT landscape and applications. They build a plan which applications are really necessary for our business continuety and which are not. They then helped us with the optimization of our self build web apps, as we lost our main software engineer. Together we trasformed our old legacy software and web application to newer languages and platforms with modern code. In the end we saved money in terms of less needed licences and applications. Dbot optimized our applications in the area of speed, availability and security.

The aren't always on time with the milestones and delivery, but they communicate the project delay upfront. We had in a weekly manner virtual meetings, where problems were a topic. The overall communication was always good, we could have a talk via MS Teams or Email or WhatsApp. The response rate was also on time.

They always found a solution for most problems. They were committed always and also on the weekend we had a talk if necessary. The value for the costs were amazing, no hidden prices or surpises. 

Are there any areas for improvement or something DBot could have done differently?

The committment is high, but it would be nice to have more senior developers who should worked with us. Also the project delay can be optimized, but the reason was a change of the developer within DBot in our project period.
