They delivered the first iteration and then upgraded to a second version, after which we gave final comments and changes. Finally, they delivered the final version of the product. I communicate with five people from DataForest. My first contact was with one of the co-founders, and I’ve also worked with a project manager, coders, an analytics specialist, and a programmer. There was a programmer switch during the development process.

How did you come to work with DataForest?

Since the project didn’t require too many hours, we couldn’t hire a large company because they require a certain amount of billing to start a relationship. We were looking for a mid-to-small-size boutique company that could handle the job. 

DataForest was perfect for us in terms of technical capabilities and ability to handle our order’s size. They also gave us very competitive pricing, and since their business analyst had extensive financial market knowledge, it was easier to communicate our goals.

The product DataForest built is working. Our main metric of success is functionality and usability, and the product is performing at the level that we expected. 

How did DataForest perform from a project management standpoint?

The project manager is designated to handle communication, project status updates, and timeline expectations. They always keep me in the loop of what’s going on. 

In terms of time management, the project took a bit longer than expected; we had calculated nine months, and it took a year and a half. However, it’s not entirely DataForest’s fault because we added a few features in the middle of the project and then another stage of development. We understand that they’re a small team with limited resources, one of whom left in the middle of the project, so things like these can happen.

We use Telegram to keep in touch, and their communication is good. They have some integrations with the platform, so a bot sends us status reports whenever there’s an update. 

What did you find most impressive about them?

I’m really pleased with DataForest’s understanding of financial asset management. This industry expertise has meant that I didn’t have to explain the mechanics of profit calculation to the coders; instead, the business analyst took care of it. While explaining the industry can be a drag, it was easy with DataForest.

Are there any areas they could improve?

They could improve their resource management and timely turnover of the project. The timeline got extended quite a bit, and though I understand some of it was our own doing, they didn’t show urgency to fit everything into the original schedule.

Preparation is key! Even if you think you know what you want, the project can become a landmine unless you’ve gone through the steps to see the complete picture. I wish I had been more prepared and discussed everything I wanted to be integrated into the solution at the initial meeting.

It added up to a somewhat large amount of money to have it all done, but ultimately after less than a year, it will have paid for itself in time saved. I was on the verge of needing another full-time employee to keep up with data entry, and the APIs and scripts he nd his team wrote eliminated that need.

What was the scope of their involvement?

The project entailed building a high-performance computing platform that could process large amounts and data, with machine learning to top it all off. Dataforest helped us build derivative values around features to inform our customers off of that and create an API that could handle and respond to requests within 100 milliseconds. 

The team also helped us meet our customers’ requirements, playing a very important role as our technology partner. They took ownership over most of the data engineering and solved a lot of challenges to be able to build our needed infrastructure.

What is the team composition?

There are people floating in and out of the project but I’d say there are 5–6 people who are consistently working with us. These people are CPython developers, data scientists, and infrastructure specialists. 

How did you come to work with Dataforest?

We posted a listing in Upwork and looked for someone who had a familiarity and deep understanding of building the type of system we were after. Dataforest was one of the agencies that applied so we decided to work with them not just on the architectural aspect, but also on the modeling and data science aspect of the project.

We started working with them in January 2021 and the partnership is still ongoing.

What evidence can you share that demonstrates the impact of the engagement?

We wouldn’t have been able to build a system without Dataforest. Their team has come up with new approaches that I believe are patentable, and these have made a crucial impact on the success of our initial product launch last June 2021. We haven’t thought about replacing them and hiring new people as that will exponentially cost more and take a lot of time. 

How did Dataforest perform from a project management standpoint?

For the most part, Dataforest has exceeded our expectations. We’ve had a hiccup at one point in the project, but we’ve found a really good way to remediate it and it hasn’t occurred again since. Of the agencies that we’ve worked with, I would say that they are in the top percentile from a delivery perspective. 

What did you find most impressive about them?

Through the years of outsourcing work, we’ve found that it costs a lot of time and resources to replace individuals or agencies that have become familiar with our system but suddenly disappear. Thus far, we’ve not encountered this problem with Dataforest. 

Even when they were impacted by COVID-19, they’ve provided backup resources who were just as adept with the system. It has helped us meet the deadlines. They’ve established a good internal overlap system that ensures their continued performance even when things happen within their company. 

Another interesting thing about them is that they have very intelligent people on their team — people that I would gladly hire and pay for myself if they were based in my country. 

Are there any areas they could improve?

Even though there are some problems encountered, none of them are ongoing challenges and some can be mitigated with a bit of maintenance. This feedback is more for them and less about them —  since they are expanding their specialized IT services, we are pretty excited to see the direction that they’re headed in. 

Do you have any advice for potential customers?

Web scraping, competitive analysis, and similar projects are very easy to tackle for Dataforest. They have a lot of resources for it. However, if you’re looking to work with them on a more challenging project, I would recommend that you set your goals and know exactly what you want. They’ll totally be able to innovate solutions for you.

Our other challenge was reporting. We needed all of our different software applications to speak to each other. Originally all reporting and accountability were handled manually. When managed manually, things can be noticed too late.

I respected their experience and after interviewing a few vendors, I felt the best rapport with Dataforest and excited about their extended services other than software development.

Our initial goal was to build an AI in amazon web services that could handle the intake of all of our leads.

We didn't know how this was going to be possible but after multiple brainstorm sessions, we found an efficient way to create our first lead BOT. AWS needed to integrate with our telelphony (Twilio) and with our CRM (Infusionsoft).

After a few months, we had a working BOT that was able to schedule calls and send request to the sales team. Now that the intake was handle, it was time to look at more advanced automation reporting for the Sales Teams.

How can we see sales trends, conversion rate trends, and a better way to sms prospects? Dataforest was able to design a very attractive AI for the sales reps. This created more productivity for the reps immediately as well as a better experience for our customers.

Next was designing our reporting hub, so we are making educated decisions based on real-time data across all our software: We integrated our customer portal so we can link the customer revenue with the sales rep. This helped us create extremely robust reporting in QuickSight within AWS.

Now, we continue to evolve integrations and most importantly, my clients reporting.

As a former Data Science Executive, I have had access to many data scientists. However, Sweetspot is a bootstrap startup, and finding affordable data scientists in the U.S. was challenging even with my deep network.  We needed to do a lot of advanced programming and analytics but on a startup budget. It was NOT financially viable for us to build our platform using US-based data science and development talent so we began looking at offshore options.

What was the scope of their involvement?

We initially hired Dataforest to program algorithms and models for our platform.   The first couple of projects that Dataforest worked on was within this scope. They took in large amounts of data and used various analytic techniques to build models and produce consumable outputs for use in our platform.

Dataforest has done such a great job for us that they have now become a trusted resource and partner in pretty much all aspects of the data, technical and analytic functions of our business.

Our business would not be where it is right now if we hadn’t found Dataforest. Every step of the way, they’ve proven more and more competent; every time I push them, they step up and deliver. 

How did Dataforest perform from a project management standpoint?

When we have new projects, my team presents to them what we want to do, and Dataforest provides a quote and timeframe. They’re very dependable about timing, which has allowed me to sell future state software products to clients and beta clients. They not only hit their deadlines but also provide amazing customer service. They usually respond right away, despite the time difference.  We use their Project Management services and I believe this almost ensures that we are getting things done on time and on budget. 

What did you find most impressive about them?

I’ve hired and trained a lot of analysts, and Dataforest is as good as, if not better than most of the talent I have worked within the U.S.

They produce excellent quality of work and are proactive in addressing issues before they become problems. They communicate very well and are not afraid to ask clarifying questions before they spend time (and money).  We have had no rework situations with them in the past 13 months.

We were a little concerned before we started with them that the time difference might limit our access to the team, but I don’t think these guys sleep! They are exceptionally responsive and even overnight communications never go unanswered for more than a few hours. We use Slack to communicate and there have been no issues.  

Are there any areas they could improve?

I think the only potential challenge for somebody working with Dataforest is the same as with any offshore company. Using companies where employees' first language is not English does require you to be a bit more diligent about requirements and selective of the words you use.  In our experience with Dataforest the programmers we have worked with speak excellent English and are very easy to communicate with. In fact, many of them are multi-lingual and this recently enabled us to pick up work for a new client in Latin America because our analyst Iulia (Data Scientist, Dataforest) was able to understand the data fields that were in Spanish!  So the language difference has not been an issue for us.

Any advice for potential customers?

I highly recommend Dataforest with two recommendations. First, have your project laid out in terms of what you want to accomplish... what is your end goal with some details on the specifics.  Second, don’t over-engineer the requirements. Dataforest’s team is really good at listening to what you’re trying to achieve. They’re really talented at problem-solving with advanced technology solutions.

We have been in contact with one of the co-founders of the company since last project (before he entered Dataforest) and we were satisfied with price/quality ratio.

Describe the project in detail.

We have 3 trading desks which are managed by 3 independent teams. Due to trading specifics (i.e. different measurements units, different purchase/sales terms, different shipment conditions) at the EOD we had 3 reports which were delivered by 3 teams and then the CFO manually adjusted those report to see the current trading positions.

We wanted to have the unified data that we receive from the trading platforms, port authorities, shipping agencies and banks to create unified EOD report. Moreover, as complimentary task we asked for presentation of data to be visualised.

What was the team composition?

We’ve worked with three people, including a project manager (Alex), an data scientist , and a frontend developer.

Can you share any outcomes from the project that demonstrate progress or success?

In the end we had an automatically updated unified EOD report. That required the new structure of the report from one desk and the rest was compiled to unified data. Hence, our CFO had only to check the EOD report and not to compile it manually which significantly decreased time spent.

On top of that (complimentary task) we've got unified dashboard that shows statistics and all key metrics with EOD updated.

How effective was the workflow between your team and theirs?

DataForest does a decent job managing our project. We use Jira for all tasks that allow us to see current status and progress.

What did you find most impressive about this company?

The best idea was that the project manager had financial background, so we spent much less time describing the business model and our needs.

We rebuilt the reporting flow so franchise data could move from store uploads to executive dashboards quickly and accurately.
First, we cleaned and organized complex store data into a structured reporting model. Then we improved the AWS Lambda process so it handled only new files and avoided duplicate data processing. We also reviewed and corrected the sales formulas that caused inconsistent numbers across reports.
Finally, we connected the validated data to PostgreSQL and Amazon QuickSight, giving leadership clear dashboards with trusted performance metrics across all franchise locations.

Our Solution
We developed a Gen AI hairstyle try-on platform using Stable Diffusion, multimodal LLMs, face swap, face analysis, and image processing technologies.
The system allows users to upload a selfie, select hairstyle templates, and receive realistic generated photos in under 30 seconds. We tested different model settings, prompts, and face swap approaches to improve face resemblance and natural hair quality.
We also built a free trial website widget with 21 standard hairstyles. The widget collects user emails during registration, helping the client turn website visitors into product leads.
To support operations, we created an admin panel where the client can monitor user registrations, paid transactions, generated images, and support requests.

We developed a real-time AI voice agent for two-way sales conversations.
The system combines speech-to-text, voice activity detection, LLM reasoning, text-to-speech, and SIP-based call handling. We trained the AI using sales calls, scripts, and marketing materials, then built a RAG-based knowledge layer to support realistic sales conversations, objection handling, and upselling.
To improve call quality, we added custom noise suppression so the agent could understand users even with background noise. We also integrated the solution with the client’s CRM and ATS to automate call logging, data synchronization, and workflow updates.

Challenge: The main goal is to measure the quality of customer satisfaction during the cooperation with each specific bank manager and create a system for tracking customer emotions.
Results:

Created a Computer Vision solution by means of cameras placed in front of each manager tracking customers’ faces and their emotions (positive, negative, neutral, etc).
Analysis of customer emotions enables the administration to track customer satisfaction, as well as the work of each operator individually, hence reducing employee scarcity and the company’s expenses, thereby optimizing the work of departments.
The system also analyzes conversation flows in order to control the quality of the managers' work.

Client: One of the largest Pharmacy networks in Eastern Europe with a 13k product list in more than 2k drug stores in 30 regions.
Challenges: Create an optimal assortment list at each drug store, taking into account their individual specifics.
Results:

The mathematical model was built according to the location of drug stores, housing density, the routes of metro stations/transport junction, location of hospitals, fitness facilities, shopping/business centers, health, educational institutions/educational facilities, etc.
Based on the 48 months of the company’s sales data analysis, were built clusters to determine the optimal assortment list for each drug-stores;

### Large-scale Data Parsing

Client: Law Consulting firm in South America. The client automates, manages, classifies, and stores legal cases files, documents, and contracts of all kinds.
Challenges: 

To obtain data from millions of pages and documents through five different court websites and to avoid overloading them. 
To collect data on a daily basis from the legal law case files. To collect not only structured data, but also embedded PDF, Word, JPG files, and other unstructured data. 
To keep scripts running continuously, to carry new cases files and update old ones if something changed.  

Results: 

Created distributed architecture with Linux nodes and a dynamic pipeline that allows managing high peaks and set priorities. 
We scrape new cases files immediately during the daytime based on the site traffic and make massive updates during the nighttime. 
To overcome bot protection and to crawl 14.8 million pages daily we use proxies and special AI technologies. Each day we download about 14 Gb of necessary data.
To keep data we use a cloud SQL database with daily dumps to Elasticsearch, meantime files directly upload to Elasticsearch.
